Frequently Asked Questions
What does moving product categories in QuoteCloud do?
Moving product categories in QuoteCloud restructures your product catalogue so items are grouped differently for browsing and management. This changes how products appear when building quotes, proposals and invoices in the sales quoting software interface, making it easier to find and select items.
The change updates the catalogue presentation inside QuoteCloud but does not automatically rewrite the content of historical documents unless those quotes, proposals or invoices are re-generated or manually edited to reference the updated catalogue entries.
Why should I reorganise my product catalogue?
Reorganising categories improves catalogue clarity and operational efficiency: your team and customers can locate products faster, reducing time spent searching and lowering the chance of selection errors when creating documents with your quote software or proposal software.
Clear categories also simplify template design, pricing and stock management, and make bulk actions (like price updates) easier to apply consistently across related items.
Can I move products between categories in QuoteCloud?
Yes. QuoteCloud lets you change a product’s assigned category so you can regroup items to reflect business structure, seasonal offerings or new sales strategies. You can update individual product records or use bulk-edit features in the product catalogue interface to move multiple items at once.
If you plan large-scale changes, consider working in batches and testing a subset first to confirm results before applying bulk edits across the entire catalogue.
How do I move product categories in QuoteCloud?
Use the product catalogue management tools: open the Catalogue (or Products) area, select the product or products to reorganise, choose the new target category from the category field, then save your changes. For bulk moves, use the multi-select and bulk-edit options provided in the catalogue view.
If you’re unsure where to start, follow the Moving Product Categories guide inside QuoteCloud for step-by-step instructions and screenshots of the catalogue workflow and available options.
How does changing product categories affect my quotes, proposals and invoices?
Changing categories affects how products are displayed and located when creating new sales documents in QuoteCloud, but it does not automatically change previously issued quotes, proposals or invoices. Existing documents will continue to show the item details that were saved at the time they were issued unless you re-generate or manually edit those documents to pull the latest catalogue entry.
If you need historical documents to reflect new categories or updated item details, re-generate the documents or update them individually and then resend or resubmit as needed.
Can I undo or roll back category changes if I make a mistake?
Undo options depend on how you made the changes. If you used bulk edits, you can often bulk-move the items back to their previous categories manually. If your organisation keeps catalogue exports or backups, restore from the most recent export to revert changes more quickly.
As a precaution, export your product list or perform a small test batch before large reorganisations so you can restore previous assignments if needed.
Do category changes affect integrations like QuickBooks Online?
Category changes primarily update the QuoteCloud product catalogue. How that maps to external systems (for example QuickBooks Online) depends on your integration settings and item mapping. Some integrations sync product records or item codes, while others sync only transactions—so changing a category in QuoteCloud won’t necessarily change how the item appears in QuickBooks unless your integration maps and re-syncs that field.
Before making major category updates, review your integration mappings and perform a test sync or consult the integration guide to ensure accounting and invoicing data remain correct.
What are best practices for reorganising product categories in QuoteCloud?
Plan your taxonomy first: create clear, consistent category names and a shallow hierarchy that matches how your sales team and customers search. Use descriptive names and consider tags for cross-cutting attributes (e.g., seasonal, service vs product).
Test changes on a small subset, export the catalogue before major edits, update document templates and internal training materials, and communicate changes to your team. These steps keep your sales proposal software and quote software workflows fast, accurate, and easy to maintain.
