Frequently Asked Questions

What is shared document access in QuoteCloud?

Shared document access in QuoteCloud is a team-level setting that controls whether team members can view and/or edit documents created by anyone else on the same team. It determines how documents are shared across your organisation and what actions team members are allowed to take on those documents, helping you manage collaboration for quotes, proposals and other sales documents.

What does Full Access mean for shared documents?

Full Access allows team members to both view and edit all documents created by anyone in the same team. Use Full Access when you need collaborative editing—multiple users can revise templates, update pricing tables, or edit proposals and quotes created by colleagues.

What is Viewer Access in shared documents?

Viewer Access lets team members see all team documents but does not permit them to make edits. This setting is ideal when you want wide visibility across the organisation without allowing changes to the original documents, preserving the source of truth for contracts, sales proposals or quote drafts.

Who can change shared document access for a team?

Only users who have access to Team Controls can change the team's shared document access setting. Check User Account Controls in your QuoteCloud admin settings to confirm which accounts have Team Controls privileges.

How do I change shared document access in QuoteCloud?

Sign in with an account that has Team Controls privileges, then open your Team Controls or Admin settings. Locate the shared document access option and select either Full Access or Viewer Access for the team. If the option is not visible, verify permissions in User Account Controls or contact your QuoteCloud administrator for help.

How will changing shared document access affect my team?

Switching to Full Access enables collaborative editing across all team documents, which can speed up workflows, simplify version management, and improve turnaround on quotes and proposals. However, it also increases the risk of simultaneous edits and accidental overwrites.

Choosing Viewer Access preserves document integrity by preventing edits from most users while still providing broad visibility—this works well for organisations that want consistent, controlled outputs from their sales quoting software or proposal software.

Can shared document settings affect my sales quoting and sales proposal software workflows?

Yes. Shared document access directly impacts how teams use QuoteCloud as sales quoting software and sales proposal software. Full Access supports collaborative creation and rapid iteration of quote and proposal documents, while Viewer Access is better for regulated workflows where only selected users should update pricing, terms, or template content.

What should I do if I can’t find the shared document access setting?

If you don’t see the shared document access option, first confirm that your account has Team Controls privileges by checking User Account Controls. If you lack the required permission, request access from your QuoteCloud administrator. If permissions are correct but the setting is still missing, contact QuoteCloud support for further assistance.
