Navigate to Users under the Users & Roles section in your QuoteCloud settings dashboard.

Click the Create New User button located at the top of the Users dashboard.

In the Add your colleagues to QuoteCloud window, enter the email address where the invitation email should be sent.

Complete the user information including first name, last name, job title, mobile number, and office phone number.

Under the Teams dropdown, select the appropriate existing team the user should belong to.

Under the Roles dropdown, choose the role that will determine the user's account permissions and access levels.

Under the Managers section, choose the manager responsible for supervising the new user.

Click Save to create the new user account and send the invitation email automatically.

The invited user will receive an email invitation containing an Accept Invitation button to begin setting up their account.

After clicking Accept Invitation, the invited user is redirected to the QuoteCloud setup form to complete their profile details and create a password.

The invited user clicks Next after completing their setup information to finalize the onboarding process.

If a user displays an UNVERIFIED status, it means the invitation was sent but the user has not yet completed their account setup.

Once the invited user finishes setup, QuoteCloud confirms that the user has been successfully added, assigned a role and team, and granted dashboard access.
This guide explains how administrators and permitted users can add team members to a QuoteCloud account, either by inviting them to complete self-service onboarding or by directly creating accounts. It covers assigning user roles (administrator, editor, viewer), setting granular access permissions, and implementing approval workflows so your sales quoting software and proposal software remain secure and efficient.
By default, administrators can both create and invite new users. Administrators can also grant the specific permission to invite collaborators to other general users. Those invitation permissions are configured when assigning roles, enabling flexible control over who can add team members in your quote software.
Inviting a user sends an email so the recipient can accept access and finish their account setup (ideal for self-service onboarding and when users should set their own password and profile). Directly creating an account lets an administrator provision the user immediately with a role and permissions (useful for instant access). Both approaches are supported in QuoteCloud, giving teams flexibility in how they add users to sales proposal software workflows.
Administrators can add team members, assign roles (for example administrator, editor, or viewer), set or restrict granular permissions across the account, and optionally assign a manager to enforce approval workflows. These controls let admins define who can edit documents, send proposals, manage billing settings, or access reporting in your sales quoting and proposal software.
When adding or editing a user, choose the appropriate role and adjust any available granular permission toggles your account supports. Roles determine access to features like document editing, sending quotes, or managing integrations. Use tighter permissions for viewers and broader permissions for editors and administrators to protect sensitive quote software data while enabling efficient collaboration.
Choose an invite when you want users to complete their own profile and password setup—this is ideal for remote hires, contractors, or external collaborators. Choose direct creation when immediate access is required (for example, during an internal restructuring or urgent client requests). Both methods work with QuoteCloud’s approval workflows in sales quoting software and proposal software environments.
Yes. Administrators can assign a manager to a user at creation or edit time to ensure that approval workflows are enforced. This is useful for multi-step quote approvals where managers must review and approve proposals generated by your quote software before they are sent to customers.
First, ask the recipient to check spam/junk folders and any email filters. Confirm the email address was entered correctly in the invite. If the invite still isn’t received, resend the invitation from the user management area or contact QuoteCloud support—administrators can also directly create an account in the meantime to grant immediate access to the sales quoting or proposal software.
