Getting started with QuoteCloud

HubSpot to QuoteCloud field map

Every field the six recipes pass, grouped by Zap: which way it travels, where it lands in the other app and a sample value.

Deal details travel from HubSpot into QuoteCloud data items, the recipient and, if you map them, price-table rows. Document news travels back: views and signatures as notes, statuses and totals as deal properties, form answers as contact properties. The deal's Record ID, kept in a data item, is how later Zaps find the deal.

The one field every return Zap needs

A Zap that starts in QuoteCloud has to find its deal in HubSpot. The surest way is the deal's Record ID, put in a data item when the quote is created from the deal.

Find Deal then searches on Record ID with that value. Check that your QuoteCloud trigger's test data shows the data item before you rely on it.

Field types to watch

  • Dates

HubSpot date properties want a date; check the signed date's format in the test data before mapping it.

  • Money

Number properties want the number without a currency sign. Decide whether the deal amount is before or after tax.

  • Dropdowns

A dropdown property only takes its own options: use the same wording in the form or the fixed value.

  • Owners

HubSpot stores owners as IDs: Get Owner by ID turns one into a name for a data item.

Field map questions

What are data items in QuoteCloud?

Data items are named fields in a QuoteCloud template, such as Deal name or Prepared by, that fill the same value wherever they appear in the document. Create Document can fill them from a Zap. Custom data items are on the Essentials plan and up.

Can a Zap fill the price table?

Create Document can add price-table rows from values you map: a label, note, price, quantity, term, tax and discount. It can't tick optional items or choose content blocks; the template and the buyer do that.

Can I map HubSpot custom properties?

Yes. Custom deal and contact properties appear in the Zap like the default ones. Create them in HubSpot before you build the Zap, with types that match the values you'll send.

Which fields travel back to HubSpot?

What QuoteCloud's triggers carry: who viewed or signed and when, the document's status, total and reference, and form answers. They land as notes, tasks, or deal and contact properties through Create Engagement, Update Deal and Update Contact.
