Change orders and variations, defined
A change order, or variation, is a signed agreement to change the scope, price or timing of work already under contract. How to write a change order and get it signed
5 steps, start to signature.
-
1
Step 1: Reference the original contract
Start from a change order template that names the original quote or contract, the job address and a variation number.
-
2
Step 2: Describe the change and why
Explain what is added, removed or substituted, who requested it and the effect on the timeline. Add site photos or a marked-up drawing.
-
3
Step 3: Price the variation
Add labour, materials and subcontractor lines in a price table from your catalogue, with tax, so the client sees the cost of the change.
-
4
Step 4: Approve it internally
An approval workflow can hold variations over a set value for a manager to approve before they reach the client.
-
5
Step 5: Get it signed before work
The client signs on your device in person or from the emailed link. The signed variation keeps its audit trail and certificate.
