Send document form answers to HubSpot
A form inside a QuoteCloud document collects what you need to start: goals, budgets, approvers. When it's submitted, a Zap writes each answer to a HubSpot contact or deal property.

- Building QuoteCloud since 2013
Add a Forms block to a QuoteCloud document; Form Builder is on Essentials and up. Build a Zap with the Form Submitted on Document trigger, find the contact with HubSpot's Find Contact search by email, and map each answer into a contact property with Update Contact. Deal properties work the same way with Find Deal and Update Deal.

Answers belong in the CRM, not in someone's inbox
Once Kinroy Outdoor Co. signed, Ambergrove Digital sent Elena Marsh a short onboarding questionnaire: a Forms block in a QuoteCloud document. Her answers decide how the account team sets up the campaign and the weekly report.
The account team works in HubSpot, so that's where the answers should be: as contact properties they can filter, report on and use in their own HubSpot workflows.
- Form Builder is on QuoteCloud's Essentials plan and up.
- Create the matching properties in HubSpot first, with the right types: a dropdown for choices, a number for the budget.
- See how agencies use onboarding questionnaires.

- 4
Find and update the contact
Add Find Contact by email, then Update Contact, mapping each answer to its property.
- 5
Test, then turn it on
Submit the form from an @example.com address, check the contact in HubSpot, then switch the Zap on.
Questions about this recipe
Which plan do I need for forms in QuoteCloud documents?
Form Builder is on QuoteCloud's Essentials plan and up, and so is Zapier access. HubSpot needs custom properties for the answers you want to keep.
Can answers update a deal instead of a contact?
Yes. Use HubSpot's Find Deal search, on the deal ID kept in a data item, and Update Deal with deal properties. Many teams update both: the person's details on the contact and the project's on the deal.
What if the person isn't in HubSpot yet?
Use HubSpot's Create or Update Contact instead of Update Contact. It matches on the email address, creating the contact when there's no match and updating it when there is.
Does the form Zap carry a QuoteCloud document fee?
No. It reads a submitted form and updates HubSpot; it doesn't create a document. The per-document fee applies to documents created through Zapier or the API.

- See quote activity on the HubSpot dealFirst views and signatures logged on the deal, so the owner knows when to follow up.
- Move the deal to closed won on signatureWhen every signer has signed, the deal's stage, amount and close date update.
- Keep HubSpot and QuoteCloud contacts matchedNew HubSpot contacts found or created in QuoteCloud, and new QuoteCloud contacts created or updated in HubSpot.
