Getting started with QuoteCloud

Test and troubleshoot your HubSpot Zaps

Test every Zap with sample data before it meets a real client, then fix the handful of problems that come up most: no deal found, blank data items, Zaps that echo, links that expire.

Test each Zap with a test deal, a test template and @example.com contacts, checking both apps after each step. Most problems come from four places: the return Zap can't find the deal, data items don't match the template, two Zaps trigger each other, or a PDF link is used after it expires.

Test every Zap in five steps

  1. Make test records

A test deal in HubSpot, a test template in QuoteCloud and contacts with @example.com addresses.

  2. Test the trigger

Make the event happen for real, such as moving the test deal's stage, so Zapier has fresh test data.

  3. Test each step

Zapier tests each action against the real apps: a test of Create Document makes a real document.

  4. Check both apps

Open the document in QuoteCloud and the deal in HubSpot, and check every mapped field.

  5. Turn it on and watch

Switch the Zap on and check its first runs in Zapier's history before you rely on it.

The usual problems, and the fix

  • Find Deal finds nothing

The quote needs a value HubSpot can search on. Check the trigger's test data shows the HubSpot deal ID data item, and that Find Deal searches Record ID.

  • The quote's data items are blank

Data item names must match the template exactly, and each must be mapped from a step that has the value.

  • Two Zaps trigger each other

Match on email or ID so the second Zap updates instead of creating, and add a Filter by Zapier step where it helps.

  • The PDF link stopped working

Generate or Fetch Document PDF Link is short-lived. Upload the file in the same Zap; never store the link.

  • Options aren't ticked

By design: a Zap never ticks options or chooses content blocks. The buyer ticks options in the document.

  • The deal closed after one signature

Use Document Signing Complete, which waits for every signer, not Recipient Signed Document.

What a good test run leaves behind

After a test of the quotes-from-deals Zap, the test deal should show the stage you set and, with the optional last step, the quote's reference.

If anything is missing, open the Zap's run in Zapier's history: each step shows the data it received and what it sent.

Keep test data fictional

Tests talk to the real apps. A test of Create Document makes a real document in QuoteCloud, and a test of a HubSpot action creates or updates a real record, so test with records made for testing.

Use a test template, a deal named so it's obviously a test, and contacts at @example.com addresses. Keep tests of Create Document few, since documents created through Zapier carry the per-document fee, and archive test documents afterwards.

  • QuoteCloud's Archive Document action can tidy test documents in a Zap of their own.
  • What the fee comes to for your volume.

Troubleshooting questions

Why did my Zap say it found no deal?

Find Deal searched for a value that isn't on any deal. Check the QuoteCloud trigger's test data shows the HubSpot deal ID data item, that Find Deal searches the Record ID property, and that the quote was created from that deal.

Why are some fields missing from the test data?

Zapier shows the fields the test record has. Make the event happen with a complete test record, such as a deal with an owner, amount and contact, then load fresh test data. HubSpot's triggers also let you retrieve additional properties.

My signed PDF link doesn't open any more. Why?

Generate or Fetch Document PDF Link returns a short-lived link. Use it in the next step of the same Zap, for example to upload the file to Google Drive, rather than saving the link in HubSpot.

Can testing create real documents or records?

Yes. Zapier tests run against your real apps, so a test of Create Document makes a document in QuoteCloud and a HubSpot test can create or update a record. Use test records and @example.com contacts.
