Getting started with QuoteCloud

What the HubSpot connection can and can't do

The connection is a set of Zaps you build and own. Here's what they do well, where they stop, and how to match a document back to its deal.

Through Zapier, HubSpot deals can create QuoteCloud quotes from templates, and QuoteCloud views, signatures, expiry, lost status and form answers can update HubSpot. Each Zap runs one way, a Zap never ticks options or chooses content, PDF links are short-lived, and documents created through Zapier carry a per-document fee.

What it does well

  • Quotes from deals

A deal stage or a new deal creates the quote from your template, filling data items and any price-table rows you map.

    Quotes from deals
  • Activity on the deal

First views and each signature become notes or deal properties.

    Quote activity
  • Closed won on signature

Signing complete moves the deal's stage and sets its amount and close date.

  • Contacts in both apps

New contacts in either app are found, created or updated in the other, one Zap each way.

  • Follow-ups

Expired quotes become tasks; lost ones move the deal to closed lost.

  • Form answers

Answers from a form in the document fill contact or deal properties.

Where it stops

None of these are bugs. Knowing them up front saves an afternoon of testing.

  • It doesn't tick options or pick blocks

A Zap fills data items and price-table rows. Optional items stay for the buyer to tick, and the template decides the content.

  • Each Zap runs one way

From its trigger to its actions. Both directions means two Zaps, and only the events you choose are copied.

  • PDF links don't last

Generate or Fetch Document PDF Link is short-lived: upload the file in the same Zap, never store the link.

  • It can't guess the deal

A Zap from QuoteCloud needs a shared value to find the deal, such as its Record ID in a data item.

  • Deal line items aren't copied for you

These recipes map deal details into data items. Rows come from your template, or from values you map one by one.

  • It isn't on every plan

Zapier access is on Essentials and up, and each document a Zap creates carries a per-document fee.

How a document finds its deal again

QuoteCloud and HubSpot don't share IDs by themselves. The Zap that creates the quote puts the deal's Record ID in a data item, such as HubSpot deal ID.

Every Zap that starts in QuoteCloud then runs HubSpot's Find Deal on Record ID with that value. Check the trigger's test data shows it; if your quotes don't come from HubSpot, use a value you keep in both, such as the deal name as the document title.

  • Create Document: Record ID → the HubSpot deal ID data item.
  • Return Zaps: Find Deal on Record ID, then Update Deal or Create Engagement.

What the connection is, exactly

QuoteCloud connects to HubSpot through QuoteCloud's Zapier app and HubSpot's own Zapier app. The Zaps live in your Zapier account: you choose the triggers, the steps and the fields, and you can change or turn them off at any time.

That makes it flexible, and it means the connection does exactly what your Zaps say, no more. When you need something they don't cover, QuoteCloud's API is on the same Essentials plan.

Questions about the limits

Do HubSpot and QuoteCloud update each other automatically?

Only for the events your Zaps cover. Each Zap runs one way, from its trigger to its actions, so you choose what's copied and when. Anything without a Zap, such as an edit to a sent quote, isn't copied.

Can a Zap tick optional items or choose content blocks?

No. Create Document fills data items and can add price-table rows you map, but it never ticks options or chooses content blocks. Your template decides the content and the buyer ticks the options they want.

Can I keep the PDF link in HubSpot?

Don't: the link from Generate or Fetch Document PDF Link is short-lived. Upload the file in the same Zap, for example to Google Drive, and keep that file's link instead.

Is there a fee for every Zap?

No. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API. Zaps that update HubSpot, log activity or match contacts don't create documents.

Is there a QuoteCloud app on Make?

No ready-made app, but Make works with QuoteCloud. It's a bring-your-own model: you add the connection with Make's built-in OAuth and call QuoteCloud's API or Zapier endpoints in your scenarios, so you choose every step. No module list is published, and these pages show each recipe as a Zap; the same QuoteCloud endpoints are there when you build it in Make.
