Every signed and paid QuoteCloud document, logged in Airtable
Zapier can add a row to your Airtable base each time a QuoteCloud document is signed or paid, so your sales and jobs log stays current without copying. It can also go the other way, turning a new Airtable record into a QuoteCloud document with the price rows filled in.

What Airtable is
Airtable is a flexible database that looks like a spreadsheet, used to run bookings, orders and job logs. QuoteCloud customers connect it to keep one table of what was sold, signed and paid.
Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

ThenATAirtableCreate Record
Once every signer has signed, a booking record is created with the client, event date, guest numbers and document value from the data items you set when the document was made.
A new order record becomes a QuoteCloud document from your repeat-order template, with a price-table row for each product line, and is sent to the buyer.

Events & functions
Tidewell Pavilion
Tidewell Pavilion books waterside weddings and functions, like Hannah and James's wedding reception and the Kestrel Analytics end-of-year celebration. The events team plans the season in an Airtable base. When a booking is fully signed, Zapier adds it to the base with the date, space and guest numbers, so the kitchen and floor staff work from one list. Menu and package choices are ticked by the couple or client in the proposal, never by the automation.
Tanbark Trade Supply sends repeat orders such as café packaging for Pinecrest Café Group. Its reps enter each order in Airtable. Zapier turns the new record into a QuoteCloud document from the repeat-order template, filling a price-table row per product with label, quantity, price and tax, then sends it. The buyer checks and signs it in QuoteCloud.
Wexmoor quotes jobs like pallet freight from Northgate to Port Ellery for Bramblewood Homewares, and keeps a jobs table in Airtable for dispatch. When a client pays through the QuoteCloud document, Zapier finds the job and marks it paid, so dispatch can see which loads are cleared to go.

FAQ
QuoteCloud and Airtable: questions
Do changes in Airtable flow back into QuoteCloud?
Not on their own. Each Zap does one job when an event happens, such as adding a record when a document is signed. Editing the Airtable record later doesn't change the QuoteCloud document. If you want a change to flow the other way, you build a separate Zap that calls a QuoteCloud action.
Can an Airtable record fill the price table?
Yes. QuoteCloud's Create Document action can fill price-table rows at creation, with label, note, price, quantity, term, tax and discount, plus your template's data items. Zapier cannot tick options or choose content blocks, so start from a template that already has the right sections. The recipient ticks any options.
Can I log part payments as well as full payments?
Yes. QuoteCloud's Zapier app has Document Payment Event, Document Part Paid and Document Paid triggers. Use Document Part Paid if you take deposits or instalments and want each one recorded, and Document Paid when you only need to know the document has been paid in full.
Which QuoteCloud plan do I need?
API and Zapier access is on Essentials and up. Documents created through the API or Zapier carry a fee of US$2.00, $1.80 or $1.60 each, depending on volume, so the Airtable-to-QuoteCloud workflow attracts that fee per document. Zaps that only log signed or paid documents in Airtable don't create documents.
