Booked in Calendly, proposal drafted in QuoteCloud
When a prospect books a discovery call in Calendly, Zapier can create a QuoteCloud document from your template with their name, company and booking answers already filled in. You walk out of the meeting with a draft to finish and send, not a blank page.

What Calendly is
Calendly is a scheduling tool that lets clients pick a time from your availability. QuoteCloud customers use it for discovery calls, assessments and intake meetings, the conversations that usually come right before a quote.
Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

Business consulting
Ashcombe Partners
Ashcombe Partners books every first conversation through Calendly. When Tom Haddow from Wexley Distribution Group booked a call about margins, Zapier created a draft of the Network & margin review proposal with his name, company and booking answers in the data items. Rafael Ortega finished the scope and fee options after the call and sent it the same afternoon; Wexley ticked the options it wanted and signed. Northlatch Security, our cybersecurity example, works the same way for scoping calls.
Kinfield Health lets new clients book an initial physiotherapy assessment in Calendly. Each booking creates a treatment plan and estimate draft, like Mia's treatment plan and estimate, with the client's name and contact details filled in. After the assessment Marcus Tan adds the sessions he recommends to the price table and sends it for Mia to accept and sign online. Booking questions stay short, so detailed clinical notes never pass through Zapier.
Tallowood Learning Co. sends program proposals such as Leadership Essentials for Harrowgate Health Partners. The moment Leila Hassan signs, Zapier creates a one-off Calendly link for the planning session and posts it on the signed document. Bec Lawson, the client services coordinator, sends it on, and Leila picks a time without a week of emails about availability.
Add QuoteCloud and Calendly to a new Zap and sign in to each. Zapier access to QuoteCloud is on the Essentials plan and up.

FAQ
QuoteCloud and Calendly: questions
Does it sync both ways?
No. Each Zap you build is a one-way automation: something happens in one app and Zapier does a set job in the other. Here a booking creates a QuoteCloud draft, or a signature creates a Calendly link. Changing the meeting in Calendly won't change the document, and editing the document won't move the meeting. If you want both directions, you build two Zaps, each with its own trigger.
Will the proposal be finished and sent automatically?
It can be, but most teams don't. Create Document builds the draft from your template and fills the data items and any price-table rows you map. It doesn't pick content blocks or tick options; your client ticks options when they read it. Most people review the draft after the call, then send it themselves, or add a Send Document step once they trust the template.
What does it cost?
Zapier access is on QuoteCloud's Essentials plan and up. Each document created through Zapier or the API carries a fee of US$2.00, falling to $1.80 and $1.60 at higher volumes. You also need a Zapier plan that covers your number of tasks, and a Calendly plan that includes Zapier. Check both before you start.
What happens if the invitee reschedules?
Calendly's trigger is Invitee Created or Rescheduled, so a reschedule fires it too. If you don't want a second draft, add a Zapier filter that only continues for new bookings, or use QuoteCloud's Find Document search first and skip the create step when a draft for that email already exists.
Can booking answers fill the price table?
Yes, if the answer maps cleanly to a row. Price-table rows can be filled at creation with a label, note, price, quantity, term, tax and discount. For example, a 'number of sites' answer could set a quantity. Free-text answers are better kept as data items for you to read before you finish the proposal.
