Getting started with QuoteCloud

QuoteCloud + ClickUp

Won in QuoteCloud, planned in ClickUp

When a deal is won or a client signs, Zapier can create the ClickUp list and tasks your delivery team needs, with the client and scope already on them. Client comments on a document can become tasks too, so nothing raised in a proposal gets lost.

What ClickUp is

ClickUp is a work management app for tasks, lists, docs and time tracking. QuoteCloud customers use it to run the projects and onboarding that start once a proposal is accepted.

Workflows

Three Zaps worth building first

Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

01

Start onboarding when a deal is accepted

  1. WhenQuoteCloudDocument Status Changed
  2. ThenClickUpCreate Task

When the order form moves to the accepted status you filter on, an onboarding task is created in the implementation list with the customer, plan and start date.

02

Turn client comments into tasks

  1. WhenQuoteCloudDocument Comment Event
  2. ThenClickUpCreate Task

Each new client comment on a proposal or change request becomes a ClickUp task for the project manager, with the comment text and document name.

03

Set up the project when the scope is signed

  1. WhenQuoteCloudDocument Signing Complete
  2. ThenClickUpCreate List
  3. ThenClickUpCreate Task

Once every signer has signed, a new ClickUp list is created for the engagement with a kickoff task in it.

In practice

How three businesses use QuoteCloud with ClickUp

Example businesses from our industry pages, and the job the connection does for each.

Software & SaaS

Plinthwork

Plinthwork sells its maintenance planning software with order forms like Plinthwork for Tidemark Property Services. When Tidemark accepted and Theo Marchetti's order form changed status, Zapier created an onboarding task in ClickUp for Rosa Lindqvist, the implementation lead, with Tidemark's plan and start date. The implementation statement of work follows, and Rosa's team plans from the task rather than a forwarded email.

Glasswing Studio

Glasswing Studio sends change requests like Gift cards and a weddings gallery to Ella Mancini at Sparrow & Pine Florist. When Ella left comments on the document asking about delivery dates, each comment became a ClickUp task for Sam Whitford, the project manager. Ravi Desai picked up the technical question from the task, and the answer went back on the document before Ella signed.

Ashcombe Partners

Ashcombe Partners runs engagements in ClickUp. When Wexley Distribution Group's signers had all signed the Network & margin review statement of work, Zapier created a ClickUp list for the engagement and a kickoff task for Mei Takahashi. The document name, value and a link back to it went into the task description, so the team planned from the scope Wexley actually signed.

Setup

Set it up in Zapier

  1. 1

    Connect both apps in Zapier

Add QuoteCloud and ClickUp to a new Zap and sign in to each. Zapier access to QuoteCloud is on the Essentials plan and up.

  2. 2

Pick the trigger and filter it

Choose Document Status Changed, Document Comment Event or Document Signing Complete. For status changes, add a Zapier filter so only the status you care about continues.

  3. 3

    Map the task

Choose ClickUp Create Task (and Create List if you want one per project), pick the workspace, space and list, and map the client and document details.

  4. 4

    Test, then switch it on

Run a test with a real document, check the task in ClickUp, and turn the Zap on.

QuoteCloud’s Zapier app and API are on the Essentials plan and up. Documents created through the API or Zapier carry a per-document fee of US$2.00, $1.80 or $1.60 by volume.

FAQ

QuoteCloud and ClickUp: questions

Does it sync both ways?

No. Each Zap is a one-way automation you build in Zapier: a QuoteCloud event creates a list or task in ClickUp. Completing or editing the task doesn't change the QuoteCloud document. If you want ClickUp to update QuoteCloud, for example Task Changes triggering Update Document Status, that's a second Zap with its own trigger, and you decide exactly what it changes.

How do I only react to one status?

Document Status Changed fires whenever a document's status changes. Add a Zapier filter step after the trigger that only continues when the new status is the one you want, such as accepted. That way a document moving back to draft or being marked lost won't create onboarding tasks for your team.

Can the task include what the client chose?

Yes, as far as Zapier receives it. The trigger passes document details to Zapier, which you can map into the task name and description. Zapier doesn't choose options or content blocks in QuoteCloud; your client ticks options on the document, and the Zap reports what was agreed. Test with a real document to see which fields arrive.

What does it cost?

Zapier access is on QuoteCloud's Essentials plan and up. Creating ClickUp tasks doesn't create QuoteCloud documents, so the per-document fee for documents created through Zapier or the API (US$2.00, falling to $1.80 and $1.60 by volume) doesn't apply. Multi-step Zaps, like list plus task, need a Zapier plan that allows them.
