Getting started with QuoteCloud

QuoteCloud + Microsoft Dynamics

Quotes that keep Microsoft Dynamics 365 up to date

Connect QuoteCloud to Dynamics 365 through Zapier and the quote can start from the record, with the account, contact and pricing filled in. Each send, view and signature can then be written back, so the opportunity shows where the quote is.

What Microsoft Dynamics is

Microsoft Dynamics 365 is Microsoft's CRM and business applications suite, where sales teams manage accounts, contacts and opportunities. QuoteCloud customers keep their records in Dynamics and send the quotes and proposals clients read and eSign from QuoteCloud.

Workflows

Three Zaps worth building first

Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

01Via Zapier

Build a quote from a new opportunity

  1. WhenMicrosoft DynamicsNew Opportunity
  2. ThenMicrosoft DynamicsFind Account
  3. ThenQuoteCloudCreate Document

A quote is created from your template with the account and contact filled in and the opportunity's pricing mapped into price-table rows, ready for the estimator to check.

Write the quote's status to the opportunity

  1. WhenQuoteCloudDocument Status Changed
  2. ThenMicrosoft DynamicsFind Opportunity
  3. ThenMicrosoft DynamicsUpdate Opportunity

Each time the document's status changes, the matching opportunity is updated, so the record shows whether the quote is sent, viewed or signed.

Example businesses from our industry pages, and the job the connection does for each.

Manufacturing

Tessmore Engineering

Tessmore Engineering quotes CNC machining and fabrication work, and its sales engineers log every enquiry as an opportunity in Dynamics 365. When Anjali Desai opened a new opportunity, Zapier created the RFQ response with the account and contact filled in and the agreed pricing as price-table rows. Callum Reid checked the machining lines and sent it for eSignature.

Ashcombe Partners

Ashcombe Partners tracks its strategy and transformation pipeline in Dynamics 365. When Carla Mendes at Wexley Distribution Group opened and then signed the statement of work, each status change was written to the opportunity. Imogen Hart saw the engagement move to signed on the record, while the reading detail stayed in the QuoteCloud dashboard.

Security & fire systems

Harrowfield Fire & Security

Harrowfield Fire & Security sends inspection, defect and monitoring quotes to building managers. When the team added Leila Haddad from Penrose Cold Stores as a new QuoteCloud contact for a system design quote, Zapier found or created her contact in Dynamics 365. The service team and sales now work from the same customer record.

Setup

Set it up in Zapier

FAQ

QuoteCloud and Microsoft Dynamics: questions

How does QuoteCloud connect to Dynamics 365?

Through QuoteCloud's Zapier app, in three steps. Choose a trigger, such as Document Status Changed in QuoteCloud or New Opportunity in Dynamics, connect both accounts, then choose the action, such as Create Document or Update Opportunity. Map the fields, test the Zap and turn it on. No code is needed.

Do I need a developer to set it up?

No. Zapier is a no-code tool, so a sales admin can choose the trigger and action and map the fields without writing anything. If you need something more tailored, the QuoteCloud API lets you build your own integration. Both Zapier and the API are on QuoteCloud's Essentials plan and up.

What data moves between Dynamics 365 and QuoteCloud?

Only the fields you map in Zapier. Typically that is account, contact and pricing data going into the quote, and the document's status going back to the Dynamics record. Pricing can fill price-table rows at creation, but Zapier doesn't tick options or choose content blocks; your client ticks the options.

Can I see document engagement from Dynamics 365?

Partly. QuoteCloud tracks when a document is received, how it is read and when it is signed. Through Zapier, status changes such as first viewed or signed can update the related Dynamics record. The detailed reading analytics, such as time spent on each page, stay in your QuoteCloud dashboard.

What does it cost?

Zapier access is on QuoteCloud's Essentials plan and up. Each document created through Zapier or the API carries a fee of US$2.00, falling to $1.80 and $1.60 at higher volumes. Zaps that only update opportunities or contacts don't create documents, so they carry no QuoteCloud fee. Your Zapier plan's own task limits apply too.
