Getting started with QuoteCloud

QuoteCloud + Microsoft Excel

QuoteCloud quotes, reported in Microsoft Excel

Connect QuoteCloud to Excel through Zapier and each new quote becomes a row in your workbook, with the client, value and status in their own columns. When a quote is sent or signed, the row updates, so the report you group, total and chart is already current.

What Microsoft Excel is

Microsoft Excel is the spreadsheet in Microsoft 365, where many sales and finance teams keep their reports. QuoteCloud customers use it to report on quotes with the formulas, charts and pivot tables they already know.

Three Zaps worth building first

Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

Example businesses from our industry pages, and the job the connection does for each.

IT services

Quillfield IT

Quillfield IT sends managed-service proposals and one-off project quotes every week, and the directors review the pipeline in Excel on Mondays. A Zap on Document Created adds each new proposal, like the one for Calder Physio Group, as a row in the quotes table. The pivot table groups value by rep and month without anyone exporting or retyping figures.

Recruitment services

Ashby Lane Recruitment

Ashby Lane Recruitment sends terms of business and retained search proposals that need signing before work starts. Their consultants' targets live in an Excel workbook. When a document's status changes, the Zap finds its row and updates the status, so the signed value per consultant is correct the moment a client such as Bellbrook Foods signs.

HVAC

Halden Climate Co.

Halden Climate Co. quotes split systems for homeowners and plant replacements for property groups. The office keeps a customer list in Excel for service reminders. Each time a new contact is created in QuoteCloud, the Zap adds a row with their details, so a new customer like Bellbird Property Group is on the list before the first quote goes out.

FAQ

QuoteCloud and Microsoft Excel: questions

How does QuoteCloud connect to Microsoft Excel?

Through QuoteCloud's Zapier app, with no code to write. A Zap watches for a QuoteCloud event, such as Document Created or Document Status Changed, and then adds or updates a row in your Excel workbook. You choose which QuoteCloud fields go into which columns, so the data lands where your reports expect it.

Does a change in Excel update the quote in QuoteCloud?

No. Each Zap runs one way, from QuoteCloud into Excel, when its trigger fires. Editing a value in the workbook won't change the document in QuoteCloud. If you want a quote and a row to match, make the change in QuoteCloud and let the Document Status Changed Zap update the row for you.

Can I build charts and pivot tables from the rows?

Yes. Once quotes sit in an Excel table, Excel's own formulas, charts and pivot tables work on them like any other data. Map values as numbers so sums work, and keep status in its own column. You can then group quoted value by rep, month or status and work out your win rate.

Can a row in Excel start a QuoteCloud document?

Yes. Excel's New Row in Table trigger can start a Zap that runs QuoteCloud's Create Document action from one of your templates. Zapier can fill data items, price-table rows and Spreadsheet block cells at creation. It can't tick options or choose content blocks; your client ticks the options when they review the document.

Which QuoteCloud plan do I need?

Zapier access is on QuoteCloud's Essentials plan and up. Adding or updating Excel rows carries no QuoteCloud fee. Each document created through Zapier or the API carries a fee of US$2.00, falling to $1.80 and $1.60 at higher volumes. You also need a Zapier plan that covers your task volume.
