From accepted proposal to FreshBooks invoice, line for line
Write the proposal once in QuoteCloud. When your client accepts and signs, Zapier can carry the services, tax and client details straight into a FreshBooks invoice, and record the payment when they pay online.
FreshBooks is accounting and invoicing software built for freelancers and small service businesses. QuoteCloud customers send their proposals and quotes from QuoteCloud and keep invoicing and payments in FreshBooks.
Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

Web developers & SEO
Glasswing Studio
Glasswing Studio sends website build proposals with design, development and care plan lines. When Ella and Luca Mancini both signed the proposal for Sparrow & Pine Florist's new site, Zapier created the client and the invoice in FreshBooks with each line and the tax. Mia Okonkwo invoiced the same afternoon instead of rebuilding it at month end.
Larkmoor Language Services quotes documentation translation into several languages and takes a deposit on signing. When Hana Sorensen paid the deposit for Kestrel Robotics online by card, Zapier recorded the payment against the FreshBooks invoice. Tobias Wren could start the project knowing the books already showed the deposit.
Ambergrove Digital sends SEO, social and content proposals to growing brands. When Rina Takahashi added Grace Kirkby of Orchard Lane Wines as a new QuoteCloud contact, Zapier created her as a client in FreshBooks. When the project proposal was accepted, the invoice went to the existing client record instead of a duplicate.

FAQ
QuoteCloud and FreshBooks: questions
How are FreshBooks invoices created from QuoteCloud?
You build a Zap with a QuoteCloud trigger, such as Document Signing Complete or Document Status Changed, and a FreshBooks action, such as Create Invoice. Once the Zap is on, each accepted document can create a new FreshBooks invoice on its own, with the client found or created first so nothing is typed twice.
Can I control what is sent to FreshBooks?
Yes. You choose which QuoteCloud fields go into which FreshBooks invoice fields when you build the Zap, and you can test it before you turn it on. Your proposals are designed in QuoteCloud, and the invoice keeps the look you have set up in your FreshBooks account. Anything you don't map stays in QuoteCloud.
Will payments taken in QuoteCloud show in FreshBooks?
They can. Clients pay on the document through Stripe or PayPal, and QuoteCloud's Document Payment Event, Document Part Paid and Document Paid triggers can start a Zap that runs FreshBooks' Add Payment to Invoice. QuoteCloud takes the payment on signing; later stages are invoiced from FreshBooks as usual.
Does it keep both apps matching both ways?
No. Each Zap is a one-way automation that runs when its trigger fires. A signed proposal can create an invoice and a payment can be recorded against it, but these are separate Zaps. Editing the invoice in FreshBooks won't change the signed proposal in QuoteCloud, so revise the document there when the scope changes.
What does it cost?
Zapier access is on QuoteCloud's Essentials plan and up. Each document created through Zapier or the API carries a fee of US$2.00, falling to $1.80 and $1.60 at higher volumes. Zaps that create FreshBooks invoices, clients or payments don't create QuoteCloud documents, so they carry no QuoteCloud fee. Your Zapier plan's own task limits apply too.
