Signed in QuoteCloud, picked up by your Freshdesk team
When a client signs a service agreement or an authority to start work, your service desk needs to know. Zapier can open a Freshdesk ticket the moment a QuoteCloud document is fully signed, and turn a new Freshdesk ticket into a quote draft when a fix needs pricing.

What Freshdesk is
Freshdesk is a customer support and help desk platform from Freshworks, built around tickets, contacts and companies. QuoteCloud customers use it to run onboarding, service requests and scheduled work, and QuoteCloud for the agreements and quotes that start that work.
Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

Open an onboarding ticket when a managed services agreement is signed
WhenQCQuoteCloudDocument Signing Complete
ThenFdFreshdeskCreate Ticket
An onboarding ticket is created in Freshdesk with the client's name, the agreement title and the start date from the document, so the service desk can begin onboarding straight away.
A defect rectification quote draft is created from your template with the ticket number, site and contact in its data items, for the estimator to price and send.

IT services
Quillfield IT
Quillfield IT sells managed IT and security on per-user agreements in QuoteCloud. When Thornbury & Webb signed the managed services agreement and paid the once-off amount on signing, Zapier created an onboarding ticket in Quillfield's Freshdesk. The service desk picked it up the same morning to plan the device rollout, without waiting for Nina Castell to forward an email.
Northlatch Security won't start a penetration test until the rules of engagement and authorisation to test are signed by all three people named in it. For Brightfern Software, Zapier waited for Document Signing Complete, then opened a Freshdesk ticket for Felix Aranda's testing team. QuoteCloud records the signatures; Northlatch still checks that the signers have authority over the systems being tested.
Harrowfield Fire & Security logs defects found on site, and building managers' reports, as Freshdesk tickets. A Zapier filter picks out tickets tagged for a quote and creates a defect rectification quote draft with the ticket number and site in the data items. Wren Halloran adds the defect lines from the price book, and the building manager at Calder House ticks the defects to approve and signs.
Start a new Zap and sign in to QuoteCloud and Freshdesk. Zapier access to QuoteCloud is on the Essentials plan and up.
2
Pick the trigger
Choose QuoteCloud's Document Signing Complete for agreements, or Freshdesk's New Ticket for work that needs a quote, and add a Zapier filter for the right template, tag or ticket type.
3
Map the ticket or document
For Create Ticket, map the client's email, the document title and any data items into the subject and description. For Create Document, map the ticket number, site and contact into your template's data items and recipient.
4
Test, then switch it on
Run a test with a document signed at an @example.com address or a test ticket, check both apps, and turn the Zap on.
QuoteCloud’s Zapier app and API are on the Essentials plan and up. Documents created through the API or Zapier carry a per-document fee of US$2.00, $1.80 or $1.60 by volume.
FAQ
QuoteCloud and Freshdesk: questions
Does it work both ways with Freshdesk?
No. Each Zap is a one-way automation that does one job when its trigger fires. A signed agreement can create a ticket, and a ticket can create a quote draft, but each is its own Zap. Closing the ticket won't change the document, and changing the document won't update the ticket.
Why use Document Signing Complete instead of Recipient Signed Document?
Recipient Signed Document fires for each signer, so a document with three signers would open three tickets. Document Signing Complete fires once, after everyone has signed. For authorisations and agreements where work mustn't start until every signer has agreed, Document Signing Complete is the right trigger.
Will the defect quote be sent to the client automatically?
Not unless you add a Send Document step, and we'd suggest you don't. Create Document builds the draft from your template and fills data items and any price-table rows you map. Zapier doesn't tick options or choose content blocks. An estimator should add the right defect lines and check the price before sending; the client then ticks what to approve.
Can the client pay through the ticket?
No. Freshdesk tickets don't take payment for QuoteCloud documents. QuoteCloud takes payment only at signing, through Stripe or PayPal, when you set a deposit or full payment on the document. Many service businesses leave payment off and invoice later on account terms, which works the same way with this connection.
What does it cost?
Zapier access is on QuoteCloud's Essentials plan and up. Each document created through Zapier or the API carries a fee of US$2.00, falling to $1.80 and $1.60 at higher volumes. Zaps that only create Freshdesk tickets don't create documents, so they carry no QuoteCloud fee. You also need a Zapier plan that covers your task volume.
