Getting started with QuoteCloud

QuoteCloud + Google Sheets

A Google Sheets quote tracker that fills itself in

Connect QuoteCloud to Google Sheets through Zapier and every new quote adds a row to the tracker your team shares, with the status kept current as it is viewed and signed. A row in a sheet can start a quote too, so details you already keep there don't get retyped.

What Google Sheets is

Google Sheets is Google's online spreadsheet, where many teams keep pipelines, job lists and enquiry logs. QuoteCloud customers use it as a shared quote tracker and as a simple source of client and job details for new documents.

In practice

Construction

Corbel Building Co.

Corbel Building Co. keeps a Google Sheets tracker of every estimate it sends, from rear extensions to commercial fit-outs. A Zap on Document Created adds each new estimate as a row with the client and total. The weekly pipeline meeting runs from that sheet instead of someone copying numbers across on Monday morning.

Marketing services

Ambergrove Digital

Ambergrove Digital sends retainer and campaign proposals and reports its pipeline from a shared sheet. When a proposal like the retainer for Kinroy Outdoor Co. moves from sent to viewed to signed, the Zap finds its row and updates the status column. The directors see which proposals are waiting on a client without opening QuoteCloud.

Tallowwood Solar & Storage

Tallowwood Solar & Storage collects enquiries in a Google Sheet, one row per home with the roof type and the package the owner is interested in. Each new row creates a proposal from the matching template, with the panels, inverter and battery as price-table rows, and sends it. Owners like Mei and Tom Varga then pick their package and sign online.

Setup

Set it up in Zapier

  1. 1

    Connect both apps in Zapier

Create a Zap and sign in to QuoteCloud and your Google account when Zapier asks. Zapier access to QuoteCloud is on the Essentials plan and up.

  2. 2

    Set up your sheet

Give the tracker a header row, such as Document, Client, Total, Status and Last update, so Zapier can map each field to a column.

  3. 3

Pick the trigger and map the columns

Choose Document Created or Document Status Changed for the tracker, or New Spreadsheet Row to start a document, and map each field to the right column or data item.

  4. 4

    Test, then switch it on

Run a test with a document sent to an @example.com address, check the row in the sheet, and turn the Zap on.

QuoteCloud's Zapier app is on the Essentials plan and up; each document created through Zapier or the API carries a fee of US$2.00, $1.80 or $1.60 depending on volume.

FAQ

QuoteCloud and Google Sheets: questions

Does it work both ways with Google Sheets?

No. Each Zap is a one-way automation that does a set job when its trigger fires. A new document can add a row, a status change can update it, and a new row can create a document, but they are separate Zaps. Editing a cell in the sheet won't change a document that has already been created.

Can I track document status from the sheet?

Yes. Use QuoteCloud's Document Status Changed trigger with Google Sheets' Lookup Spreadsheet Row and Update Spreadsheet Row. You choose the row to match, usually by document name or number, and the column each update lands in. You can also use Document Signing Complete or Document Paid to update a row at those moments.

Can a sheet row fill in a quote?

Yes. Create Document makes a document from one of your templates and can fill data items and price-table rows at creation, with a label, note, price, quantity, term, tax and discount for each row. Zapier can also write values into the cells of a Spreadsheet block. It doesn't tick options or choose content blocks; your client ticks the options.

Can I bring my contacts across from a sheet?

Yes. A Zap on New Spreadsheet Row can run QuoteCloud's Find or Create Contact, so each contact kept in your sheet is added to QuoteCloud unless it already exists. Set it up with a test sheet first, check the names and emails came across correctly, then point the Zap at your full contact list.

What does it cost?

QuoteCloud's Zapier app is on the Essentials plan and up. Each document created through Zapier or the API carries a fee of US$2.00, falling to $1.80 and $1.60 at higher volumes. Zaps that only add or update rows don't create documents, so they carry no document fee. The Spreadsheet block is on Essentials too, and Zapier's own plan limits apply.
