Getting started with QuoteCloud

QuoteCloud + Mailchimp

New QuoteCloud clients, tagged in Mailchimp

When a client signs a QuoteCloud document or opts in on its form, Zapier can add them to your Mailchimp audience and tag them by what they booked. Your follow-up emails then go to the right people without exporting lists.

What Mailchimp is

Mailchimp is an email marketing platform for newsletters, campaigns and automated emails. QuoteCloud customers connect it so new clients join the right audience and tag as soon as a deal is done.

Workflows

Three Zaps worth building first

Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

01

Add guests who opt in on the booking form

  1. WhenQuoteCloudForm Submitted on Document
  2. ThenMailchimpAdd/Update Subscriber

When a client fills in the form on their booking document and ticks your newsletter opt-in, Zapier adds them to your Mailchimp audience. Use a Zapier filter so only opted-in submissions go through.

Events & functions

02

Tag existing subscribers when a group booking is signed

  1. WhenQuoteCloudDocument Signing Complete
  2. ThenMailchimpFind a Subscriber
  3. ThenMailchimpAdd Subscriber to Tag

Once every signer has signed, Zapier looks up the booker in Mailchimp and, if they're already a subscriber, adds a tag such as Group booker 2027.

Hospitality & hotels

03

Add travellers to a trip audience when they sign

  1. WhenQuoteCloudRecipient Signed Document
  2. ThenMailchimpAdd/Update Subscriber
  3. ThenMailchimpAdd Subscriber to Tag

Each traveller who signs is added or updated in Mailchimp and tagged with the trip, so the agency can send them the departure updates they agreed to receive.

Example businesses from our industry pages, and the job the connection does for each.

Events & functions

Tidewell Pavilion

Tidewell Pavilion sends proposals like Sophie's 40th and the Kestrel Analytics end-of-year celebration, each with a short form for dietary needs and a newsletter opt-in. When Sophie submits the form with the opt-in ticked, Zapier adds her to the Tidewell audience in Mailchimp. Sophie ticks the box herself; the automation never ticks it for her, and Tidewell stays responsible for its own consent wording.

Hospitality & hotels

Lantern Quay Hotels

Lantern Quay's group sales team quotes offsites and conferences, such as a leadership offsite for Talmont Biosciences. Many bookers already get the hotel's corporate newsletter. When a booking is fully signed, Zapier finds the booker in Mailchimp and tags them as a 2027 group booker, so the next rates email reaches people who have booked before. Nobody new is subscribed by this workflow.

Travel agencies & tour operators

Saltpine Travel Co.

Saltpine Travel Co. sends itineraries like Tokyo, Hakone and Kyoto in spring for Ruby and Theo Lindqvist. When the travellers sign, Zapier adds them to a Mailchimp audience and tags them with the trip, so pre-departure updates go to everyone on that departure. Saltpine decides what consent its itinerary asks for and which status each new contact gets.

FAQ

QuoteCloud and Mailchimp: questions

Who is responsible for marketing consent?

You are. QuoteCloud and Zapier pass along the details you map, but they don't decide whether someone has agreed to receive marketing email. Capture consent in a way that suits your business and the rules that apply to you, for example with an opt-in question on a QuoteCloud form, and set the subscriber status in Mailchimp to match.

Can I tag clients by what they bought?

Yes, with care. Mailchimp's Add/Update Subscriber and Add Subscriber to Tag actions can apply a tag you choose in the Zap, such as the package or trip. What you can tag by depends on the fields Zapier receives from the QuoteCloud trigger, so test with a real document and check which values are available.

Will Zapier tick the newsletter box for my client?

No. Zapier never ticks options or fills in forms inside a QuoteCloud document. The recipient ticks the opt-in themselves when they complete the form. The Form Submitted on Document trigger then passes what they submitted to Zapier, and a filter step can make sure only opted-in submissions reach Mailchimp.

How does QuoteCloud connect to Mailchimp?

It runs through QuoteCloud's Zapier app, so you need Zapier as well as QuoteCloud on Essentials or up. Each Zap reacts to a QuoteCloud event and calls a Mailchimp action. Unsubscribes and changes in Mailchimp don't flow back to QuoteCloud, so manage your audience in Mailchimp.
