Getting started with QuoteCloud

QuoteCloud + Notion

Signed QuoteCloud proposals, handed over in Notion

When a client signs a QuoteCloud proposal, Zapier can add them to your Notion clients database and start a handover page for the delivery team. Nobody retypes the scope, the price or the start date.

What Notion is

Notion is the workspace many service teams use for client wikis, project boards and handover notes. QuoteCloud customers connect it so the work that was sold lands where the work gets planned.

Workflows

Three Zaps worth building first

Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

01

Start a client record and handover page when the retainer is signed

  1. WhenQuoteCloudDocument Signing Complete
  2. ThenNotionCreate Data Source Item
  3. ThenNotionCreate Page

Once every signer has signed, the client, document value and start date go into your Notion clients database, and a handover page is created for the account team.

02

Add each signed translation job to the project board, with the signed PDF

  1. WhenQuoteCloudRecipient Signed Document
  2. ThenNotionCreate Data Source Item
  3. ThenQuoteCloudGenerate or Fetch Document PDF Link
  4. ThenNotionUpload File to Data Source Item

A new item appears on the Notion project board and the signed PDF is attached straight away, in the same Zap, because the PDF link is short-lived.

03

Copy client comments onto the engagement page

  1. WhenQuoteCloudDocument Comment Event
  2. ThenNotionFind Data Source Items
  3. ThenNotionAdd Comment

When a client comments on a proposal, Zapier finds the matching engagement in Notion and adds the comment there, so the partners see questions without opening every document.

Marketing services

Ambergrove Digital

Ambergrove Digital sells SEO, social, paid and email retainers, such as a 12-month growth retainer for Kinroy Outdoor Co. The account team plans every retainer in Notion. When Kinroy signs, Zapier adds Kinroy to the clients database with the retainer value and start date, and opens a handover page for the channel leads. The channels Kinroy ticked in the proposal were chosen by Kinroy, not by the automation, so the handover reflects what the client actually bought.

Larkmoor Language Services

Larkmoor quotes jobs like the Kestrel K2 documentation in French, German and Japanese. Its project managers run every job from a Notion board. When Kestrel Robotics signs, Zapier creates the board item and attaches the signed PDF in the same run, so translators can see the agreed scope, languages and price rows before work starts.

Ashcombe Partners

Ashcombe Partners sends proposals such as a network and margin review for Wexley Distribution Group, and keeps an engagement page for each client in Notion. Procurement often asks questions in the document's comments. Zapier copies each comment onto the matching Notion page, so the partner and principal can agree on a reply. The reply itself is still written in QuoteCloud.

FAQ

QuoteCloud and Notion: questions

How does QuoteCloud connect to Notion?

The connection runs through QuoteCloud's Zapier app. A QuoteCloud event, such as a signed document, starts a Zap, and the Zap creates or updates items in Notion. Changes you make in Notion do not flow back into the QuoteCloud document unless you build a separate Zap that calls a QuoteCloud action.

Can I attach the signed PDF to the Notion item?

Yes. Add Generate or Fetch Document PDF Link, then Notion's Upload File to Data Source Item or Upload File to Page or Block, in the same Zap. The PDF link is short-lived, so the upload needs to happen straight away rather than in a later step or a separate Zap.

Will Notion know which options the client chose?

The recipient ticks options in the QuoteCloud document, and Zapier never ticks them. What reaches Notion depends on the fields Zapier receives from the trigger. Test with a real signed document and check which values are available to map before relying on them in your handover page.

Can a Notion item create a QuoteCloud document?

Yes. A Notion trigger such as Updated Properties in Data Source Item can run QuoteCloud's Create Document action. It starts from your template and can fill data items and price-table rows at creation. It cannot choose content blocks for you, so pick the template that already has the right sections.

Which QuoteCloud plan do I need?

API and Zapier access is on Essentials and up. Documents created through the API or Zapier carry a fee of US$2.00, $1.80 or $1.60 each, depending on volume. Zaps that only react to QuoteCloud events, such as a signed document going into Notion, don't create documents. You'll also need a Zapier plan that covers your Zaps.
