Once a client signs, the same lines usually have to be typed again as an invoice. With Zapier, a signed QuoteCloud document can create the customer and a sales invoice in Sage Accounting, and new Sage stock items can be added to QuoteCloud's product library.

What Sage Accounting is
Sage Accounting is cloud accounting software from Sage for small businesses, covering sales invoices and quotes, customers, products, stock items and payments. QuoteCloud customers use it as their books, and QuoteCloud for the proposals, quotes and agreements that come before the invoice.
Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

When the owners sign a variation, a sales invoice for the agreed amount is created against their contact in Sage Accounting, ready to go out with the next progress claim.

Each new stock item set up in Sage Accounting is added to QuoteCloud's product library unless it's already there, so quotes use the same item names and prices as the books.

Construction
Corbel Building Co.
Corbel Building Co. prices variations as their own QuoteCloud documents, signed on site before the work goes ahead. When Ellie and Marcus Doyle signed Variation V-03 for rock excavation and extra lighting, nothing was paid on signing; Zapier created a sales invoice for the variation in Sage Accounting instead. Lily Chen sends it with the next progress claim, without retyping the amounts.
Tessmore Engineering keeps its stock items and standard parts in Sage Accounting. Each new stock item is copied into QuoteCloud's product library, so Callum Reid can add catalogue fixings and finishes to an RFQ response such as the QR-220 sensor housing quote for Quenda Robotics. Machined parts are still priced by the estimator, and Tessmore's own Sage set-up decides how the final order is invoiced.
Ledgerline Advisory sends engagement letters such as the 2026–27 letter for Hearth Lane Bakery, which both directors sign. Once Ana and Tom Ribeiro had both signed, Zapier created Hearth Lane Bakery as a customer in Ledgerline's own Sage Accounting file. Ben Carter no longer keys in new clients by hand, and the monthly fee invoices start from the right record.

2
Pick the trigger
Choose QuoteCloud's Document Signing Complete, or Sage Accounting's New Stock Item, and filter to the templates you want, such as variations or engagement letters.
3
Map the customer and lines
Find or create the customer in Sage Accounting, then map the document's total, or its lines, into Create Sales Invoice. Check ledger accounts and tax codes with whoever runs your books.
4
Test, then switch it on
Run a test with a document signed at an @example.com address, review the invoice in Sage Accounting, delete the test invoice there, and turn the Zap on.
QuoteCloud’s Zapier app and API are on the Essentials plan and up. Documents created through the API or Zapier carry a per-document fee of US$2.00, $1.80 or $1.60 by volume.
FAQ
QuoteCloud and Sage Accounting: questions
Does it work both ways with Sage Accounting?
No. Each Zap is a one-way automation: something happens in one app and Zapier does a set job in the other. A signed document can create a sales invoice, or a stock item can be copied into QuoteCloud, but each is its own Zap. Editing the invoice in Sage won't change the signed document, and vice versa.
Is QuoteCloud an accounting system?
No. QuoteCloud isn't a ledger and doesn't keep your books, run payroll or file tax returns. It's for quotes, proposals and agreements that clients review, tick options on and sign. Sage Accounting stays your accounting system; Zapier just saves retyping what was agreed in the signed document.
What if the client already paid at signing?
QuoteCloud can take a deposit or full payment at signing through Stripe or PayPal. That payment is recorded in QuoteCloud and your Stripe or PayPal account, not automatically in Sage. How you record it against the invoice, for example as a contact payment, is a bookkeeping decision, so agree the steps with your accountant before automating it.
Can every line of the quote go onto the invoice?
Often, yes, but it depends on how you map it. Sage Accounting's Create Sales Invoice takes line items, and QuoteCloud price-table rows hold a label, price, quantity, tax and discount. Only the options your client actually ticked should be invoiced, so test with a document that has optional rows before you rely on it.
What does it cost?
Zapier access is on QuoteCloud's Essentials plan and up. These Zaps don't create QuoteCloud documents, so they carry no QuoteCloud document fee. If you add a Create Document step, each document created through Zapier or the API costs US$2.00, falling to $1.80 and $1.60 at higher volumes. You also need a Zapier plan that covers your tasks.
