Quoted and signed in QuoteCloud, served through Square
Square runs the counter, the bar or the workshop till, while QuoteCloud handles the bigger jobs that need a signed quote first. Zapier links them so a client who signs and pays a deposit is added to Square, a balance invoice can be drafted, and your Square catalogue can feed QuoteCloud's product library.

What Square is
Square is a point-of-sale and payments platform with customers, a product catalogue, invoices and appointments. QuoteCloud customers use it for walk-in and day-to-day sales, and QuoteCloud for functions, packages and larger jobs that need a proposal and a signature.
Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

WhenSqSquareNew Catalog Item
ThenQCQuoteCloudFind or Create Product
Each new menu item or package in Square is added to QuoteCloud's product library unless it is already there, so group sales can add it to a proposal at the current price.

ThenSqSquareCreate Invoice
After the client signs and pays the deposit in QuoteCloud, a Square invoice for the remaining balance is created for the coordinator to check and send closer to the date.

Hospitality & hotels
Lantern Quay Hotels
Lantern Quay Hotels runs its restaurants and bars on Square, and its group and corporate sales team quotes in QuoteCloud. When the food and beverage team adds a new canapé package or bar tab to the Square catalogue, Zapier adds it to QuoteCloud's product library. Rafael Ortega can then add it to a conference or incentive proposal, such as the Orchard Lane Insurance offsite, without checking the price with the kitchen first.
Tidewell Pavilion takes a 20% deposit when a couple signs their wedding proposal in QuoteCloud, paid through Stripe. When Hannah Lee and James Okoro signed and paid the deposit on their reception, Zapier found them in Square and created an invoice for the balance. Tom Achebe checks the final guest numbers before sending it, and the venue's bar runs on the same Square account on the night.
Kettlebrook Auto Service uses Square at the front counter and QuoteCloud for bigger jobs such as 4WD fit-outs. When Callum and Jo Pryor signed the Tourer fit-out quote and paid the deposit on signing, Zapier added them to Square as customers in a 'Fit-out' group. When they drop the vehicle off, Sam Delaney finds them straight away, and any parts bought at the counter go on the same customer record.

FAQ
QuoteCloud and Square: questions
Does it work both ways with Square?
No. Each Zap is a one-way automation that does one job when its trigger fires. A payment can create a Square customer, or a catalogue item can be copied into QuoteCloud, but each is its own Zap. Changing a price in Square won't update a quote you've already sent, and editing a customer in one app won't change the other.
Can QuoteCloud take payment through Square?
No. QuoteCloud takes payment only at signing, through Stripe or PayPal, when you set a deposit or full payment on the document. Square isn't one of QuoteCloud's payment options. If you want Square to collect money, take it there, for example with a Square invoice for the balance, and leave that amount off the QuoteCloud payment.
Is QuoteCloud a point-of-sale system?
No. QuoteCloud doesn't run a till, track stock or take walk-in sales. It's for quotes, proposals and agreements that a client reviews, ticks options on and signs. Square stays your point of sale; QuoteCloud handles the jobs that need a written, signed quote first.
Will the Square invoice be sent automatically?
Only if you add a step for it. Square's Create Invoice action makes the invoice, and Square has a separate Send Invoice action in Zapier. Most venues leave the send step out so a coordinator can confirm final numbers and the due date first. Test with your own email so you can see how the invoice looks to the client.
What does it cost?
Zapier access is on QuoteCloud's Essentials plan and up. These Zaps don't create QuoteCloud documents, so they carry no QuoteCloud document fee. If you add a Create Document step, each document created through Zapier or the API costs US$2.00, falling to $1.80 and $1.60 at higher volumes. You also need a suitable Zapier plan.
