Getting started with QuoteCloud

QuoteCloud + Trello

Signed in QuoteCloud, on the Trello jobs board

When a client signs a quote or pays a deposit, Zapier can create a Trello card in the right list with the client, job and value on it. The team that schedules the work sees new jobs arrive without anyone copying details across.

What Trello is

Trello is a board-and-card tool that small teams use to track jobs from booked to done. QuoteCloud customers use it as the jobs board that picks up where the quote leaves off.

Workflows

Three Zaps worth building first

Each one is a trigger in one app and the steps that follow in the other. Build them as they are, or change any step.

01

Put every signed job on the board

  1. WhenQuoteCloudRecipient Signed Document
  2. ThenTrelloCreate Card

A card appears in the To schedule list with the client's name, address, the job and the quote total, ready to be given a date.

Trade services

02

Start the job card when the deposit is paid

  1. WhenQuoteCloudDocument Part Paid
  2. ThenTrelloCreate Card
  3. ThenTrelloAdd Checklist to Card

Once the deposit comes in through the quote, a job card is created with a checklist for materials, site prep and the build days.

Landscaping & gardening

03

Follow up when a client opens a proposal

  1. WhenQuoteCloudRecipient First Viewed Document
  2. ThenTrelloCreate Card

A card lands in the Follow up list the first time the client opens the proposal, so the right person calls while it's fresh.

Example businesses from our industry pages, and the job the connection does for each.

Trade services

Ridgeline Trade Services

Ridgeline Trade Services quotes jobs like a hot water replacement, where the homeowner ticks the system they want before signing. When Hannah Whitfield signed, Zapier created a card in the To schedule list on Ridgeline's Trello board with her name, address and the quote total. Nadia Brooks in the office booked Mia Tran in for the install without retyping a thing.

Landscaping & gardening

Larkspur Garden Co.

Larkspur Garden Co. takes a deposit on bigger jobs like a backyard makeover through the quote itself. When Ava Marsh paid the deposit, Zapier created a job card on Larkspur's Trello board and added a checklist for plants, materials, site prep and build days. Noah Field orders stock from the checklist and moves the card along as the crew works.

Events & functions

Tidewell Pavilion

Tidewell Pavilion sends proposals like Sophie's 40th, with menu and room options for Sophie Tran to choose from. The first time Sophie opened the proposal, Zapier created a card in the Follow up list on the functions team's Trello board. Elena Brooks called her that afternoon, answered her questions about the room, and Sophie ticked her options and signed later that week.

FAQ

QuoteCloud and Trello: questions

Does it sync both ways?

No. The Zaps you build are one-way: a QuoteCloud event, like a signature or a deposit, makes Zapier create a card or add a checklist in Trello. Moving or archiving the card doesn't change the QuoteCloud document. If you want a Trello change to do something in QuoteCloud, such as Card Moved to List updating the document's status, that's a separate Zap you build.

Can the card include the signed PDF?

Not as a lasting link. The PDF link QuoteCloud gives Zapier is short-lived, so it isn't suitable for a card description. Most teams put the client, job and total on the card and keep the signed PDF in QuoteCloud, or add a storage step that uploads it to Google Drive, Dropbox or Box straight away.

Will I get duplicate cards?

Recipient Signed Document fires for each signer, so a quote with two signers can create two cards. If that matters, use Document Signing Complete instead, which fires once when everyone has signed. Recipient First Viewed Document only fires the first time each recipient opens the document.

What does it cost?

Zapier access is on QuoteCloud's Essentials plan and up. Creating Trello cards doesn't create QuoteCloud documents, so the per-document fee for documents created through Zapier or the API (US$2.00, falling to $1.80 and $1.60 by volume) doesn't apply. Two-step Zaps like the checklist example need a Zapier plan that allows multi-step Zaps.
