Getting started with QuoteCloud

Connect monday.com to QuoteCloud, step by step

Everything happens in Zapier: connect both accounts once, then build each Zap from a trigger, its actions and the columns you map. Here's the first one, with sample data.

To connect monday.com to QuoteCloud, you need QuoteCloud on the Essentials plan or higher, a monday.com account and a Zapier account. In Zapier, create a Zap, choose a trigger in one app and an action in the other, and sign in to monday.com and QuoteCloud when asked. Map the columns, test with a sample item, then turn it on.

Step 1: monday.com's Specific Column Value Changed in Board trigger on the Garden leads board's Status column; the test found the Marsh item set to Quote needed. Step 5: QuoteCloud's Create Document with the garden design template and four data items mapped from earlier steps; the test created draft LG-2417. And monday.com's Update Item, setting Quote status to Signed on the item whose ID the quote kept.

How do I connect monday.com to QuoteCloud?

Six steps to your first Zap.

  1. Check your plans

QuoteCloud's Zapier access is on Essentials and up. You also need a monday.com account and a Zapier plan that covers the tasks your Zaps will run.

  2. Prepare the board and template

Add the status labels and columns your Zaps use, and the data items, such as monday item ID, to the QuoteCloud template. Custom data items are on Essentials and up.

  3. Create a Zap, pick the trigger

In Zapier, choose monday.com or QuoteCloud as the trigger app and its event, such as Specific Column Value Changed in Board or Document Signing Complete.

  4. Sign in to both apps

Zapier asks you to connect monday.com and QuoteCloud the first time you use each: authorise Zapier, or enter your QuoteCloud API key.

  5. Add actions, map columns

Add each step, such as Get Column Values then Create Document, and map values from earlier steps. The column field map shows what maps well.

  6. Test, then turn it on

Test each step with a sample item and an @example.com contact, check both apps, then switch the Zap on.

Step 1: the trigger, and its test data

Choose monday.com, then Specific Column Value Changed in Board, then the deals board and its Status column. Change a test item's status so Zapier has fresh test data.

Then add a Filter by Zapier step for the label that means a quote is needed, so other status changes stop there.

Step 5: Create Document, mapped

Choose QuoteCloud and Create Document, pick the template, then map each data item to a value from an earlier step. The numbers show which step each value comes from.

  • Data items take text, numbers, dates and status labels from the item.
  • Price-table rows are optional: label, note, price, qty, term, tax and discount.
  • Options and content blocks stay as your template sets them: a Zap never ticks options.

How does a Zap find the item again?

Zaps that start in QuoteCloud have to update the right item. The surest way is the item's ID, kept in a data item when the quote was created: map it straight into Update Item's Item ID.

Without it, use monday.com's Find Items on a column that holds the quote's reference, such as a Quote text column, and test with items whose names look alike.

Before you start

  • QuoteCloud Essentials or higher

Zapier and API access, custom data items and Form Builder are on Essentials and up.

  • A Zapier plan for your volume

Each step a Zap runs uses Zapier tasks; paths, filters and delays depend on your Zapier plan.

  • Test items only

A test board or group, a test template and @example.com contacts, so nothing reaches a real client.

  • Labels and columns first

Add the status labels, groups and columns your Zaps write to before you map them.

Set-up questions

Do I need a developer to connect monday.com to QuoteCloud?

No. Zapier is built for people who aren't developers: you pick a trigger, the actions and the monday.com columns to map, then test with a sample item. A developer who wants more control can use QuoteCloud's GraphQL/REST API instead, which is also on the Essentials plan and up.

Which accounts should I connect in Zapier?

Connect monday.com and QuoteCloud with accounts that can see the boards, templates and documents the Zap uses. In QuoteCloud you can authorise Zapier or enter your API key. Many teams use a shared admin account so Zaps keep running when someone leaves.

Where do I start: monday.com or QuoteCloud?

With whichever app the event happens in. An item's status changing starts in monday.com; a quote being viewed, signed, paid or expiring, or a form being submitted, starts in QuoteCloud. Each Zap has one trigger and runs one way, so a job that needs both directions takes two Zaps.

How do I test without contacting a real client?

Use test records made for the job. Set up a test board or group, a test template and contacts at @example.com addresses. A test of Create Document makes a real document in QuoteCloud and a monday.com test changes a real item, so keep tests few and archive test documents afterwards.
