Getting started with QuoteCloud

Show quote status in a monday.com status column

Viewed, signed, expired or lost: each QuoteCloud event sets the item's status column, and the signed total fills its deal value, so the board shows where every quote is without anyone updating it.

To show QuoteCloud quote status on monday.com, build one small Zap per event: Recipient First Viewed Document, Document Signing Complete, Document Expired or Document Lost, each running monday.com's Update Item to set the item's status column to a matching label. Zapier access is on QuoteCloud's Essentials plan and up.

Two overlapping panels with sample data. Behind, an illustration of Glasswing Studio's Website deals board: the Sparrow & Pine item's quote status is Signed and its deal value $17,996, both updated by a Zap; Pinewood Physio is Viewed and Juniper Row is Quote sent. In front, the proposal GS-2611's activity in QuoteCloud: sent, first viewed by Ella, the online shop ticked, signed.

Why put quote status on the board?

Glasswing Studio, a web design and development studio, plans every build on monday.com. Director Mia Okonkwo sends the proposals from QuoteCloud, but lead developer Ravi Desai and the rest of the team live on the board. They want to know which projects are close, without asking Mia.

QuoteCloud already knows when a proposal is first opened, when it's signed, when it expires and when it's lost. A small Zap for each event copies that to a Quote status column, so the board's own filters, sorting and dashboards work with it.

Ella Mancini opens the Sparrow & Pine proposal at 6:42 pm. A minute later the item says Viewed, and Ravi pencils in time for the kick-off.

Result

A Quote status column that turns Viewed the moment the buyer opens the proposal, with the date in Last viewed.

For each signer as they sign, use Recipient Signed Document instead; for the hand-off to your delivery board, see hand a signed quote to your project board.

Ella ticked the online shop before she signed, so the signed total is $17,996.00, not the $12,716.00 the proposal opened at. The Zap writes what was actually signed.

Result

The board's deal value matches the signed proposal, including the options the buyer chose.

Quote status and Deal value, each set by a Zap.

The same item, a day earlier

Before Ella signed, the item said Viewed at the proposal's opening total. Nobody typed either value: the first-view Zap set the status, and the deal value came from the item when Mia created the proposal.

Each Zap writes one fixed label, so the labels on your Quote status column decide what the board can show. Add them before you build the Zaps.

Which QuoteCloud event sets which label?

One Zap per label keeps each one simple. These are the events teams use most.

  • Viewed

Recipient First Viewed Document: the first time a recipient opens the quote.

  • Signed

Document Signing Complete once every signer has signed, or Recipient Signed Document for each signer.

  • Expired or Lost

Document Expired when the quote passes its expiry date unsigned; Document Lost when its status becomes Lost.

  • One Zap for every status

QuoteCloud's Document Status Changed trigger with Paths by Zapier, one path per status, each with its own Update Item step.

Build it with a free trial

Zapier access is on QuoteCloud's Essentials plan and up. Start a free 14-day trial, connect monday.com and test with a sample item.

Build the status Zaps in five steps

  1. Add the labels

On the board, add a Quote status column with the labels you'll use: Quote sent, Viewed, Signed, Expired, Lost.

  2. Keep the item ID in the quote

Quotes created from the item carry its ID in a data item. For others, add the data item when you create the quote.

  3. Start with a QuoteCloud event

In Zapier, choose QuoteCloud and Recipient First Viewed Document, and test it with a document you've opened.

  4. Update the item

Add monday.com's Update Item: the board, the item ID from the data item and the label Viewed.

  5. Repeat for each label

Build the same Zap for Document Signing Complete, Document Expired and Document Lost, test each, then switch them on.

Questions about the status Zaps

Can QuoteCloud change a monday.com status column?

Yes, through Zapier. A QuoteCloud trigger such as Recipient First Viewed Document or Document Signing Complete starts a Zap that runs monday.com's Update Item on the item and sets the status column to a label you choose, such as Viewed or Signed. Use labels that already exist on the column.

How does the Zap know which monday.com item to update?

With the item's ID. Keep it in a data item when the quote is created from the item, then map it into Update Item's Item ID. If a quote wasn't created from monday.com, search with Find Items on a column that holds the quote's reference instead.

Can the deal value be the signed total?

Yes, when the trigger carries the document's total, which you can check in the Zap's test data. Map it into a Numbers column. The total includes the options the buyer ticked, so the board shows what was actually signed, not what was first quoted.

Do the status Zaps carry a QuoteCloud document fee?

No. They read QuoteCloud events and update monday.com; they don't create documents. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API. Zapier access is on the Essentials plan and up.
