Getting started with QuoteCloud

Hand a signed quote to your monday.com project board

When the last signer signs, a Zap marks the deal Won at the signed total, creates the job on your delivery board, tells the job lead in an update and files the signed PDF on the item.

To hand a signed QuoteCloud quote to a monday.com project board, start a Zap with QuoteCloud's Document Signing Complete trigger. monday.com's Update Item marks the deal Won, Create Item adds the job to your delivery board and Create Update tells the job lead. Zapier access is on QuoteCloud's Essentials plan and up.

Two overlapping illustrations of work boards with sample data. Behind, Morrowgate Print & Signs' Sales pipeline board: the Copperleaf Café shopfront signage item at Won, its deal value $2,223.10, both updated by a Zap. In front, the Production board: the same job in the Artwork & proofs group, added by a Zap and led by Wes Tanaka.

What happens between signed and started?

Morrowgate Print & Signs runs two monday.com boards: Sales pipeline for quotes and Production for the workshop. Director Ines Calloway sends the quotes from QuoteCloud; production manager Wes Tanaka never opens QuoteCloud at all.

Without a link, a signed quote waits until someone tells production. With one Zap, Document Signing Complete marks the deal Won and puts the job on the production board with everything Wes needs: the client, the reference, the signed total and the PDF.

  • Document Signing Complete waits for every signer, so a two-signer quote hands off once, not twice.
  • The job carries the options the buyer ticked, because the update quotes the signed document.
  • If your delivery stage is a group on the same board, use Move Item to Group instead of Create Item.

How do I create a monday.com item when a quote is signed?

Four steps, plus two optional ones that file the signed PDF on the new item.

Lena Marchetti ticks the window frost band and signs at 11:17 am. By 11:18 the Copperleaf deal is Won at $2,223.10, and the job is in Production with an update for Wes and the signed PDF in Files.

Result

The deal closes at the signed figure and the workshop has the job, the reference and the PDF, without a message from sales.

What the job lead sees

Wes opens the new item and everything is there: an update that mentions him, with who signed, the reference and the signed total, and the signed PDF in the Files column.

The update is the Zap's Create Update step, the file is Upload File to Specific Column, and Wes's reply is his own.

Variations on this recipe

  • Same board, next group

If delivery is a group on the deals board, use Move Item to Group instead of Create Item: the item moves to In production.

  • Subitems for the work

Add Create Subitem steps for the stages every job has, such as artwork, proof and install.

  • Celebrate in the channel

Add Send Channel Message for Slack or Microsoft Teams: who signed, the total and the job.

  • Paid, not just signed

If the quote takes a payment on signing, a Zap on QuoteCloud's Document Paid can post an update when the money lands. QuoteCloud Payments is on Essentials and up.

Build it with a free trial

Zapier access is on QuoteCloud's Essentials plan and up. Start a free 14-day trial, connect monday.com and test with a sample item.

Build the hand-off in five steps

  1. Keep the item ID in the quote

Quotes created from the deal item carry its ID in a data item, plus a Job data item for the new item's name.

  2. Start with Document Signing Complete

In Zapier, choose QuoteCloud's Document Signing Complete and test it with a fully signed test quote.

  3. Mark the deal Won

Add monday.com's Update Item on the deals board: the item ID, the Won label and the total.

  4. Create the job and tell the lead

Add Create Item on the delivery board, then Create Update on the new item with a User Mention.

  5. File the PDF, then test

Add Generate or Fetch Document PDF Link and Upload File to Specific Column, sign a test quote as an @example.com signer, check both boards and turn it on.

Questions about this recipe

Can a signed QuoteCloud quote create a monday.com item?

Yes. A Zap on QuoteCloud's Document Signing Complete trigger can run monday.com's Create Item on any board you choose, in a group such as Artwork & proofs, with the item's name and columns mapped from the signed document. The same Zap can mark the original deal Won with Update Item.

Should I use Document Signing Complete or Recipient Signed Document?

Document Signing Complete for the hand-off: it fires once every signer has signed. Recipient Signed Document fires for each signer, so a quote with two signers would create two jobs on the delivery board. Use Recipient Signed Document for an update per signature instead.

Can the signed PDF go on the monday.com item?

Yes, in the same Zap. QuoteCloud's Generate or Fetch Document PDF Link returns a short-lived link, and the next step, monday.com's Upload File to Specific Column, uploads the file to a Files column. Don't store the link itself: it stops working.

Does the hand-off Zap carry a QuoteCloud document fee?

No. It reads a signed document and updates monday.com; it doesn't create a QuoteCloud document. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API. Zapier access itself is on the Essentials plan and up.
