Getting started with QuoteCloud

What the monday.com connection can and can't do

The connection is a set of Zaps you build and own, or your own code on QuoteCloud's API. Here's what it does well, where it stops, and how a document finds its item again.

Through Zapier, monday.com items can create QuoteCloud quotes from templates, and views, signatures, payments, form answers, expiry and lost quotes can update items, post updates and create items. Each Zap runs one way, never ticks options, and PDF links are short-lived. Zapier and the API are on QuoteCloud's Essentials plan and up.

What can the monday.com connection do?

  • Quotes from items

A status change creates the quote from your template, filling data items and any price-table rows you map.

    Quotes from deal items
  • Status on the board

Views, signatures, expiry and lost quotes set the item's status, and the signed total its deal value.

  • Hand-off on signature

Signing complete marks the deal Won and creates the job on your delivery board with the PDF.

  • Updates on the item

First views, form answers and payments posted as item updates, with mentions.

    Quote activity as updates
  • Contacts in both apps

New contacts in either app are found, created or added in the other, one Zap each way.

  • Follow-ups

Where it stops

None of these are bugs. Knowing them up front saves an afternoon of testing.

  • It doesn't tick options or pick blocks

A Zap fills data items and price-table rows. Optional items stay for the buyer to tick, and the template decides the content.

  • Each Zap runs one way

From its trigger to its actions. Both directions means two Zaps, and only the events you choose are copied.

  • PDF links don't last

Generate or Fetch Document PDF Link is short-lived: upload the file to the item in the same Zap, never store the link.

  • Mirror columns aren't written

A mirror shows another board's value: update the source item. Formula and connect-boards columns can't be searched.

  • It can't guess the item

A Zap from QuoteCloud needs the item's ID in a data item, or a unique value to search on with Find Items.

  • It isn't on every plan

Zapier and API access are on Essentials and up, and each document a Zap or the API creates carries a per-document fee.

How a document finds its item again

QuoteCloud and monday.com don't share IDs by themselves. The Zap that creates the quote puts the item's ID in a data item, such as monday item ID.

Every Zap that starts in QuoteCloud then maps that value into Update Item or Create Update. Check the trigger's test data shows it; if your quotes don't come from monday.com, keep the quote's reference in a column and search on it with Find Items.

  • Create Document: Item ID → the monday item ID data item.
  • Return Zaps: Update Item or Create Update on that Item ID.

Can developers use the API instead of Zapier?

Yes. QuoteCloud's integrations list describes monday.com as connected via Zapier or the API. Zapier suits most teams: no code, and the recipes on this site. When you need something Zapier doesn't do, a developer can call QuoteCloud's GraphQL/REST API from your own code, which works with any system that can make HTTPS requests.

In outline, and only as an illustration: your code reads the item's column values from monday.com, creates a QuoteCloud document from a template with those values in its data items, and later reacts to QuoteCloud events to update the item. The API's actual operations and fields come from QuoteCloud, not from this page.

The API is on the Essentials plan and up, like Zapier, and documents created through the API carry the same per-document fee of US$2.00, $1.80 or $1.60 by volume.

Questions about the limits

Do monday.com and QuoteCloud update each other automatically?

Only for the events your Zaps cover. Each Zap runs one way, from its trigger to its actions, so you choose what's copied and when. Anything without a Zap, such as an edit to a sent quote or a renamed item, isn't copied.

Can a Zap tick optional items or choose content blocks?

No. Create Document fills data items and can add price-table rows you map, but it never ticks options or chooses content blocks. Your template decides the content, and the buyer ticks the options they want before signing, so the total updates with their choices.

Is there a QuoteCloud API for monday.com?

Yes, QuoteCloud has a GraphQL/REST API, on the Essentials plan and up, that a developer can call from their own code alongside monday.com. Most teams use Zapier instead, which needs no code. Documents created through either carry the per-document fee.

Is there a fee for every Zap?

No. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies only to documents created through Zapier or the API. Zaps that set a status, post an update, create an item or match contacts don't create documents, so they carry no QuoteCloud fee.

Is there a QuoteCloud app on Make?

No ready-made app, but Make works with QuoteCloud. It's a bring-your-own model: you add the connection with Make's built-in OAuth and call QuoteCloud's API or Zapier endpoints in your scenarios, so you choose every step. No module list is published, and these pages show each recipe as a Zap; the same QuoteCloud endpoints are there when you build it in Make.
