Getting started with QuoteCloud

What QuoteCloud with FreshBooks can and can't do

The straight answer before you build: what the Zaps do with a signed or paid QuoteCloud document, where they stop, how Zapier and Make compare, and what we haven't confirmed yet.

Through QuoteCloud's Zapier app, a signed or paid QuoteCloud document can find or create a FreshBooks client and create an invoice, project or recurring invoice, and add payments. Each Zap runs one way. It doesn't copy time, edit signed documents, tick a proposal's options or keep both apps matching after edits. There is no native connection.

What can the FreshBooks Zaps do?

Every recipe on this site, by what starts it and what it writes.

  • Invoice what was signed

Document Signing Complete → Find or Create Client → Create Invoice, line for line with tax. Signed to invoice.

  • Open the project

Document Signing Complete → Create Project, fixed price or hourly, with the title and due date. Proposal to project.

  • Hourly work

A signed time-and-materials estimate opens an hourly project at the agreed rate. Time and materials.

  • Record payments

Document Part Paid or Document Paid → Find Invoice → Add Payment to Invoice. Deposits and payments.

  • Bill retainers monthly

Document Signing Complete → Create Recurring Invoice with the monthly lines. Retainers.

  • Match clients

New Contact Created → Create or Update Client, and New Client → Find or Create Contact. Clients matched.

Zapier or Make: which route suits you?

Both reach the same QuoteCloud events and actions. There's no native FreshBooks connection on any plan.

  • Zapier

QuoteCloud's Zapier app has ready-made triggers, actions and searches, beside FreshBooks' own Zapier app. You build each Zap by picking events and mapping fields; no code. Essentials and up.

    Connect it, step by step
  • Make

Bring your own: Make's built-in OAuth connection to QuoteCloud, then QuoteCloud's API or Zapier endpoints called from a scenario, beside Make's FreshBooks modules. No ready-made QuoteCloud app or module list on Make; API access is on Essentials and up.

Where does it stop?

The limits to plan around, so nothing surprises you after you switch the Zaps on.

  • One way per Zap

Each Zap runs from its trigger to its steps. Editing the FreshBooks invoice doesn't change the signed proposal, and editing the proposal doesn't change the invoice. Two directions means two Zaps.

  • No timesheets from QuoteCloud

QuoteCloud holds what was sold and signed, not the hours worked. Time is logged and invoiced in FreshBooks.

  • Signed documents stay as signed

No Zap edits a signed QuoteCloud document. Scope changes go out as a new document or change request and are signed first.

  • The client chooses

A Zap never ticks a proposal's options or chooses its content blocks. Your client ticks the options; the signed choices are what the Zap reads.

  • No task lists

FreshBooks' Create Project on Zapier takes the title, client, type, price or rate and due date, not the SOW's phases or tasks.

  • No money moves

Payments go to your own Stripe or PayPal account. The Zap only records them against the FreshBooks invoice.

What we haven't confirmed yet

The recipes on this site use FreshBooks' and QuoteCloud's Zapier events exactly as Zapier lists them. A few details depend on what your own test data shows, so check them in your first test rather than taking our word for it.

  • How the trigger's line items appear in Zapier, and that each row becomes one FreshBooks invoice line.
  • Whether monthly price-table lines come through with the one-off lines.
  • How often a FreshBooks recurring invoice repeats, and how many times, when the Zap creates it.
  • The payment amount field on Document Part Paid, and which trigger each PayPal instalment fires.
  • Whether documents created from a Make scenario carry the per-document fee: ask us.

Questions about the limits

Do changes in FreshBooks flow back to QuoteCloud?

No. Each Zap runs one way, from a QuoteCloud event to FreshBooks steps, or from a FreshBooks event to QuoteCloud steps. You can build a Zap in each direction, such as the two client Zaps, but edits made later in one app aren't copied to the other.

Is there a native FreshBooks integration on any plan?

No. FreshBooks connects through Zapier, with QuoteCloud's Zapier app on Essentials and up, or through Make as a bring-your-own setup with QuoteCloud's API. Nothing is built in, so each job is a Zap or scenario you build and switch on.

Can FreshBooks estimates become QuoteCloud proposals?

Not with these recipes. FreshBooks' Zapier app has a New Estimate trigger and QuoteCloud has Create Document, so it can be built, but each document created that way carries QuoteCloud's per-document fee, and a Zap can't choose the proposal's content blocks. Most teams write the proposal in QuoteCloud.

Can a Zap tick options in the proposal for the client?

No. A Zap never ticks a proposal's optional items or chooses its content blocks. Your client ticks the options they want and signs; the Zap then reads what they signed, so the FreshBooks invoice has exactly the lines they chose.
