Before you start

What is QuoteCloud for landscaping and gardening businesses?

QuoteCloud is cloud-based quoting and proposal software. Landscapers, garden designers, gardeners and arborists use it to create on-brand quotes, garden design proposals, maintenance agreements and contracts with photos, plans and itemised pricing, then have clients sign online and pay a deposit through Stripe or PayPal.

Is there a free trial?

Yes. Essentials and Business both start with a 14-day free trial with no credit card required. There is also a Free plan with eSignatures for 2 documents a month and 1 user, if you only send the odd quote.

How much does QuoteCloud cost for a landscaping business?

Plans are priced per user per month in US dollars: Free $0, Starter $14.95, Essentials $39 and Business $59, with custom Enterprise pricing. Most landscapers start on Essentials for price tables, the product catalogue and online deposits, or Business for native Xero and QuickBooks and Gantt-chart schedules.

Will QuoteCloud set up my existing quote template?

Yes. During the free trial of Essentials or Business, and on Enterprise, QuoteCloud converts one of your existing document templates for free. Paid plans also include a complimentary 45-minute training session. More conversions and training are available through professional services.

Are there landscaping templates?

Yes. The QuoteCloud template library includes a Lawn Care Sales Quote, two arborist sales quotes and two landscaping service contracts. Every template is fully editable, so you can change the services, materials, labour and pricing to match your business.

Proposals, photos and plans

Show the garden before you build it.

  • Can I add site photos and design plans to a landscaping proposal?

Yes. Drag photos, image galleries, videos and design plans into a quote or proposal, so clients see the site, the ideas and the plan beside the price. Upload a plan drawn in your design software as a PDF or an image. Image blocks are on Starter and above.

  • Can I mark up a photo of the client's garden?

Yes. The built-in image editor lets you crop a photo and add text and shapes, so you can label where the new path, hedge line or feature tree goes. The image editor is on the Starter plan and above.

  • Can I show before and after photos?

Yes. Put a photo of the site as it is next to a photo of a garden you've built, using two image blocks or a gallery, so the change is obvious at a glance. Add captions to explain what the client is looking at.

  • Can I include a build schedule in the proposal?

Yes. On the Business plan you can add a Gantt chart to the proposal, showing each stage of the build from site preparation and retaining walls to planting, turf and the handover walkthrough, so clients know what happens when.

  • Can clients ask questions inside the proposal?

Yes. Clients can leave comments on the proposal and you reply in the same thread, so questions such as where the lights go stay with the document instead of getting lost in email. You're also notified when the proposal is opened, from Essentials.

Pricing, extras and packages

Price every plant, paver and visit, and let clients choose.

  • Can I price by the square metre, lineal metre or plant?

Yes. Price tables show a quantity, unit and rate on every line, so you can price paving by the square metre, edging and retaining walls by the lineal metre and plants each. Subtotals, tax and the total calculate as you go. Price tables are on Essentials and above.

  • Can clients choose optional extras like lighting or a rainwater tank?

Yes. Mark lines as optional and the client ticks what they want, such as garden lighting, a rainwater tank or a garden care plan. The total updates on the page as they choose, before they sign.

  • Can I keep a catalogue of plants, materials and labour?

Yes. The product catalogue stores your items with prices, costs, SKUs, categories and images, and you can import it from a CSV file. Price tables pull items from it, and costs and margins stay hidden from the client. The catalogue is on Essentials and above.

  • Can I offer good, better and best packages?

Yes. Show packages side by side, for example a Tidy, Refresh and Revive spring clean-up, each with what's included and its price. The client picks one, and you can mark the package you recommend. Packages suit seasonal clean-ups, lawn programmes and maintenance tiers, where clients compare options rather than line items.

  • Does QuoteCloud handle sales tax, VAT and GST?

Yes. Price tables include a tax column, so sales tax, VAT or GST as set on your account is calculated on each line and shown in the totals. You set the tax rate and the document's currency to suit your business.

Signing and deposits

From yes to deposit, on one page.

  • Are QuoteCloud eSignatures legally binding?

Yes. QuoteCloud eSignatures are legally binding and eIDAS compliant, and they are included on every plan, including Free. Clients draw, type or upload a signature on any device, and every signed document comes with a certificate of authenticity and an audit trail.

  • Can clients pay a deposit when they sign?

Yes. With a Stripe or PayPal gateway connected, clients can pay a deposit, set as a percentage or a fixed amount, or the full amount right after they sign the proposal. Accepting payments is on the Essentials plan and above.

  • Can more than one person sign, such as both homeowners?

Yes. You can add multiple signers to a document, so both owners of a property, or a property manager and an owners' association, can sign the same proposal online. Each signer signs online, and the signed document includes a certificate of authenticity and an audit trail of the signatures.

  • Can I check who is signing?

Yes. Optional recipient verification sends the signer a one-time passcode by email before they can sign. It suits larger jobs and commercial clients who want an extra check that the right person is accepting the quote and agreeing to the deposit. Verification is optional, so you can leave it off for small jobs.

Maintenance and seasonal work

Garden care agreements and seasonal offers.

  • Can I send a garden maintenance agreement?

Yes. Build a garden care agreement with each service, how often it happens and its price in a price table with repeating costs, add your terms and an eSignature block, and send it like any proposal. The client signs it online.

  • Can I see which agreements are about to expire?

Yes. Documents can have an expiry date, and the Expiring Soon filter on your dashboard shows which ones are close, so you know which garden care clients to contact about the next term. Send them an updated agreement for the coming season with any new visits or prices, ready to sign online.

  • Can I send a seasonal offer to all my past clients?

Yes. Bulk send lets you send one document, such as a spring or autumn clean-up offer, to a list of clients at once, instead of building each one by hand. Clients pick a package and sign online. Bulk send is on Essentials and above, with volume-based costs.

Integrations

Accounting, job management and scheduling.

  • Does QuoteCloud integrate with Xero and QuickBooks?

Yes. Native Xero and QuickBooks Online integrations are on the Business plan, so a signed proposal can create the invoice in your accounts with the same lines and tax. On Essentials you can connect them through Zapier instead.

  • Does QuoteCloud work with ServiceM8 or simPRO?

Yes, via Zapier. ServiceM8 and simPRO connect through Zapier automations rather than a native integration, for example creating a job when a client signs a QuoteCloud proposal. Zapier is available from the Essentials plan, and you choose which QuoteCloud event starts each automation and what it creates in your job tool.

  • Can signed jobs go into Google Calendar?

Yes, via Zapier. A Zapier automation can add an event to Google Calendar when something happens in QuoteCloud, such as a proposal being signed. It runs one way, from QuoteCloud to your calendar, so the calendar shows booked builds but changes made there do not flow back into QuoteCloud. Zapier is on Essentials and above.
