Getting started with QuoteCloud

Connect your quotes to the tools you run jobs on

The signed proposal stays at the centre. Accounting, job management, scheduling and payments pick it up from there, so nobody types the job in twice.

QuoteCloud connects to Xero and QuickBooks Online natively on the Business plan, and to ServiceM8, simPRO, Google Calendar and thousands of other apps through Zapier from the Essentials plan. Clients pay deposits through Stripe or PayPal inside the proposal, so a signed landscaping job can flow on to your accounts, job tool and calendar without retyping.

Sample signed garden proposal from a fictional business, Larkspur Garden Co.: the client Ava Marsh has signed online and paid a 20% deposit via Stripe. The activity feed shows the proposal opened, garden lighting added, signed online and the deposit paid, the point where connected apps take over.

An accepted proposal becomes the invoice

The price table your client accepted already has every paver, plant and labour line, with tax worked out. With the native Xero or QuickBooks Online integration, that same document can create the invoice in your accounts, so the numbers your client signed are the numbers you bill.

Prefer to build your own rules? Connect Xero or QuickBooks through Zapier instead, with a trigger such as a document being signed.

  • Same line items, quantities and tax as the signed proposal
  • The client on the quote is the contact on the invoice
  • No retyping between the site visit and the first bill

After the signature

From signed proposal to the crew's calendar

Native Xero and QuickBooks on Business. ServiceM8, simPRO and Google Calendar through Zapier, so a won job is not typed in twice.

One garden job, from signature to schedule

What happens after Ava Marsh signs the Larkspur Garden Co. proposal, when your stack is connected.

  1. The client signs online

Ava ticks the garden lighting extra, signs with her finger on her phone and gets a certificate of authenticity.

  2. The deposit is paid

She pays the 20% deposit on the same page through Stripe or PayPal. You see it in the document's activity.

  3. The invoice is created

The native Xero or QuickBooks Online integration on Business turns the signed lines into the invoice.

  4. The job reaches your job tool

A Zapier automation sends the won job to ServiceM8 or simPRO, so the crew works from the same scope.

  5. The build goes in the calendar

Another Zap adds the job to Google Calendar. It runs one way, from QuoteCloud to your calendar.

Native, via Zapier, or through the API

Three ways to connect, and the plan each one starts on.

  • Native accounting

Xero and QuickBooks Online connect directly to QuoteCloud on the Business plan, along with native CRM integrations.

The scope your client signed is the scope your crew builds

Job management stays in the tool your crew already uses. Through Zapier, a signed QuoteCloud document can create the job in ServiceM8 or simPRO, and the build schedule can land in Google Calendar.

The proposal keeps the plan, the planting notes and the client's comments, so the office and the site work from one version.

  • ServiceM8 and simPRO via Zapier
  • Google Calendar via Zapier, one way from QuoteCloud
  • Comments and notes stay with the proposal

Planting notes

  • Lilly pilly hedge along the rear fence for screening.
  • Ferns and clivia under the existing gum, which stays.
  • Mulch every bed 75 mm deep after planting.
  • Drip line on its own zone for the beds; lawn on its own.

Integration questions from landscapers

Does QuoteCloud integrate with Xero for landscaping businesses?

Yes. QuoteCloud has a native Xero integration on the Business plan, so a signed landscaping proposal can create the invoice in Xero with the same line items and tax. On Essentials you can connect Xero through Zapier instead, using a trigger such as a document being signed.

Does QuoteCloud work with QuickBooks Online?

Yes. The native QuickBooks Online integration is on the Business plan, along with Xero and native CRM integrations. If you're on Essentials, you can connect QuickBooks Online through Zapier and build your own automations from your QuoteCloud documents.

Can I send signed quotes to ServiceM8 or simPRO?

Yes, through Zapier. ServiceM8 and simPRO are not native integrations: you connect them with Zapier automations, which are available from the Essentials plan. A typical automation starts when a client signs a QuoteCloud document and creates the job in your job management tool.

Can won jobs go into Google Calendar?

Yes, through Zapier. A Zapier automation can add an event to Google Calendar when something happens in QuoteCloud, such as a proposal being signed. The connection runs one way, from QuoteCloud to your calendar. Zapier is available from the Essentials plan.

Which payment gateways can my clients use?

QuoteCloud works with Stripe and PayPal. Once you connect a gateway, clients can pay a deposit, set as a percentage or a fixed amount, or the full amount right after they sign the proposal. Accepting payments is on the Essentials plan and above.

Which plan do I need for integrations?

Zapier, Make and the QuoteCloud APIs start on Essentials at US$39 per user per month. Native Xero, QuickBooks Online and CRM integrations are on Business at US$59 per user per month. Both plans have a 14-day free trial with no credit card required.
