Getting started with QuoteCloud

Garden maintenance contracts, signed and scheduled

One agreement holds the level of care, the visit calendar, the monthly price and your terms. Clients sign online, and you can see which agreements are due for renewal.

A garden maintenance contract in QuoteCloud is an online agreement with care packages to choose from, a visit calendar, repeating monthly charges in a price table, your terms and an eSignature. Every agreement has an expiry date, and the Expiring Soon filter shows which ones need a renewal sent.

What to put in a garden maintenance contract

The six things clients look for before they sign up for regular care.

  • Scope of work

What's included at each visit, from mowing and edging to pruning, weeding and green waste removal.

  • Visit frequency

Fortnightly, monthly or seasonal, shown as a visit calendar so there are no surprises in winter.

  • Monthly price and term

Repeating price items with the monthly amount and the term in months, next to any one-off work.

  • Access and site rules

Gates, keys, pets and parking, written down once and agreed before the first visit.

  • Extra work

How work outside the scope is quoted and approved, so a big prune never becomes a dispute.

  • Signatures and expiry

A legally binding eSignature, a start date and an expiry date you can filter by when renewals come round.

Garden care

A year of garden care, agreed in one signature

Visits, the monthly price, the term and the expiry date sit in one agreement. Nothing renews by itself: you see it under Expiring Soon and send the next one.

12months Term of the sample garden care agreement: one signature covers every visit

How to set up a garden maintenance contract

Four steps, then reuse it for every care client.

  1. Start from a contract template

Open the Landscaping Services Contract template and add your logo, colours and standard terms.

  2. Add packages and the care plan

Put your care levels in a single-choice group and list each service as a repeating price item with its term.

  3. Add the visit calendar and terms

Show the visits month by month, then set the start date, expiry date, access and notice terms.

  4. Send, sign and track

Send the link. The client chooses a package and signs online, and the agreement appears under Expiring Soon before it ends.

Garden maintenance contract questions

What should a garden maintenance contract include?

The scope of work at each visit, how often you visit, the monthly price and the term, access and site rules, how extra work is quoted, notice to end early, a start and expiry date, and signatures. In QuoteCloud these sit in one online agreement the client reviews and signs on any device.

Can I show monthly charges in a maintenance agreement?

Yes. Price tables support repeating price items with a term and a monthly price, alongside one-off items, so the agreement shows what the client pays each month and for how long. The charges are part of the agreement; you invoice them as you do today. Price tables are on the Essentials plan and above.

Does QuoteCloud bill clients or renew agreements automatically?

No. QuoteCloud holds the signed agreement, its repeating charges and its expiry date. It doesn't charge clients each month or renew agreements by itself. Use the Expiring Soon filter to find agreements nearing their expiry date, then send next year's agreement from your template for the client to review and sign.

Can clients choose between care packages?

Yes. Offer care levels such as Essential, Full and Estate care as a single-choice option group in the price table. The client picks one in the document before signing, so the signed agreement records exactly what they chose. Price tables are on the Essentials plan and above.

Are there garden maintenance contract templates?

Yes. The QuoteCloud library includes a Landscaping Services Contract covering scope, frequency and payment terms, and Landscaping Service Contract #2 with scope, schedule, payments, variations, site access and warranty. Both are fully editable and include eSign acceptance.

Are eSignatures on maintenance contracts legally binding?

Yes. QuoteCloud eSignatures are legally binding and eIDAS compliant, and each signed document comes with a certificate of authenticity and an audit trail. Clients can sign on a phone, tablet or computer. eSignatures are included on every plan, including Free.
