Getting started with QuoteCloud

From signed proposal to project board, without retyping

Connect QuoteCloud to your project tools, CRM and accounts, so a signed proposal starts the project and the invoice.

QuoteCloud connects to project tools such as Jira, Asana, monday.com and Trello through Zapier or the QuoteCloud API (Essentials and up): for example, a signed proposal can create a project or a card. Pipedrive, Xero and QuickBooks connect natively on the Business plan, HubSpot and Zoho through Zapier. There is no direct code-repository integration.

A sample website build proposal from a fictional studio, Glasswing Studio, for Sparrow & Pine Florist playing through: the client opens it, ticks Launch SEO setup and the total updates to $21,098.00 including tax, both owners sign, and the 40% deposit of $8,439.20 is paid via Stripe. The studio's activity then shows the project created in Asana through Zapier.

Signed at 9 pm, a project in Asana by morning

Ella and Luca sign GS-2611 on Monday evening and pay the deposit. Glasswing's Zap is listening for Recipient Signed Document: it creates the Sparrow & Pine project in Asana with the client, the fee and a link to the signed PDF.

On Tuesday Sam opens Asana to a project that's already there. Nobody retypes the scope, and the signed proposal is one click away when someone asks what was agreed.

  • Triggers: Recipient Signed Document, Document Payment Event, Status Changed
  • Actions in the other tool: create a project, a task, an item or a card
  • The same pattern works for Jira, monday.com and Trello

Four ways in, depending on the tool

How each tool a studio uses connects to QuoteCloud, as stated on QuoteCloud's own pages.

Zaps that suit a studio

Sample recipes built from QuoteCloud's Zapier triggers and actions. Set up the ones that save you retyping.

  • Questionnaire in, proposal drafted

Form Submitted on Document → create a document from your proposal template with the client's details. Then check and send it.

  • Signed, project created

Recipient Signed Document → a new project in Asana, an item in monday.com, or a board in Trello.

  • Deposit paid, work booked

Document Payment Event → a kick-off task for the project manager in your project tool.

  • Client comment, ticket raised

Comment Event → a Jira issue or a task, so a question in the proposal isn't lost.

  • Status changed, deal updated

Status Changed → update the deal in HubSpot or Zoho through Zapier.

  • Signed, invoice drafted

Recipient Signed Document → a draft invoice in Xero or QuickBooks through Zapier, or natively on Business.

Zapier or the API: what it costs and what it can do

Most studios start with Zapier: no code, and the triggers above cover the usual hand-offs. Studios with their own tools use the QuoteCloud API, or Make.

Either way, an automation can create a document from your template, fill its data items (client name, business, site address) and add price-table rows with a label, note, price, quantity and term. It can send a document, generate a PDF link, update a status, or duplicate and revise a document. It doesn't tick options or choose content blocks: someone in the studio does that.

Documents created through the API or Zapier carry a per-document fee: US$2.00 each for 1 to 1,000 a month, US$1.80 for 1,001 to 5,000 and US$1.60 above that. No fee is stated for Make.

  • Zapier triggers: Recipient First Viewed Document, Recipient Signed Document, Document Payment Event, Document Part Paid, Status Changed, Form Submitted on Document, Comment Event
  • Zapier actions: create a document, send a document, generate a PDF link, update a status, approve or reject a workflow, duplicate or revise a document
  • No GitHub or repository integration beyond what you build through Zapier or the API

Connect a signed proposal to Asana in five steps

The same steps work for Jira, monday.com or Trello.

  1. Use Essentials or up

Zapier, Make and the API are on the Essentials plan and above.

  2. Connect Zapier

In Zapier, add QuoteCloud and authorise it, or enter your QuoteCloud API key.

  3. Pick the trigger

Choose Recipient Signed Document, so only signed proposals start a project.

  4. Map the fields

Send the client name, project fee and PDF link to a new Asana project.

  5. Test with a sample

Sign a test proposal yourself and check the project appears. Then turn the Zap on.

Integration questions

Does QuoteCloud integrate with Jira, Asana, monday.com or Trello?

Yes, through Zapier or the QuoteCloud API, on the Essentials plan and up. For example, a signed proposal can create a project in Asana, an item in monday.com, a card in Trello or an issue in Jira. There is no native connector for these tools.

Does QuoteCloud connect to GitHub?

Not directly. There is no code or repository integration. If you need something in GitHub when a proposal is signed, you would build it yourself through Zapier or the QuoteCloud API.

Which CRMs and accounting tools connect natively?

Pipedrive connects natively on the Business plan. Xero and QuickBooks are native on Business, and on other plans connect through Zapier. HubSpot and Zoho connect through Zapier. Salesforce uses the Sync add-on or Zapier.

Is there a fee for documents created through Zapier or the API?

Yes. Each document created through the API or Zapier costs US$2.00 for 1 to 1,000 a month, US$1.80 for 1,001 to 5,000 and US$1.60 above 5,000. No fee is stated for Make.

Can an automation choose the features in a proposal?

No. An automation can create a document from a template, fill data items and add price-table rows. It doesn't tick optional items or choose content blocks: someone in your studio reviews the draft, sets the options and sends it.

Will Slack or Teams alert my team?

QuoteCloud's Slack and Microsoft Teams alerts cover document updates, comments and actions, so a client question in a proposal reaches the team quickly. Opens, signatures and payments show in the document's activity and tracking in QuoteCloud.
