Getting started with QuoteCloud

Inspection reports and defect quotes for security & fire contractors

Turn every site's inspection results into a branded test report and a priced defect quote the building manager ticks and signs, and price new systems from your own device count.

QuoteCloud is document, quoting and eSignature software for fire protection, CCTV, alarm and access control contractors. Your inspection results become a test report and a defect quote whose lines the building manager ticks to approve and signs. An AI assistant connected through QuoteCloud's MCP service can be set up to draft both for your review.

Last reviewed by the QuoteCloud team

An engineered drawing of Level 3 of Calder House, a fictional six-level office building, cut away to show its core, meeting rooms, desks, six ceiling smoke detectors with their coverage, two cameras with their fields of view, an access-controlled door with a card reader, a fire panel repeater, an extinguisher and the technician's inspection route. An enlarged detail shows detector SD-L3-07, which gave no response to test smoke. Beside it, a card from the fictional contractor Harrowfield Fire & Security takes turns through four steps: the inspection app's results (186 devices tested, 4 failed); the draft test report with results by system; the defect quote with four defect lines ticked, $1,162.70 inc tax; and the quote signed by the building manager, Simone Achebe, with a certificate of authenticity.

Try it: from inspection results to a signed defect quote

Mark any device as failed in Adaeze's inspection app, ask the assistant for the report and the quote, review the drafts, then approve the defects and sign as the building manager.

Freya LindqvistTurn today's Calder House inspection into the six-monthly test report and a defect quote.

  1. Reads the Calder House results from your inspection app, through that app's own connection or an export
  2. Finds Larchmont Property Group and the Calder House site in QuoteCloud
  3. Creates the test report as a draft from your inspection report template, with the results by system
  4. Lists each defect with its device, location and finding
  5. Creates the defect quote as a draft one price-book line per defect, plus the visit
  6. Checks the approval rules under $5,000, so no approval is needed
  7. Leaves both drafts for you to review nothing is sent

Two drafts are ready for your review. Nothing has been sent.

Illustrative: what an assistant connected through QuoteCloud's MCP service can be set up to do. It works only with what it's allowed to read, creates drafts, and never sends.

A demo with a fictional business: nothing is sent, stored or charged. With QuoteCloud's MCP service (Essentials and up), an AI assistant your business connects can be set up to read the results you allow it to, create documents from your templates as drafts, add lines from your price book and check your approval rules. People review and send; the assistant never sends. QuoteCloud doesn't inspect, test or certify anything: the results and any certification under the standard that applies to the site are your licensed technicians'.

How the MCP workflow is set up

From the site visit to approved defect work in five steps

What happens between your technician finishing the inspection and the building manager approving the fixes.

  1. Inspect as usual

Your technician tests each device and records results in your inspection app, as today.

  2. Drafts are created

Your AI assistant, or your app through the API or Zapier, creates the test report and the defect quote from your templates.

  3. You review

Your service manager checks the drafts, edits anything, and sends both to the building manager.

  4. Defects approved

The building manager ticks the defects to fix and signs; the total follows the ticks.

  5. Fix and report back

Book the work from the signed quote and send the next report when the defects are cleared.

Test reports building managers actually read

Each site's routine inspection as one branded document: the results by system, every defect with its device, location and finding, photos marked up on site, and a place for the building manager to acknowledge it.

The report is yours: your technicians test and certify under the standard that applies to the site, and QuoteCloud presents it, tracks when it's opened and keeps the signed copy with its certificate of authenticity.

  • Technician and building manager both sign

Count the devices per zone, and the proposal prices itself

Marcus's device count for Penrose Cold Stores is a Spreadsheet block in the proposal: cameras, sensors, readers and detectors per zone, cable runs and the monitoring tier, priced from his Rates tab.

Connect any cell to a price line's description and unit price: Zones!B9 writes "27 IP cameras, turret & dome" into the cameras line and B10 its price. Change a count and the line follows. Quantities and options stay on the price table as usual.

  • Cell → a line's description and unit price

Big systems get a second look before they go out

Set approval rules on total value or on a discount percentage. Penrose's $47,372.60 system is over $40,000, so it waits In Review until Ingrid approves it, then goes to Leila and Dominic to sign.

The client chooses the options, sees the monitoring charge set out in the agreement, and pays a 30% deposit through Stripe as they sign.

Security & fire questions, answered

What is QuoteCloud for security and fire contractors?

QuoteCloud is document, quoting and eSignature software for fire protection and fire equipment servicing contractors, CCTV installers, alarm and monitoring companies and access control integrators. You send inspection and test reports, defect rectification quotes, system design proposals and monitoring and service agreements from your own templates, signed online, with deposits on signing for new installs.

Can an AI assistant turn our inspection results into a report and a quote?

It can be set up to. QuoteCloud's MCP service, on the Essentials plan and up, lets an AI assistant your business connects work with QuoteCloud: for example creating a test report and a defect quote from your templates, with a price-book line for each defect. Documents are created as drafts for a person to review, approvals still apply, and nothing is sent without a person.

Does the assistant read our inspection app?

Only if your business connects it. The assistant reads results through your inspection app's own connection, or from an export you give it, and works with QuoteCloud through the MCP service. It reads only what it's allowed to. Without an assistant, your app or job system can create the same documents through the QuoteCloud API, Zapier or Make.

Does QuoteCloud inspect, test or certify fire and security systems?

No. Your licensed technicians inspect and test, and any certification under the standard that applies to the site is yours. QuoteCloud presents your results as a branded report, tracks when it's opened, collects the building manager's acknowledgement and keeps the signed copy with a certificate of authenticity and audit trail.

Can the building manager approve only some defects?

Yes. Put each defect on the quote as an optional line. The building manager ticks the defects they want fixed, the total follows, and they sign. You see which lines they approved, and can book the work from the signed quote.

Can a spreadsheet price our CCTV and alarm proposals?

Yes. Build your device count as a Spreadsheet block in the proposal template, or import your .xlsx, on Essentials and up. Any cell can be connected to a price line's description and unit price, so camera, sensor, reader and cable totals become the equipment lines. A price table total can also be brought back into a cell.

How do monitoring fees work in QuoteCloud?

Monitoring and scheduled servicing appear as repeating charges in the agreement, so the client sees exactly what they'll pay each month and for how long. Your business invoices them: QuoteCloud doesn't bill repeating charges. Agreements carry an expiry date, and the Expiring Soon filter shows which need renewing.

Can we take a deposit on a new installation?

Yes, from the Essentials plan. Set a deposit as a percentage or a fixed amount, or ask for full payment, and the client pays through Stripe or PayPal as they sign. The balance is your own invoice: QuoteCloud doesn't offer instalments or payment reminders.

Can large quotes need a manager's approval before they're sent?

Yes, on the Business plan. Approval rules trigger on a document's total value or on a discount percentage, so a large system or a deep discount waits In Review until the approver approves it. Rules apply to documents your team or an assistant prepares.

Does QuoteCloud connect to simPRO, ServiceM8 or our accounts?

simPRO and ServiceM8 connect through Zapier. HubSpot connects through Zapier and Pipedrive through Zapier or Make. Xero and QuickBooks Online are native on the Business plan, otherwise through Zapier. Documents created through the API or Zapier carry a per-document fee.
