Getting started with QuoteCloud

Deposits paid before the job goes on the press

A percentage, a fixed amount or full payment as the client signs, through Stripe or PayPal, with the steps to install day in the quote.

With QuoteCloud, on the Essentials plan and up, a sign or print quote can ask for a deposit as a percentage or a fixed amount, or full payment, paid through Stripe or PayPal as the client signs. The balance is the printer's own invoice; QuoteCloud doesn't do instalments or reminders.

A tablet at the counter of a fictional sign maker, Morrowgate Print & Signs, showing the signing view of quote MP-S-2417 for Copperleaf Café: the fascia panel 4,800 × 900 mm in 3 mm ACM, printed and laminated, $995.00; artwork and proofing $180.00; installation by two installers for four hours $720.00; the window frost vinyl band ticked at $126.00 and the projecting lightbox left unticked; $2,223.10 including tax with a 50% deposit of $1,111.55. Lena Marchetti, owner of Copperleaf Café, draws her signature and the button turns to Signed. Two notes float beside it: Proof 2, Rev B approved with the same signature, and a deposit of $1,111.55 paid through Stripe on signing.

The deposit follows the choices the client makes

Morrowgate asks for 50% before it cuts a panel: a fascia with a café's name on it can't be sold to anyone else. The deposit is set once, in the sign package template, and worked out from whatever the client chooses.

Tick the projecting lightbox and watch the total, the deposit and the amount to pay change together. Lena approves Proof 2, signs and pays in the same step through Stripe, and the signed quote carries a certificate of authenticity.

  • A percentage or a fixed amount, or full payment
  • Paid through Stripe or PayPal as the client signs

A deposit rule for each kind of job

Custom work, packaging and repeat orders carry different risks, so each template asks for a different payment on signing.

From signature to install day, in the quote

Once the deposit is paid, Lena wants to know when her sign goes up. The quote already shows her: print and laminate, fabrication, the lightbox build if she adds it, and the install on day 6, before the café opens.

Her question about the frost band sits in the comments with Rafe's answer, and the install notes say what Morrowgate does and what her own electrician does. The schedule is Morrowgate's plan; production scheduling stays in its own job system.

Deposit and sign-off questions

Can a sign or print quote take a deposit when the client signs?

Yes, from the Essentials plan. Set a deposit as a percentage or a fixed amount, or ask for full payment, and the client pays through Stripe or PayPal as they sign. The amount is worked out from the total of the options and run length they chose, and the payment shows in the document's activity.

Does QuoteCloud collect the balance after install or delivery?

No. QuoteCloud takes the payment due on signing. The balance is your own invoice, from your accounting software. QuoteCloud doesn't offer instalments, payment reminders or automatic billing, so set out your balance terms in the quote. Your accounts can pick up the payment through Zapier, or natively on Business.

Can the client approve the proof and pay in one step?

Yes. Put the artwork proof inside the quote, and the client approves it with the same signature they use to accept the price, then pays the deposit. The signed document carries a certificate of authenticity and an audit trail. The deposit goes through Stripe or PayPal, on Essentials and up.

Can I skip the deposit for clients on account?

Yes. Each template has its own payment setting, so a reorder template for trusted accounts can ask for no payment on signing while your custom sign template asks for 50%. The client still signs the quote. Your account terms stay in your own accounts.

Do payments reach Xero or QuickBooks?

Xero and QuickBooks Online connect natively on the Business plan. On other plans, a Zapier zap can use the Document Payment Event trigger to pass the payment to your accounts. Stripe or PayPal handles the payment itself. It passes data from QuoteCloud to your accounts; it isn't a two-way sync.

Can the quote show when the sign will be installed?

Yes. A Gantt chart, on the Business plan, can set out proof, print, fabrication and install days in the quote, with install notes beside it. It shows your plan to the client; production scheduling stays in your own job system.
