Getting started with QuoteCloud

Sign and print quoting questions, answered

Straight answers on estimating sheets, run lengths, proofs and colour, AI quoting with MCP, deposits, reorders and integrations.

This page answers the questions sign makers, commercial and packaging printers and large-format producers ask about QuoteCloud: how the Spreadsheet block prices lines, how to offer run lengths, how proof approval works and what it doesn't do, what MCP can be set up to do, deposits, reorders, templates, plans and integrations.

Last reviewed by the QuoteCloud team

Three pages from a fictional sign and print business's documents, fanned out and taking turns at the front: an approved fascia artwork proof for Copperleaf Café with crop marks, the cut line and the screen-colour disclaimer (proofs and colour); a price table offering festival programmes at 2,500, 5,000 or 7,500 copies as one choice (estimating and run lengths); and a client's request for the same cartons as last year (AI and reorders).

Estimating sheets and run lengths

Can my estimating spreadsheet set the prices in a QuoteCloud quote?

Yes. Build your calculator as a Spreadsheet block in your quote template, or import your existing .xlsx, on Essentials and up. Any cell can be connected to a price line's description and unit price, so the area, material, finish and hours your formulas work out become the lines the client sees. The price table total can come back into a cell.

Can a spreadsheet cell set the quantity on a line?

No. A connected cell sets a line's description and unit price. Quantities are set on the price line as usual, or the client can change them where you allow it. For a sign, the usual pattern is a quantity-1 line whose description and price come from the sheet.

Does QuoteCloud calculate print prices for me?

No. The formulas, rates, waste allowances and make-ready costs are your own, in your Spreadsheet block or your product library. QuoteCloud runs the sheet you set up and carries the results into the quote; it doesn't invent or look up prices by itself.

How do I quote several run lengths in one quote?

Put each run length on its own line in a single-choice group, for example 2,500, 5,000 and 7,500, each with its unit price from your run sheet. The client picks one and the total and deposit follow. The breaks are your own figures: QuoteCloud doesn't apply quantity-break rules.

Can I price signs by the square metre?

Yes. Width and height go into your sheet, which works out the area, adds your waste allowance and looks up the material and finish rates. The connected cell sets the line's description, such as the panel size and material, and its unit price.

Artwork proofs and colour

Can the client approve the artwork proof inside the quote?

Yes. Add the proof as an image or PDF block, with the checks you want confirmed, and the client approves it with the same legally binding signature they use for the price. The signed document carries a certificate of authenticity and an audit trail. Image and PDF blocks are on Starter and up.

Are the colours on screen accurate?

No screen is a colour proof, and QuoteCloud doesn't do colour proofing. Say so on the proof, as the samples here do, and offer a printed or press proof when colour is critical. QuoteCloud carries the proof and records the approval; colour management stays in your workflow.

Can clients comment on the proof?

Yes. Clients can review, comment and sign in the same document, and your team can reply and @mention colleagues. Comments aren't pinned to exact words or areas of the artwork, so ask clients to say what they'd change, and send a new proof revision in reply.

Does QuoteCloud preflight or check artwork files?

No. Preflight, imposition, resolution and bleed checks stay with your artwork team and their software. QuoteCloud holds the proof you produce and the client's approval of it. Put the checks you want the client to confirm, such as spelling, sizes and colours, beside the proof in the quote.

AI quoting and automation

How does AI quoting with MCP work?

QuoteCloud's MCP service, on the Essentials plan and up, lets an AI assistant you connect work with QuoteCloud. It can be set up to read a spec email or enquiry, find the client, create a draft from your template and add lines from your product library. What it prepares is a draft for a person to review and send.

Can the AI assistant send quotes by itself?

No. Documents are created as drafts for a person to review, your approval rules still apply, and nothing is sent without a person. The assistant reads only what your set-up allows, and the prices come from your sheet and library, not from the assistant.

Can our website quote form create a quote?

Yes, from Essentials. Through the QuoteCloud API, Zapier or Make, a form can create a quote from your template, fill data items and add price-table rows. Zapier can also write values into Spreadsheet block cells. Automations don't tick options or choose content blocks, and API and Zapier documents carry a per-document fee.

Does QuoteCloud connect to my print MIS?

Through Zapier, Make or the QuoteCloud API: there's no named MIS integration. A common zap opens a job in your MIS or job system when the Recipient Signed Document trigger fires. QuoteCloud doesn't do production scheduling, job tickets or stock control.

Deposits, reorders and sign-off

Can I take a deposit before a job goes into production?

Yes, from the Essentials plan. Set a deposit as a percentage or a fixed amount, or ask for full payment, and the client pays through Stripe or PayPal as they sign. The balance is your own invoice: QuoteCloud doesn't offer instalments, payment reminders or automatic billing.

How do reorders work?

A reorder is a new quote started from the previous job: duplicate or revise it yourself, or have Zapier or an AI assistant connected through MCP prepare the draft. Update the prices, keep tooling on file as a $0 line, and send it for signature. Nothing reorders by itself.

Can several people sign the same quote?

Yes. A quote can have several signers, such as the client's owner and their marketing lead, and nobody needs a QuoteCloud account to sign. A client can also sign in person on your own device, for example at the counter.

Can a manager approve big quotes before they go out?

Yes, on the Business plan. Approval rules on total value or discount percentage hold a quote In Review until the named approvers approve it, for example a display quote over $2,500 waiting for the director. Below the limit, estimators send as usual.

What QuoteCloud does in a sign and print shop, and what it doesn't

QuoteCloud does the selling end of the job: your sheet pricing the lines, the run lengths and options the client chooses, the artwork proof inside the quote, the signature with its certificate of authenticity, and the deposit.

It doesn't do prepress, preflight, imposition, production scheduling, job tickets, stock control or colour proofing. A screen is never a colour proof, so every proof here says so. Those jobs stay in your artwork workflow and your print MIS or job system.

  • Prices come from your sheet and your rates
  • Screen colour is a guide, and the proof says so
  • Your MIS connects through Zapier, Make or the API
