Getting started with QuoteCloud

Connected to your website, MIS, CRM and accounts

Website forms create quotes, signed jobs reach your MIS or job system, and invoices reach Xero or QuickBooks, each connected the way it really connects.

QuoteCloud connects to a sign or print business's other systems from the Essentials plan: website quote forms and web-to-print shops through the API, Zapier or Make; a print MIS or job system through the same routes; HubSpot through Zapier and Pipedrive through Zapier or Make; Xero and QuickBooks Online native on Business, otherwise through Zapier; Stripe and PayPal for deposits.

The cover of a fictional display quote, MP-L-1186, Stand 14 graphics for Orrin Health, from Morrowgate Print & Signs, behind a panel titled "Orrin Health's enquiry, end to end: sample flow, fictional systems". Its items tick off one by one: the website quote form submitted with the stand size and logo files; the quote created from the display template with data items and price rows filled, through the API, Zapier or Make; the contact added to the CRM through Zapier; the draft checked by the estimator, Rafe, with lines from the product library; and sent for approval because the total is over $2,500. It ends In Review, waiting for the director, Ines Calloway.

A website enquiry that arrives as a priced quote

Jonah fills in Morrowgate's quote form on a Saturday night: stand size, a back wall, two roller banners, something for the counter. Through the QuoteCloud API, Zapier or Make, the form creates a document from the display template, fills the data items with his answers and adds a price-table row for each item he asked for.

On Monday Rafe opens a quote that's already laid out, with the request quoted at the top. He checks the lines, adds the spare set as an option, and because the total is over $2,500 it waits In Review for Ines before it can be sent. The automation never ticks options or chooses blocks: that stays with Rafe.

  • Created from your template, through the API, Zapier or Make
  • Data items and price rows filled at creation
  • Zapier can write form values into Spreadsheet block cells
  • A per-document fee for API and Zapier documents

How each system really connects

Native where it's native, and through Zapier, Make or the API everywhere else. Nothing here is a two-way sync.

The jobWhat passesHow it connects
Website quote form Enquiries, sizes and quantities become a quote from your template. The QuoteCloud API, Zapier or Make (Essentials and up).
AI assistant Spec emails, enquiries and reorders become drafts for review. QuoteCloud's MCP service (Essentials and up). AI quoting.
Print MIS or job system A signed quote opens a job; a reorder can start a draft. Zapier, Make or the API: no named MIS integration.
HubSpot or Pipedrive Contacts, deals and quote status. HubSpot through Zapier; Pipedrive through Zapier or Make.
Xero or QuickBooks Online Invoices and payments from signed quotes. Native on the Business plan, otherwise through Zapier.
Stripe or PayPal Deposits or full payment on signing. Connected in QuoteCloud. Deposits.
Microsoft Teams Alerts for document updates, comments and actions. QuoteCloud's Microsoft Teams integration: alerts, not data.

The triggers and actions a print shop uses

QuoteCloud's Zapier app reacts to what happens to a quote, and acts on documents. Make and the API cover the same ground in their own way.

  • Recipient Signed Document

Open the job in your MIS or job system when the client signs.

  • Document Payment Event

Pass the deposit to your accounts when it's paid.

  • Status Changed

Move the deal in your CRM as the quote moves.

  • Form Submitted on Document

Act on a form the client fills in inside the quote.

  • Duplicate or Revise Document

Start a reorder draft from last year's job.

  • Send, PDF link, status, approval

Send Document, Generate PDF Link, Update Status, and Approve or Reject Workflow.

Connect the shop in five steps

Start with the route that saves the most retyping, then add the rest.

  1. Pick the template

The template your website enquiries should become.

  2. Map the form

Form fields to data items, price rows and, through Zapier, spreadsheet cells.

  3. Connect payments

Stripe or PayPal for the deposit on signing.

  4. Hand on the signed job

Recipient Signed Document → your MIS or job system.

  5. Reach your accounts

Native Xero or QuickBooks on Business, otherwise Zapier.

Integration questions

Can our website quote form create a quote in QuoteCloud?

Yes, from the Essentials plan. Through the QuoteCloud API, Zapier or Make, a form can create a document from your template, fill data items and add price-table rows with label, note, price and quantity. Zapier can also write values into Spreadsheet block cells. Automations don't tick options or choose content blocks.

Does QuoteCloud integrate with my print MIS?

There's no named MIS integration. A print MIS or job system connects through Zapier, Make or the QuoteCloud API, for example opening a job when the Recipient Signed Document trigger fires, or starting a reorder draft with the Duplicate or Revise Document action. QuoteCloud doesn't do production scheduling or job tickets.

Do Xero and QuickBooks sync with QuoteCloud?

Xero and QuickBooks Online connect natively on the Business plan. On other plans, connect them through Zapier, for example with the Document Payment Event trigger. Either way the connection passes data from QuoteCloud to your accounts; it isn't a two-way sync.

Which CRMs connect?

Pipedrive connects through Zapier or Make, and HubSpot and Zoho connect through Zapier. A zap on the Status Changed trigger can move a deal in your CRM as the quote's status changes. Use the Recipient Signed Document trigger to mark the deal won when the client signs. None of these is a two-way sync.

Is there a cost for documents created by automation?

Yes. Documents created through the API or Zapier carry a document creation fee: US$2.00 each for 1 to 1,000 a month, US$1.80 for 1,001 to 5,000, and US$1.60 above that. No fee is stated for Make. Documents your team creates in QuoteCloud carry no such fee.

How is MCP different from Zapier or the API?

Zapier, Make and the API follow the steps you set up. QuoteCloud's MCP service lets an AI assistant work with QuoteCloud: it can be set up to read a spec email, find the client and prepare a draft from your template and product library. Drafts are reviewed by a person and nothing is sent without one.
