Getting started with QuoteCloud

Reorders drafted from last year's job

Same lines and artwork at this year's prices, the forme and plates marked as on file, and the client signs in a minute.

With QuoteCloud a printer turns a repeat job into a quote in minutes: duplicate the previous quote and update prices from the product library, or let your automation or an AI assistant connected through MCP prepare the reorder as a draft. Tooling kept on file shows as a $0 line, and the client signs and pays as before.

Two documents from a fictional printer, Morrowgate Print & Signs. Behind: this year's reorder draft MP-P-3240 for Fernhollow Tea Co.: 2,500 shipper cartons, 300 × 200 × 200 mm, kraft board, one colour, as job MP-P-2711, at $0.96 each; the cutting forme tagged On file at $0.00; a pallet delivery to Northgate at $95.00; $2,744.50 including tax. In front: Marcus Vale's reorder request, received Monday 9 November at 8:05 am, asking for the same shipper cartons as last November, 2,500 again, before the 20th, with the last job, quantity, artwork (no changes) and needed-by date picked out as data items.

"Same as last time", drafted the same morning

Marcus emails at 8:05: same shipper cartons as last November, 2,500, before the 20th. Last year's job is MP-P-2711, so the reorder starts from it: the same lines and notes, the same artwork, this year's unit price, and the cutting forme on file as a $0 line so he can see it's included.

Rafe duplicates the old quote himself, or an AI assistant connected through QuoteCloud's MCP service can be set up to prepare the draft from the previous job. Either way it's a draft: Rafe checks the prices and the delivery date, then sends it, and Marcus signs before lunch.

  • The request kept with the quote, as written
  • Last year's lines and artwork, current prices
  • Tooling on file shown as a $0 line
  • A new document, signed like any other

A reorder, before and after QuoteCloud

The same repeat job, step by step, as a packaging printer handles it today and with last year's quote to start from.

The jobTodayWith QuoteCloud
Finding the last job Searching email and job folders for last November's order. Last year's signed quote in your QuoteCloud documents, with its lines, artwork and proof.
Re-pricing Old prices copied into a new quote, then checked against this year's list. This year's prices from your product library or your run sheet.
Tooling "Do we still have the forme?" asked across the factory floor. The forme or plates on file as a $0 line, tagged so the client sees it's included.
Artwork A fresh proof sent "just in case". No changes, nothing new to approve; a changed artwork gets a new proof in the quote.
Signing An order number in a reply email. A signature, a certificate of authenticity, and a deposit if your template asks for one.

One reorder offer, sent to every packaging account

Before the busy season, Hollie sends the reorder template to five packaging accounts at once with bulk send. Each client gets a personal copy with their own last job, and she can see who has opened, who has accepted and who hasn't looked yet.

Each copy is its own quote: the client changes nothing but the choices you allow, and signs it like any other.

Three ways a reorder gets started

Every one of them makes a new document from an old one. Nothing reorders by itself.

  • Duplicate it yourself

Open last year's quote, duplicate or revise it, update the prices and the date, and send.

  • From your systems, through Zapier

Zapier's Duplicate or Revise Document action can start the draft from your job system or a reorder form. Integrations.

  • With an AI assistant, through MCP

An assistant can be set up to read the request, find the last job and prepare the draft for review. AI quoting.

  • What stays fixed

Your terms and colour disclaimer come with the template; locking them is on the Business plan.

Reorder quotes that are about to lapse, and who did what

Every reorder quote has an expiry date, and the Expiring Soon filter lists the ones lapsing in the next two weeks: Ashgrove's candle boxes in 3 days, Saltmarsh's soap sleeves in 7, Fernhollow's shippers in 14. Hollie calls the first one today.

Each quote's activity shows who did what: the draft prepared from MP-P-2711 by the assistant, the prices checked and sent by Rafe, the quote signed by Marcus. The assistant reads only what your set-up allows, approvals still apply, and nothing reaches the client until a person sends it.

  • Expiry dates and the Expiring Soon filter (Essentials and up)
  • Drafts only, for a person to review
  • Nothing sent without a person

From "same again" to a signed reorder in five steps

Whoever starts it, a person checks it before it goes.

  1. The request arrives

An email, a call or a reorder form: "same as last November, 2,500".

  2. Start from the last job

Duplicate the old quote, or let your automation or assistant prepare the draft.

  3. Check this year's prices

Unit prices, delivery and the tooling line on file at $0.

  4. Send it

A person reviews the draft and sends it to the client.

  5. Signed

The client signs, and pays on signing if your template asks for it.

Reorder questions

How do I quote a print reorder in QuoteCloud?

Start from the previous job's quote: duplicate or revise it, update the unit prices, quantities and dates, and send it as a new document for the client to sign. Lines such as a cutting forme or plates you keep on file can stay in at $0, so the client sees they're included.

Can QuoteCloud reorder automatically?

No. Nothing reorders by itself, and QuoteCloud doesn't run subscriptions or recurring billing. A reorder is a new quote that a person, an automation or an AI assistant starts from the previous job, and a person checks and sends it.

Can an AI assistant prepare the reorder?

Yes, with QuoteCloud's MCP service on the Essentials plan and up. An AI assistant you connect can be set up to read the request, find the client's previous job and prepare a reorder draft. It's a draft for your estimator to review: approval rules still apply and nothing is sent without a person.

Can our job system start a reorder quote?

Yes, through Zapier. The Duplicate or Revise Document action can create the new document from the previous one when your job system or a reorder form triggers the zap. Automations don't tick options or choose content blocks, and documents created through Zapier or the API carry a per-document fee.

Does the client need to approve the artwork again?

Only if it changes. If the artwork is the same as last time, the reorder can say so and reference the previous job. If anything changes, put the new proof inside the quote so the client approves it with the same signature.
