Getting started with QuoteCloud

Localisation project proposals clients sign before release

Languages, engineering, desktop publishing, in-context review and a release plan in one proposal, with options the client ticks and two signatures.

A localisation proposal in QuoteCloud brings the scope together: translation by language, string extraction, screenshots and DTP, linguistic QA, optional glossary and voice-over work, a Gantt release plan (Business) and assumptions. Large totals wait for your approval (Business), then the client's signers sign and pay a deposit.

An engineered axonometric drawing of a fictional localisation proposal's release board for Kestrel Robotics. A long slab marked in eight weeks carries the release plan as raised bars along the front (kick-off, translation and editing, screenshots and desktop publishing, in-context review, fixes) and three deliverables as stacks of six thin layers, one per language: the app's string files, the help-centre pages and the printed quick-start guide. A post and flag mark release 3.4 at the end. A circular detail lists the six languages: French, German, Japanese, Spanish (Latin America), Portuguese (Brazil) and Arabic, marked right to left. Cards below show the proposal total, $32,508.08 including tax with a 30% deposit of $9,752.42, and its status in three steps: In Review because the total is over $25,000, approved by Ines Navarro and sent, then signed by Hana Sorensen with Marcus Albrecht still to sign.

A localisation proposal, read part by part

Kestrel's companion app, help centre and printed guide in six languages for the 3.4 release: the proposal Amara built from Larkmoor's localisation template.

  1. Opens on the release, not the price

What's being localised, for which release and until when the price holds, in the client's terms: an app, a help centre and a printed guide.

    Scope by language and deliverable

  3. Client chooses options

Every language and every step priced

Translation by language, string extraction, screenshots and DTP, in-context review and functional checks, each in its own section with a subtotal. The glossary is an option the client can untick; terminology and voice-over are a tick away.

  5. Assumptions, and a question answered

The assumptions the price depends on, such as when test builds are ready, and Hana's question about the Japanese review, answered by Amara in the document.

    Assumptions

    • Word counts are from our analysis of the files you sent on Tue 20 Oct; a new analysis prices any later source changes.
    • Test builds are available to our reviewers from week 5.
    • Your team approves the glossary before translation starts.

Hana SorensenCan the Japanese reviewer join our call in week 5 to walk through the onboarding screens?

Amara OseiYes, Kenji will join; we've added it to the in-context review.

  6. Client signs

Two signers on the client's side

The documentation manager and the VP Engineering both sign. A 30% deposit is paid through Stripe on signing; the balance goes on Larkmoor's own invoices.

Options the client ticks instead of asking for a new quote

A localisation proposal changes shape in the client's review: a glossary first, a terminology list for their engineers, voice-over scripts if marketing gets the budget. Put each one in an optional section and let the client tick it.

Tick and untick the options here: the section subtotals, tax, total and the 30% deposit all follow, exactly as they do for Kestrel.

  • Optional rows with your default selection
  • Line notes that say what each option covers
  • Deposit as a percentage of whatever is ticked

What a localisation vendor gets from one proposal template

The parts that are the same on every project stay the same; the parts that change are quick to change.

  • Method and QA in a library

Your workflow, linguistic QA process and security wording as content library blocks you add in a click (Essentials and up).

  • Wording that stays put

Lock the blocks project leads shouldn't change, such as your terms and QA description (Business).

  • A plan tied to the release

A Gantt chart of the phases and the release milestone inside the proposal (Business).

  • New source, new version

When the client's source changes, Revise Last Version sends an updated proposal; version history keeps what was agreed (Business).

  • Questions in the document

The client comments on a section and your localisation lead replies there, so the answer travels with the proposal.

  • Know when it's read

Tracking shows when the proposal is opened, so you follow up when the client is looking at it.

Over your limit? A director approves before it goes

Kestrel's proposal comes to $32,508.08, over Larkmoor's $25,000 rule, so it sits In Review until Ines approves it. Only then can Amara send it.

Once it's sent, both of Kestrel's signers sign online, with no account needed, and the signed proposal carries a certificate of authenticity.

  • Approval triggers: total value or discount %
  • In Review until a named approver approves
  • Several signers on one proposal

How to build a localisation proposal in QuoteCloud

From the client's brief to a signed proposal, using one template for every project.

  1. Start from your template

Create the proposal from your localisation template: cover, method, QA, terms and an empty scope table.

  2. Scope it

Fill in the scope by language and deliverable, and price each language from the word counts.

  3. Add engineering and options

Add engineering, DTP and review lines, and the options the client may want as optional rows.

  4. Plan the release

Set the phases and the release milestone in the Gantt block (Business) and note your assumptions.

  5. Approve, send, sign

Large totals go to your approver first (Business); then the client's signers sign and pay the deposit.

Localisation proposal questions

What goes in a localisation proposal?

The scope by language and deliverable, translation priced per language, engineering such as string extraction and screenshots, desktop publishing, linguistic QA and in-context review, options like a glossary, a release plan and your assumptions. In QuoteCloud each part is a block in one proposal the client signs.

Can the client choose optional services in the proposal?

Yes. Put services such as a glossary, terminology extraction or voice-over adaptation in an optional section of the price table. The client ticks the ones they want and the totals and deposit update before they sign.

Can we include a release plan or timeline?

Yes. On the Business plan the Gantt block shows each phase and milestone, such as translation, DTP, in-context review and the release date. It's your plan, sent and signed with the price; QuoteCloud doesn't track the project against it.

How do we handle large proposals that need sign-off internally?

Set an approval rule on total value or discount percentage (Business plan). A proposal over your limit waits In Review until the named approver approves it, and only then can it be sent to the client.

What if the client's source files change after we send the proposal?

Re-price from the new analysis and use Revise Last Version to send an updated proposal. On the Business plan version history keeps each version, so you can see what was agreed when.

Can two people at the client sign?

Yes. Add every signer the client needs, such as a documentation manager and a VP Engineering. Each signs online with no account, and the signed proposal carries a certificate of authenticity.
