Getting started with QuoteCloud

Salesforce Sync add-on or Zapier: which should you use?

The add-on puts QuoteCloud inside Salesforce for the rep. Zapier automates jobs around the deal on any plan with Zapier access. Here's how to choose, job by job.

Use the Salesforce Sync add-on, on QuoteCloud's Business plan, when reps should start quotes from the Opportunity and see their status on it. Use QuoteCloud's Zapier app, on Essentials and up, when you're not on Business, or for jobs the add-on doesn't do, such as Closed Won on signature. Business includes Zapier, so you can use both.

What's the difference between the add-on and Zapier?

Who starts it The rep, from the Opportunity in Salesforce. An event: a stage change, a signature, an expiry. The Zap then runs by itself.
Set-up Connect your org from QuoteCloud with OAuth. No code. Connect both apps in Zapier, then build each Zap: trigger, actions, mapped fields. No code.
Creating documents Started from the Opportunity, from your template, linked to it. Create Document from your template when a trigger fires, with the fields you map as data items.
Status back Delivered, first viewed and signed, on the linked Opportunity. Any QuoteCloud trigger to the field, note or Task you choose.
Stage changes Not described for the add-on. Use a Zap. Closed Won on signature and Closed Lost with Update Record.
Contacts and accounts Not described for the add-on. Use a Zap. Found or created in both apps, matched on email.
Plan and cost Business plan. Essentials and up, plus US$2.00, $1.80 or $1.60 by volume for each document created through Zapier or the API.

Which route each use case on this site uses.

  • Documents from Opportunities

Add-on. The rep starts the document from the Opportunity. Without Business, a Zap on a stage change does part of it.

    Documents from Opportunities
  • Status on the Opportunity

Add-on, or two small Zaps on Recipient First Viewed Document and Recipient Signed Document.

  • Closed Won on signature

Zapier: Document Signing Complete, Find Record, Update Record. Runs beside the add-on on Business.

    Closed Won on signature
  • Quotes from stage changes

Zapier: Updated Field on Record, then Create Document. For teams without the add-on.

  • Contacts and accounts

Zapier: New Contact one way, New Contact Created the other, matched on email.

  • Expired and lost

Zapier: Document Expired adds a Task; Document Lost moves the Opportunity to Closed Lost.

On Business, use both

Business includes everything on Essentials, Zapier access too. Tallwire Communications uses the add-on so its reps start proposals from the Opportunity and see when Saltmarsh opens them, and a Zap so the Opportunity moves to Closed Won the minute both signers have signed.

Each route does its own job, so they don't step on each other: the add-on keeps the document linked and its status on the Opportunity, and the Zap changes the stage.

Three questions to decide

Where do your reps work? If they live in Salesforce and should start every quote from the Opportunity, the add-on fits. If quoting starts in QuoteCloud, or should start by itself, Zapier fits.

Which plan are you on? The add-on is on Business. On Essentials, Zapier is the route, and documents created through Zapier carry the per-document fee: work it out.

What else should happen? Stage changes, contacts, Tasks and channel alerts are Zaps on either plan. See what each route can and can't do.

Questions about choosing a route

What is the difference between the Salesforce Sync add-on and Zapier?

The Salesforce Sync add-on, on Business, connects your org with OAuth: reps start documents from an Opportunity, the documents stay linked to it and their status comes back to it. Zapier, on Essentials and up, runs one-way automations you build, such as updating the Opportunity's stage when a document is signed.

Is the Salesforce Sync add-on better than Zapier?

Neither is better; they do different jobs. The add-on suits reps who quote from the Opportunity and want status there, with nothing to build. Zapier suits teams not on Business and jobs the add-on doesn't do, such as stage changes, contacts and Tasks.

Can I start with Zapier and add the Salesforce Sync add-on later?

Yes. Zaps keep working on Business, which includes Zapier access. Add the Salesforce Sync add-on when your reps should start documents from the Opportunity, and keep the Zaps for the jobs the add-on doesn't do, such as stage changes, contacts and follow-up Tasks.

Does the per-document fee apply to both routes?

The per-document fee of US$2.00, $1.80 or $1.60 by volume is documented for documents created through Zapier or the API. Ask QuoteCloud how documents started from the Salesforce Sync add-on are charged when you add it on the Business plan.
