Getting started with QuoteCloud

PSA, CRM and accounting integrations for MSPs

A signed agreement updates your CRM and accounting natively on Business, and reaches your PSA, service desk and Teams through Zapier, Make or the API.

QuoteCloud connects to CRM and accounting software such as HubSpot, Salesforce, Xero and QuickBooks through native integrations on the Business plan. From Essentials, Zapier, Make and the QuoteCloud API connect it to other tools: a signed agreement can create a record in a PSA or service desk that has a connector, or post a message to Microsoft Teams.

A signed managed services agreement from a fictional MSP, Quillfield IT, for Thornbury & Webb: signed by both partners, onboarding of $3,120.00 paid through Stripe. From the Recipient Signed Document trigger, four hand-offs branch out: the deal is updated as won in the CRM (native on the Business plan, or Zapier), an invoice for the onboarding is created in Xero or QuickBooks (native on Business, or Zapier), a new agreement or ticket is created in the PSA (through Zapier or Make where the PSA has a connector, or the QuoteCloud API), and a message is posted in Microsoft Teams (Zapier).

Which route reaches which system

An MSP runs a CRM, accounting software, a PSA and a service desk. Here is how QuoteCloud reaches each of them today, honestly.

Build the hand-off from a signed agreement

Illustrative: the actions you can use depend on your PSA's own Zapier or Make connector. Build it once and it runs for every agreement.

  1. Pick the QuoteCloud trigger

In Zapier, choose QuoteCloud and Recipient Signed Document, or Document Payment Event to wait for the onboarding payment.

  2. Connect your account

Sign in to QuoteCloud once so Zapier can see your documents and their details.

  3. Find or create the client

Add your PSA's step to find the company or create it, where its connector offers that action.

  4. Create the record

Map the document's details into a new agreement, opportunity or onboarding ticket in your PSA.

  5. Tell the service team

Add a Microsoft Teams or Slack message so service delivery knows a new client is starting.

Every step of the agreement can start a hand-off

QuoteCloud's Zapier app triggers when a recipient first views a document, signs it, pays, comments, submits a form on it, or when its status changes. Each one can start a Zap or a Make scenario.

It works the other way too. A deal in your CRM or a ticket in Zendesk can create a QuoteCloud document from your template, with data items and price-table rows filled in, ready for the rep to check and send.

  • Triggers: Recipient First Viewed Document, Recipient Signed Document, Document Payment Event, Document Status Changed, Form Submitted on Document, Document Comment Event
  • Actions: create a document from a template, Send Document, Generate PDF Link, Update Document Status, Approve or Reject Document Workflow
  • Zapier, Make and the API from Essentials; per-document fees for Zapier and API documents

What QuoteCloud hands off, and what stays put

QuoteCloud prices, sends, gets the agreement signed and takes a payment on signing. Your PSA, RMM and accounting keep doing their jobs.

  • Tickets and time stay in your PSA

Service delivery keeps running there. QuoteCloud hands it the signed agreement, through Zapier, Make or the API.

  • Monthly invoices stay in billing

QuoteCloud doesn't bill the monthly fees. Your PSA or accounting software invoices them for the term.

  • Devices stay in your RMM

QuoteCloud doesn't read device counts. Reps enter them, or your automation sends quantities when it creates a document.

  • Payment on signing, in QuoteCloud

Onboarding or hardware paid by card through Stripe or PayPal as the client signs.

  • End dates, in QuoteCloud

Each agreement's expiry date and the Expiring Soon filter. Nothing renews by itself; you send the next term.

  • One-way hand-offs, not a sync

Each Zap or scenario moves what you map, when its trigger fires. Nothing keeps two systems in step by itself.

Integration questions from MSPs

Does QuoteCloud integrate natively with ConnectWise, Autotask or HaloPSA?

No. QuoteCloud has no native PSA integration. A signed document can reach your PSA through Zapier or Make where your PSA has a connector for them, or through the QuoteCloud API, all available from the Essentials plan. API and Zapier document creation has per-document fees. Consultancy and integration set-up are available if you'd rather not build it yourself.

How does a signed agreement reach my PSA?

Build a Zap or Make scenario that starts from the Recipient Signed Document trigger, or Document Payment Event if you wait for onboarding to be paid. Add your PSA's steps to find or create the company and create an agreement, opportunity or ticket, mapping the document's details. What you can create depends on the actions your PSA's connector offers.

Which CRM and accounting integrations are native?

Native CRM and accounting integrations, such as Xero, QuickBooks, Salesforce, HubSpot and Pipedrive, are on the Business plan, US$59 per user per month. On Essentials, US$39, the same tools can be connected through Zapier or Make, along with service desks such as Zendesk and team chat such as Microsoft Teams and Slack.

Can a CRM deal or a support ticket create a QuoteCloud quote?

Yes, through Zapier, Make or the API. An automation can create a document from one of your templates, fill its data items and add price-table rows with labels, quantities and prices, so a deal or a Zendesk ticket becomes a draft quote. The rep checks it and sends it. Zapier and API documents carry a per-document fee.

Does QuoteCloud keep my PSA, CRM and accounting in sync?

Not by itself. Each Zap, scenario or native integration moves what it is set up to move when its trigger fires, one way. QuoteCloud doesn't read tickets, device counts or invoices back from your PSA or RMM, and it doesn't bill monthly fees. Your PSA or accounting software stays the system for service and billing.

What do Zapier and API documents cost?

Documents created through Zapier or the QuoteCloud API cost US$2.00 each for 1 to 1,000 a month, US$1.80 each for 1,001 to 5,000, and US$1.60 each above 5,000, on top of your plan. Zapier, Make and the API are on Essentials and up. Your Zapier or Make account is separate.
