Getting started with QuoteCloud

Move the Salesforce Opportunity to Closed Won on signature

When the last signer signs, Document Signing Complete starts a Zap that finds the Opportunity and updates its stage, amount and close date, so the pipeline is right without anyone touching it.

Build a Zap with QuoteCloud's Document Signing Complete trigger, which fires once every signer has signed. Add Salesforce's Find Record to find the Opportunity by the ID the document kept, then Update Record to set the Stage to Closed Won, the Amount and the Close Date. It needs QuoteCloud's Zapier app, on Essentials and up.

Two overlapping panels with sample data. Behind, Wexmoor's warehousing and distribution agreement WF-W-0327 for Bramblewood Homewares: storage, pick-pack, linehaul and onboarding, $63,723.00 including tax, signed by Sophie Lindqvist and Marcus Feld. In front, an illustration of the Opportunity at Closed Won, its amount $63,723.00 and close date 5 Nov 2026 updated by a Zap.

The pipeline is only as right as its last update

Wexmoor Freight & Logistics runs warehousing and linehaul for retailers. Account manager Ines Okoye's agreement with Bramblewood Homewares needs two signatures: Sophie Lindqvist's, the logistics manager, and Marcus Feld's, the finance director. The Opportunity should be Closed Won when the second one lands, not when someone remembers.

QuoteCloud's Document Signing Complete waits for every signer. Recipient Signed Document fires for each one, which suits a status per signature, not a stage change.

  • Route: QuoteCloud's Zapier app, on Essentials and up. It also runs on Business, beside the Salesforce Sync add-on.
  • The Zap reads a signed document and updates Salesforce: it creates no document, so no per-document fee.
  • Documents a Zap creates keep the Opportunity ID in a data item, the surest way to find the Opportunity again.

How do I close a Salesforce Opportunity when the quote is signed?

Three steps. Two optional ones file the signed PDF on the Opportunity in the same Zap.

Sophie signs on Wednesday afternoon and nothing happens in Salesforce, by design. When Marcus signs on Thursday at 11:17 am, Document Signing Complete fires, and a minute later the Bramblewood Opportunity is Closed Won at $63,723.00.

Result

The Opportunity's stage, amount and close date match the signed agreement, and the signed PDF is filed, with nobody retyping anything.

The Opportunity at Closed Won, with the signed total and the signing date.

Before the last signature

Until every signer has signed, the Opportunity stays where Ines left it: Proposal/Price Quote, with the amount from the negotiation. Nothing in this Zap fires on the first signature.

That's the difference between Document Signing Complete and Recipient Signed Document, and why this recipe uses the first.

Variations on this recipe

  • File the signed PDF

Add Generate or Fetch Document PDF Link, then Salesforce's Create File or Google Drive's Upload File, in the same Zap: the link is short-lived.

  • Celebrate in the channel

Add Send Channel Message for Slack or Microsoft Teams: who signed, the total and the Opportunity.

  • Paid, not just signed

If the document takes a payment on signing, a second Zap on QuoteCloud's Document Paid trigger can set a Deposit paid field on the Opportunity. QuoteCloud Payments is on Essentials and up.

  • Alongside the add-on

On Business, keep the Salesforce Sync add-on for status on the Opportunity, and this Zap for the stage.

Build it with a free trial

Zapier access is on QuoteCloud's Essentials plan and up. Start a free 14-day trial, connect Salesforce and test with a sample Opportunity.

Build it in five steps

  1. Keep the Opportunity ID

Documents created from the Opportunity by a Zap carry its ID in a data item.

  2. Start with Document Signing Complete

In Zapier, choose QuoteCloud and Document Signing Complete, and test it with a fully signed test document.

  3. Find the Opportunity

Add Salesforce's Find Record: object Opportunity, searched on Opportunity ID mapped from the data item.

  4. Update the Opportunity

Add Update Record: Stage Closed Won, the Amount from the total and the Close Date from the signed date.

  5. Test with two signers

Send a test document to two @example.com signers, sign as both, check the test Opportunity, then switch the Zap on.

Questions about Closed Won on signature

Should I use Document Signing Complete or Recipient Signed Document?

Use Document Signing Complete to change the Opportunity's stage: it fires once every signer has signed. Recipient Signed Document fires for each signer, so with two signers the Opportunity would close after the first. It's the right trigger for a status per signature.

Can the Opportunity's Amount be the signed total?

Yes, when the trigger carries the document's total, which you can check in the Zap's test data. Map it into Amount in Update Record. The total includes the optional items the buyer ticked, so the Opportunity shows what was actually signed.

Does the Salesforce Sync add-on close the Opportunity by itself?

No. The add-on sends the document's status back to the linked Opportunity, such as signed. Changing the stage to Closed Won is this Zap's job. On Business you can run both: the add-on for status, the Zap for the stage.

Does this Zap carry a QuoteCloud document fee?

No. It reads a signed document and updates Salesforce; it doesn't create a document. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API. Zapier access itself is on the Essentials plan and up.
