Getting started with QuoteCloud

What the Salesforce connection can and can't do

Both routes, honestly: what the Salesforce Sync add-on does, what Zaps can add, and where each one stops.

QuoteCloud's Salesforce Sync add-on, on Business, starts documents from an Opportunity, keeps them linked and sends their status back. QuoteCloud's Zapier app, on Essentials and up, runs one-way Zaps between QuoteCloud and Salesforce events. Neither ticks options or picks content for the buyer, PDF links are short-lived, and documents created through Zapier carry a per-document fee.

What can QuoteCloud do with Salesforce?

  • Documents from the Opportunity

Add-on, Business: the rep starts the QuoteCloud document from the Opportunity, and it stays linked to it.

    Documents from Opportunities
  • Status on the Opportunity

Add-on: delivered, first viewed and signed come back as they happen. Zapier: notes and fields you choose.

    Status on the Opportunity
  • Closed Won on signature

Zapier: Document Signing Complete finds the Opportunity and updates its stage, amount and close date.

    Closed Won on signature
  • Quotes from stage changes

Zapier: Updated Field on Record creates a draft from your template, filled with the Opportunity's details.

  • Contacts in both apps

Zapier: new contacts found or created in the other app, under the right Salesforce account.

  • Follow-ups

Zapier: expired quotes become Tasks; lost ones move the Opportunity to Closed Lost.

Where it stops

  • It doesn't tick options or pick blocks

Nothing ticks optional items for the buyer, and a Zap never chooses content blocks. Your template decides the content; the buyer ticks options.

  • Each Zap runs one way

A Zap goes from its trigger to its actions. Two directions means two Zaps, and the apps aren't kept identical.

  • PDF links don't last

Generate or Fetch Document PDF Link is short-lived. File the PDF in the same Zap; never store the link in Salesforce.

  • A Zap can't guess the Opportunity

Zaps that start in QuoteCloud need a value to search on, such as the Opportunity ID kept in a data item.

  • Opportunity products aren't copied for you

Create Document adds price-table rows from values you map. Copying every Opportunity Product isn't covered here.

  • It isn't on every plan

The add-on is on Business; Zapier is on Essentials and up. Documents created through Zapier or the API carry a per-document fee.

The add-on's job, and the Zaps' job

The Salesforce Sync add-on does three things: it connects your org with OAuth, keeps each document started from an Opportunity linked to it, and sends the document's status back. It doesn't change the Opportunity's stage or create contacts as far as QuoteCloud describes it.

Everything else on this site is a Zap you build, and each Zap does exactly what its steps say.

What the connection is, exactly

QuoteCloud connects to Salesforce two ways: the Salesforce Sync add-on, connected from QuoteCloud with OAuth, and QuoteCloud's Zapier app with Salesforce's own Zapier app. Developers can also use QuoteCloud's API, on Essentials and up.

That makes it flexible, and it means the connection does exactly what the add-on and your Zaps do. Nothing is kept identical between the apps by itself: each route moves the moments it was built for.

Questions about the limits

Do Salesforce and QuoteCloud keep each other identical automatically?

No. The Salesforce Sync add-on keeps documents started from an Opportunity linked to it and sends their status back. Zaps move the moments you build them for, one way each, from trigger to actions. Nothing else is copied between Salesforce and QuoteCloud by itself.

Can the add-on or a Zap tick optional items for the buyer?

No. Nothing ticks optional items for the buyer, and Zapier never chooses content blocks. Your template decides the content and the options on offer; the buyer ticks the options they want before signing, and the total updates as they do.

Can I keep the PDF link in a Salesforce field?

No, because Generate or Fetch Document PDF Link gives a short-lived link that stops working. Upload the PDF in the same Zap instead, for example with Salesforce's Create File or Google Drive's Upload File, so the file itself is kept where your team can open it later.

Is there a fee for every Zap?

No. The per-document fee of US$2.00, $1.80 or $1.60 by volume applies only to documents created through Zapier or the API. Zaps that update Salesforce, log views or match contacts create no documents. Each Zap step uses Zapier tasks on your Zapier plan.

Is there a QuoteCloud app on Make?

No ready-made app, but Make works with QuoteCloud. It's a bring-your-own model: you add the connection with Make's built-in OAuth and call QuoteCloud's API or Zapier endpoints in your scenarios, so you choose every step. No module list is published, and these pages show each recipe as a Zap; the same QuoteCloud endpoints are there when you build it in Make.
