Getting started with QuoteCloud

Connect Google Calendar to QuoteCloud, step by step

No code: check your plan, connect both apps in Zapier, build the Zap that books signed work, and test it with fictional data before it touches a real client's calendar.

You need QuoteCloud's Essentials plan or higher, a Google account with edit access to the calendar, and a Zapier account. In Zapier, choose a QuoteCloud trigger such as Document Signing Complete, sign in to QuoteCloud and Google when asked, add Create Detailed Event, map the date fields through Formatter, then test with @example.com recipients.

Beside each value, the QuoteCloud field it came from: the form answer through Formatter, the site address data item, the signer emails, and the title, number and access note.

How do I connect Google Calendar to QuoteCloud?

Seven steps to the first working Zap: the book-on-signature recipe.

  1. Check the plans

QuoteCloud's Zapier app is on Essentials and up. You also need a Zapier plan for your task volume and a Google account that can edit the calendar.

  2. Prepare the template

Add what the Zap will read: a Forms question for the client's preferred date, or a data item such as Install date or Event date.

  3. Create a Zap and pick the trigger

In Zapier, choose QuoteCloud and Document Signing Complete. Sign in to QuoteCloud when Zapier asks, and load test data from a signed test quote.

  4. Load the date

Add QuoteCloud's Find Document with Detail Level set to Full, and find the form answer or data item in its test data.

  5. Shape the date

Add Formatter by Zapier's Date / Time to turn it into the start, and again for the end.

  6. Create the event

Add Google Calendar's Create Detailed Event, sign in to Google, pick the calendar and map the summary, start, end, location and attendees.

  7. Test, then switch it on

Run the test with @example.com signers, open the event in Google Calendar, check the time and the guests, then turn the Zap on.

Each Zap runs one way, from its trigger to its steps. Build one per job: book the work, hold and confirm dates, follow up and remind and draft from meetings.

Result

A signed quote books the job on the client's date, in the calendar you picked, with the client invited.

QuoteCloud's Zapier app and Form Builder: Essentials and up

The usual problems, and the fix

  • The event is at the wrong hour

Times can shift between the time zones set in QuoteCloud, Zapier and Google Calendar. Check all three, and test with an afternoon time so a shift is easy to see.

  • The calendar isn't in the list

The Google account you connected needs edit access to that calendar. Share it with that account, or connect the account that owns it.

  • The date field is blank

Load the document with Find Document set to Full and look in its test data. If a data item isn't there, ask for the date in a Forms question instead.

  • A real client got a test invite

Attendees get Google's invitation as soon as the test runs. Test only with @example.com addresses or your own.

  • Two events for one quote

Testing a Zap twice creates two events. Delete test events, and in update Zaps use Find Events on the document number so they change the one event.

  • The meeting didn't start a draft

Event Ended only fires for events containing the search term. Check the spelling in the event's title and in the trigger.

Can I connect Google Calendar through Make instead?

Yes, as a bring-your-own setup. QuoteCloud has no ready-made app on Make. You connect Make to QuoteCloud with Make's built-in OAuth connection, then call QuoteCloud's API or Zapier endpoints from your scenario, beside Make's own Google Calendar steps.

Every job on this site can be built that way: the scenario starts from the QuoteCloud event or the calendar event, and you design each step and map each field yourself. API access is on Essentials and up. We don't state a per-document fee for documents a Make scenario creates; ask us if your scenarios will create documents.

  • Zapier: ready-made QuoteCloud triggers, actions and searches; the recipes on this site.
  • Make: your own scenario through QuoteCloud's API; more control, more to build.

Before you start

  • The plan

QuoteCloud Essentials or higher for the Zapier app and the API. Form Builder and custom data items are on Essentials too.

    What it costs
  • The calendar

A shared calendar for installs, functions or calls, editable by the Google account you'll connect in Zapier.

  • The date

A field that holds it: a form answer, a data item, or the trigger's own time.

    Where the dates come from

Set-up questions

Do I need a developer to connect Google Calendar?

No. Zapier is built for people who aren't developers: you pick a trigger, add steps, map fields and test with sample data. A developer who wants more control can call QuoteCloud's API from their own code or a Make scenario; API access is on Essentials and up, like the Zapier app.

Which Google account should I connect in Zapier?

One with edit access to every calendar the Zaps write to. Zapier's Create Detailed Event says you must have edit access to the selected calendar from the connected account. Many teams use a shared calendar, such as installs or functions, owned by an office account.

How do I get the date into the right format?

Use Formatter by Zapier's Date / Time step. It reads the date from your form answer, data item or trigger, changes its format, and adds or subtracts time, such as one day for a follow-up call or eight hours for the end of an install. Map its output into the event.

Will test runs send invitations to my clients?

They will if a real client's email is in Attendees, because Google Calendar sends invitations when the event is created. Build and test with fictional @example.com recipients or your own address, then switch the Zap on for real documents and real clients.
