Getting started with QuoteCloud

Connect Google Calendar to QuoteCloud, signature to schedule

A signed quote books the work with the client invited, a first view puts the follow-up call in your day, and a meeting that ends drafts the proposal, all through QuoteCloud's Zapier app.

QuoteCloud connects to Google Calendar through QuoteCloud's Zapier app, on the Essentials plan and up. A Zap can book the install or event when a document is fully signed, add a call when the client first opens it, set a reminder before a quote expires, and draft a proposal when a calendar meeting ends. Make works too, bring your own.

Illustration with sample data: on the left a generic calendar event for Halden Climate Co.'s job for the Hadleys at 22 Banksia Rise; on the right QuoteCloud's system quote HC-5108; a thread joins them (Zapier). Six jobs play in turn, the data riding the thread: 1, Draft: Rosa's site survey ends and a Zap drafts HC-5108 with the address, survey date and designer (Event Ended then Create Document). 2, Call: Claire opens the quote on Friday night and a call lands in Rosa's calendar for Saturday 9:30 am (Recipient First Viewed Document then Create Detailed Event). 3, Book: Claire and Tom sign and the install is booked for Tue 3 Nov at 7:30 am, the start they chose in the quote's form, with both invited (Document Signing Complete then Create Detailed Event). 4, Crew: the same Zap adds the installer, Leon Tsui (Add Attendee(s) to Event). 5, Notify: one more step tells the install team in Slack or Microsoft Teams (Send Channel Message). 6, Follow up (what if the quote expires instead): Rosa gets a call to revise it the next morning (Document Expired then Create Detailed Event). It ends on the signed quote with the install booked.

What can QuoteCloud put in Google Calendar?

Four moments in a quote's life that turn into a date. Each is a Zap, and each links to the recipe with the exact Zapier steps.

  • Signed: book the work

Document Signing Complete → Create Detailed Event, on the date the client chose, with the client as attendee.

    Book the work on signature
  • Sent: hold the date

A sent proposal pencils the date as free; the signature confirms it; an expired or lost one deletes the hold.

    Hold, confirm and release
  • Viewed or expiring: follow up

Recipient First Viewed Document books a call; a quote a Zap sends gets a reminder two days before it expires.

    Follow-ups and expiry
  • Meeting ended: draft it

Google Calendar's Event Ended → Create Document, with the meeting's location, date and notes in data items.

The week after the Zaps run

Halden's shared installs calendar for the first week of November. Most of it the team booked by hand. The Hadley install, both days of it, came from one Zap the moment the quote was fully signed.

Google Calendar's own reminders, sharing and invitations take it from there, like any other event.

  • Dates come from real fields: a form answer, a data item, or the time the trigger fired.
  • Two days of work, one event: Create Detailed Event can repeat daily a set number of times.
  • Moving the event in Google Calendar doesn't change the signed quote.

Where do the dates come from?

A Zap can only put a date in the calendar if a field holds it. These are the real ones.

  • From the document

A form answer the client gives, such as a preferred install start, or a data item you fill, such as the event date. Find Document with Detail Level Full loads forms.

    Dates and field map
  • From the moment

When a quote is first viewed, signed or expires, the trigger's own time. Formatter by Zapier moves it, to 9:30 the next morning for instance.

    Follow-ups and expiry
  • From the calendar

When a meeting ends, the event's start, location, attendees and description, which become data items in the new draft.

Zapier or Make: how do you want to build it?

Both routes reach the same QuoteCloud events and actions, beside the other app's own Google Calendar steps.

  • Zapier: QuoteCloud's Zapier app

Ready-made QuoteCloud triggers, actions and searches beside Google Calendar's own Zapier app: the recipes on this site. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

    Connect it, step by step
  • Make: bring your own

Connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own Google Calendar steps. No ready-made QuoteCloud app on Make: you design each step.

Google Calendar questions, answered

How does QuoteCloud connect to Google Calendar?

Through QuoteCloud's Zapier app, with no code to write. Each Zap starts from one event, such as a QuoteCloud document being fully signed or a Google Calendar meeting ending, and runs steps in the other app, such as Create Detailed Event or Create Document. Teams that build their own can use Make instead.

Can a signed quote book the job in Google Calendar?

Yes. A Zap on QuoteCloud's Document Signing Complete trigger can run Google Calendar's Create Detailed Event, with the client's email in Attendees so they get the invitation. The date comes from a real field on the document, such as a form answer where the client picks a start date.

Which QuoteCloud plan do I need?

Essentials or higher: QuoteCloud's Zapier app and API are on Essentials and up, as are Form Builder and custom data items. Zaps that only add calendar events don't create documents, so they carry no QuoteCloud fee. Documents a Zap creates carry US$2.00, $1.80 or $1.60 each, by volume.

Does moving the event in Google Calendar change the quote?

No. Each Zap runs one way, from its trigger to its steps. Moving, editing or deleting an event in Google Calendar doesn't change the QuoteCloud document. If you want a calendar change to do something in QuoteCloud, that's a separate Zap that starts in Google Calendar.

Can we use Make instead of Zapier?

Yes, as a bring-your-own setup. QuoteCloud has no ready-made app on Make: you connect Make to QuoteCloud with Make's built-in OAuth connection, then call QuoteCloud's API or Zapier endpoints from your scenario, beside Make's own Google Calendar steps. API access is on Essentials and up.
