Getting started with QuoteCloud

Google Calendar and QuoteCloud integration FAQ

Straight answers about QuoteCloud with Google Calendar: how it connects, what the Zaps can book, where the dates come from and what it costs.

QuoteCloud connects to Google Calendar through QuoteCloud's Zapier app, on Essentials and up, or through Make as a bring-your-own setup with QuoteCloud's API. Zaps book work when a document is fully signed, hold and confirm event dates, book follow-up calls and expiry reminders, and draft proposals when calendar meetings end.

How does the Google Calendar connection work?

How does QuoteCloud connect to Google Calendar?

Through Zapier, with QuoteCloud's Zapier app on the Essentials plan and up. Each Zap starts from one event, such as a QuoteCloud document being fully signed or a Google Calendar meeting ending, and runs steps in the other app. Teams that build their own can use Make instead, with QuoteCloud's API.

Is there a native Google Calendar integration?

No. QuoteCloud connects to Google Calendar through Zapier, or through Make as a bring-your-own setup. That means each job, such as booking work on signature or holding an event date, is a Zap you build, test and switch on. No code is needed for Zapier.

Can we use Make instead of Zapier?

Yes, as a bring-your-own setup. QuoteCloud has no ready-made app on Make: you connect Make to QuoteCloud with Make's built-in OAuth connection, then call QuoteCloud's API or Zapier endpoints from your scenario, beside Make's own Google Calendar steps. API access is on Essentials and up.

Does it sync both ways?

No. Each Zap runs one way, from its trigger to its steps. QuoteCloud events can create, update or delete calendar events, and a calendar event can start a new document, but moving or deleting an event doesn't change an existing QuoteCloud document.

Booking work and holding dates

Can a signed quote book the job in Google Calendar?

Yes. A Zap on QuoteCloud's Document Signing Complete trigger fires once every signer has signed. It loads the document with Find Document, shapes the date with Formatter by Zapier and runs Google Calendar's Create Detailed Event, with the client as attendee so they get the invitation.

Where does the booking's date come from?

From a real field: a Forms answer where the client picks a date, a data item you fill before sending, or the time the trigger fired. Find Document with Detail Level Full loads form answers. A Zap can't guess a date that no field holds.

Can a venue hold a date while the proposal is out?

Yes, with three Zaps. A sent proposal creates an all-day hold shown as free; Document Signing Complete finds it with Find Events and updates it to the confirmed booking; Document Expired or Document Lost deletes it. The date comes from an Event date data item.

Follow-ups, reminders and meetings

Can I get a follow-up call when a client opens the quote?

Yes. QuoteCloud's Recipient First Viewed Document trigger fires the first time an identified recipient opens the document. Formatter by Zapier moves the time to the next morning and Create Detailed Event books the call in the rep's calendar, with a video link if you set Add Conferencing? to Yes.

Can I get a reminder before a quote expires?

Yes, for quotes a Zap sends. Send Document has a Document Expires At field, so the Zap knows the expiry and can add a reminder two days earlier. For quotes sent by hand, use QuoteCloud's Expiring Soon smart filter, or a call after Document Expired.

Can a calendar meeting create a draft proposal?

Yes. Google Calendar's Event Ended trigger, limited by a search term such as Site visit, can run Find or Create Contact, Create Document from your template with the meeting's details in data items, and Add Document Recipient. You price and send the draft.

Will Google Calendar remind the team about these events?

Yes. Events a Zap creates are ordinary Google Calendar events, so your calendar's default reminders apply, or you set Reminders and Minutes Before Reminders in the Zap, up to four weeks before. Sharing, colours and invitations work as usual too, as for any event you add yourself.

Plans and cost

Which QuoteCloud plan do I need?

Essentials or higher: QuoteCloud's Zapier app and API are on Essentials and up, as are Form Builder and custom data items. Business adds the approval workflow, which only one variation on this site uses: sending each proposal the moment it's approved.

Do calendar Zaps carry the per-document fee?

Not when they only change calendar events. The fee of US$2.00, $1.80 or $1.60 by volume applies to documents created through Zapier or the API, such as a proposal drafted when a meeting ends. Each Zap step uses a task on your Zapier plan.

Is there a free trial?

Yes. QuoteCloud has a free 14-day trial with no credit card required, so you can connect Google Calendar through Zapier and test your Zaps with sample quotes before you choose a plan. Book a demo as well if you'd like to talk it through.
