Getting started with QuoteCloud

Connect Google Sheets to QuoteCloud, step by step

Every recipe on this site is a Zap you build in Zapier, with QuoteCloud's Zapier app and Google Sheets' own. Here's the first one, the signed-proposal log row, end to end.

Check you're on QuoteCloud's Essentials plan or higher, give your sheet a header row, then create a Zap. Pick the trigger, such as QuoteCloud's Document Signing Complete, sign in to QuoteCloud and Google, add Google Sheets' Create Spreadsheet Row, map each column, test it with an @example.com document and turn it on.

Step 2: Google Sheets' Create Spreadsheet Row on Tidewell's Proposals spreadsheet, Log worksheet, with When, Document, Client, Event and Amount mapped; the test added row 10. The result: the Log tab with the new Signed row for TP-2846.

How do I connect Google Sheets to QuoteCloud?

Through Zapier, one Zap per job. Here's the signed-proposal log row; every recipe on this site is built the same way.

  1. Check your plans

QuoteCloud's Zapier app is on Essentials and up. You also need a Google account that can edit the sheet and a Zapier plan that covers your tasks.

  2. Give the sheet a header row

Zapier reads row 1 as the column names, so add headers such as When, Document, Client, Event and Amount before you start.

  3. Create a Zap, pick the trigger

Choose the app the event happens in: QuoteCloud's Document Signing Complete, or Google Sheets' New Spreadsheet Row to start a quote.

  4. Add the step, map columns

Add Create Spreadsheet Row, choose the spreadsheet and worksheet, and map each column. The column map lists them.

  5. Test, then turn it on

Sign a test document sent to an @example.com address, check the new row, then switch the Zap on.

Step 1: the trigger, and its test data

Choose QuoteCloud, then Document Signing Complete, and sign in to your QuoteCloud account when Zapier asks. Zapier fetches a recently signed document as test data.

Check it has what your columns need: the document number, the client's name, the total and the signed date. Leave Raw Pricing and E-Sign Data off; a log row doesn't need it.

Step 2: Create Spreadsheet Row, mapped

Choose Google Sheets and Create Spreadsheet Row, sign in to Google, then pick the spreadsheet and the Log worksheet. Zapier shows one field per column in your header row; map each from step 1. The numbers show which step a value comes from.

  • Type fixed values, such as Signed in the Event column, rather than mapping them.
  • Sheets in a shared drive: choose the Shared Drive location in the step, and the Team Drive versions of the row triggers.
  • Don't rename or move columns once the Zap is on: Zapier warns that changing the sheet's structure can cause unexpected results.

Ready to build your first Zap?

QuoteCloud's Zapier app is on the Essentials plan and up. Start a free 14-day trial and connect it to a copy of your sheet.

How does a Zap find the right row again?

Zaps that update a row, rather than add one, start with Google Sheets' Lookup Spreadsheet Row. It searches one column for a value: use the Document column and the document number from the QuoteCloud trigger.

So the first Zap that writes a row should always write the document number. Every later Zap can find the row by it.

Can I connect Google Sheets through Make instead?

Yes, if your team builds its own. Make is a bring-your-own route: you add a connection to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own Google Sheets modules.

There is no ready-made QuoteCloud app or list of modules on Make, so you design each step yourself. The recipes on this site are shown as Zaps; the same QuoteCloud events and actions are there when you build them in Make.

Before you start

  • A tidy sheet

One header row, one record per row, no merged cells, and prices as plain numbers.

  • A test copy

Build against a copy of the sheet, then point the finished Zaps at the real one.

  • Fictional test data

Use @example.com addresses for test documents so nothing reaches a real client.

Set-up questions

Do I need to know how to code?

No. Zapier is point-and-click: you choose a trigger, add steps and map fields from a list. Only Make, the bring-your-own route, means working with QuoteCloud's API or Zapier endpoints yourself.

Why does Zapier need a header row?

Google Sheets' Zapier steps read row 1 as the column names and show one field per column, so a sheet without headers can't be mapped. Add the headers before you build the Zap, and avoid renaming them afterwards.

Does it work with sheets in a shared drive?

Yes. Google Sheets' actions let you choose My Drive or a Shared Drive, and its row triggers have Team Drive versions, such as New Spreadsheet Row (Team Drive), for sheets that live in a shared drive.

Which QuoteCloud account should I connect?

One that can see the documents and templates the Zaps use. QuoteCloud's Zapier app needs the Essentials plan or higher.
