Getting started with QuoteCloud

Connect Google Sheets to QuoteCloud, row by row

Log every quote event in the sheet your team already reports from, create quotes from rows, and keep the product library in step with your price list, all through QuoteCloud's Zapier app. Teams that build their own can use Make.

QuoteCloud connects to Google Sheets through QuoteCloud's Zapier app, on the Essentials plan and up. A Zap can add a row whenever a document is sent, viewed, signed, paid or expires, create a document from a new row with data items and price-table rows, or create and update products from a price list. Make works too, as a bring-your-own setup.

Illustration with sample data: on the left row 14 of Tidewell Pavilion's Proposals sheet in Google Sheets, Priya Raman's 50th in the Jetty Room; on the right QuoteCloud's celebration proposal TP-2846; a thread joins them (Zapier). Six jobs play in turn, the data riding the thread: 1, Create: Elena adds the row and a Zap creates TP-2846 from the template with the event date, 70 guests and the package (New Spreadsheet Row then Create Document). 2, Viewed: Priya opens the proposal and the row's status turns Viewed (Recipient First Viewed Document then Update Spreadsheet Row). 3, Signed: Priya signs and the row says Signed with the total, $8,558.00 (Document Signing Complete then Update Spreadsheet Row). 4, Paid: she pays the $2,139.50 deposit and the Deposit column fills in (Document Part Paid then Update Spreadsheet Row). 5, Notify: one more step tells the functions team in Slack or Microsoft Teams (Document Signing Complete then Send Channel Message). 6, Expired (what if the proposal expires instead): the row says Expired (Document Expired then Update Spreadsheet Row). It ends on the signed proposal with the row up to date.

What can QuoteCloud do with a Google Sheet?

Six jobs that turn a sheet into a lightweight system around your quotes. Each links to the recipe, with the exact Zapier steps.

  1. Log

Every send, view, signature, payment and expiry adds a row, so the sheet's formulas can report on it.

    • Recipient First Viewed Document
    • Create Spreadsheet Row
  2. Track

One row per quote, added when the document is created and updated as its status changes.

    • Document Status Changed
    • Update Spreadsheet Row
  3. Create

A new row creates the document from your template, its columns filling data items and price-table rows.

    • New Spreadsheet Row
    • Create Document
  4. Price rows

Keep one row per product line; a Zap looks up a quote's lines and adds them to its price table.

    • Lookup Spreadsheet Rows (Advanced)
    • Create Document
  5. Products

Change a price in your price-list sheet and the product in QuoteCloud's library is created or updated.

    • New or Updated Spreadsheet Row
    • Create Product
  6. Calculate

Your Google Sheet is outside QuoteCloud; the Spreadsheet block is inside the quote. Know which one does what.

Every Zap runs one way, from its trigger to its steps, so a sheet that both starts quotes and logs them uses separate Zaps. The same jobs can be built in Make, bring your own. See what it can and can't do.

Google Sheets or QuoteCloud's Spreadsheet block?

Two different spreadsheets, often used together. One lives in your Google Drive; the other lives inside the quote your client opens.

What moves between Google Sheets and QuoteCloud?

Rows go in, document news comes back. The client's choices stay with the client.

  • From a row into a document

Column values mapped into the template's data items, the recipient, the document title and price-table rows: a label, notes, price, quantity, term, tax and discount for each.

  • From QuoteCloud back to the sheet

Sends, first views, signatures, payments, expiry and lost documents, written as new rows in a log or as updates to the quote's own row.

  • What stays with people

A Zap never ticks options or chooses content blocks: the client ticks options, and your team checks and sends when the document is a draft.

What it can and can't do

Zapier or Make: how do you want to build it?

Google Sheets connects through Zapier or Make. Both reach the same QuoteCloud events and actions.

  • Zapier: QuoteCloud's Zapier app

Ready-made QuoteCloud triggers, actions and searches beside Google Sheets' own Zapier app: the recipes on this site. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

    Connect it, step by step
  • Make: bring your own

Connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own Google Sheets modules. No ready-made QuoteCloud app on Make: you design each step.

Google Sheets questions, answered

How does QuoteCloud connect to Google Sheets?

Through QuoteCloud's Zapier app, with no code to write. Each Zap starts from one event, such as a new row in your sheet or a QuoteCloud document being signed, and runs steps in the other app. A Zap runs one way, so you build one Zap for each job, such as logging signatures or creating quotes from rows.

Can Google Sheets keep a log of every quote?

Yes. Build one small Zap per QuoteCloud event you want to log, such as Recipient First Viewed Document, Document Signing Complete, Document Part Paid and Document Expired, each running Google Sheets' Create Spreadsheet Row. Every event becomes a new row, and your own formulas turn the log into a report.

Can a sheet row create a QuoteCloud quote?

Yes. Google Sheets' New Spreadsheet Row trigger starts the Zap and QuoteCloud's Create Document makes the document from your template, with the row's columns in data items and price-table rows. It doesn't tick options or choose content blocks; the template decides those.

Is Google Sheets the same as QuoteCloud's Spreadsheet block?

No. Google Sheets is your own spreadsheet, outside QuoteCloud, reached through Zapier or Make. The Spreadsheet block is a content block inside a QuoteCloud document, on Essentials and up, with formulas, tabs and cells that can link to price-table lines.

Which QuoteCloud plan do I need for Google Sheets?

Essentials or higher: Zapier and API access are on QuoteCloud's Essentials plan and up. Documents created through Zapier or the API carry a per-document fee of US$2.00, $1.80 or $1.60 by volume. Zaps that only add or update rows in your sheet don't create documents.
