Getting started with QuoteCloud

Feed the product library from a Google Sheets price list

Keep prices in the sheet you already maintain. Add a row or change a price, and a Zap creates or updates the matching product in QuoteCloud, ready for the next quote.

Build a Zap with QuoteCloud's Zapier app, on Essentials and up. Google Sheets' New or Updated Spreadsheet Row, watching the Price column, starts it. QuoteCloud's Find Product looks the SKU up, and Create Product updates that product, or creates a new one, with the row's name, folder, SKU and price. Documents already sent keep their prices.

Two overlapping panels with sample data. Behind, Tanbark Trade Supply's product library in QuoteCloud: six products with SKU, category, unit, price and status; the 12 oz double-wall hot cup now at $71.00. In front, an illustration of Tanbark's 2027 price list in Google Sheets, the Products tab, where the hot cup's price was just changed from $68.00 to $71.00.

Why keep the price list in a sheet?

Tanbark Trade Supply's e-commerce manager, Dev Malhotra, already keeps the trade price list in Google Sheets: it feeds the website, the buyers check it, and the costs sit on a tab only the directors see. Keeping a second copy of every price in QuoteCloud by hand meant the two drifted apart.

Now the sheet is the one place prices change. When Dev adds a product or changes a price, a Zap creates or updates the product in QuoteCloud's product library, so the next quote Owen builds uses the new price.

  • The SKU is the key: the Zap finds the product by it before updating.
  • Costs stay in the sheet. The product library gets the sell price, name, folder and SKU.
  • Documents already sent keep the prices they were created with.

How does a price change reach QuoteCloud?

Three steps: watch the Price column, find the product by SKU, then update it or create it.

Create Product's yes/no settings, such as Recipients Can Edit Quantity and Lock Pricing Value, are required: set them once in the Zap. Use the SKU as the Product Short Name (Unique) so every product's short name stays unique.

Dev changes the 12 oz hot cup from $68.00 to $71.00 on Thursday afternoon. Find Product finds TT-CUP12; Create Product updates it. When Owen adds hot cups to a quote on Friday, the library gives $71.00.

Variations for the price list

A changes log, sub folders, images, or the Make route.

  • Log library changes

A second Zap on QuoteCloud's Product Changed trigger can add a row to a Changes tab. Point it at a different tab from the one the first Zap watches.

  • Sub folders

Map Sub Folder and Sub Folder 2 from columns when your range has more than one level, such as Cups & lids, then Hot cups.

  • Product images

Add an image URL column and map it to Product Image 1. QuoteCloud downloads the image into the product library.

  • Build it in Make instead

Bring your own: watch the sheet with Make's own Google Sheets modules and call QuoteCloud's API or Zapier endpoints through Make's built-in OAuth connection.

Build the price-list Zap in five steps

  1. Tidy the sheet

One row per product, a header row, a unique SKU in every row, and prices as plain numbers.

  2. Watch the Price column

In Zapier choose Google Sheets' New or Updated Spreadsheet Row on the Products worksheet, with Price as the trigger column.

  3. Find the product

Add QuoteCloud's Find Product, Search By SKU, and let the Zap carry on when nothing is found.

  4. Create or update it

Add Create Product with the product ID from Find Product and map the name, folder, SKU, price and published flag. Set the yes/no options once.

  5. Test, then turn it on

Change one test product's price, check it in QuoteCloud's product library, add a new test row, then switch the Zap on.

Questions about the price list

Will changing a price in the sheet change quotes already sent?

No. The Zap updates the product in QuoteCloud's product library, so new quotes use the new price. Documents already created keep the prices they were built with; revise a document in QuoteCloud if a client needs the new price.

How does the Zap know which product to update?

By the SKU. QuoteCloud's Find Product searches by SKU, and Create Product updates the product whose ID it found. Create Product's own help text also says to keep each Product Short Name (Unique) unique so products update; using the SKU as the short name does that.

Can I import my whole price list at once?

The Zap handles products one row at a time as they're added or changed. For a first load of hundreds of products, QuoteCloud's product library imports a CSV with column mapping; export the sheet as CSV, import it, then let the Zap keep it current.

Do product updates carry the per-document fee?

No. The fee applies only to documents created through Zapier or the API. Creating and updating products doesn't create documents, though each run uses a task on your Zapier plan. QuoteCloud's Zapier app and product library are on Essentials and up.
