Getting started with QuoteCloud

Dynamics 365 and QuoteCloud integration FAQ

Straight answers for sales, operations and IT: how QuoteCloud connects to Microsoft Dynamics 365, what the Zaps can do, how approvals and signers work, what IT should check and what it costs.

QuoteCloud connects to Microsoft Dynamics 365 through QuoteCloud's Zapier app, on Essentials and up, or through Make as a bring-your-own setup. Zaps draft quotes from opportunities, write status to opportunity columns, match contacts and alert Microsoft Teams; QuoteCloud's approval workflow, on Business, checks quotes before they're sent.

How does the Dynamics 365 connection work?

How does QuoteCloud connect to Microsoft Dynamics 365?

Through Zapier, with QuoteCloud's Zapier app on the Essentials plan and up and Zapier's Microsoft Dynamics 365 CRM app. Each Zap starts from one event, such as an opportunity being updated or a QuoteCloud document being signed, and runs steps in the other app. Teams that build their own can use Make instead.

Is there a native or direct Dynamics 365 integration?

No. QuoteCloud has no direct or native Dynamics 365 connection on any plan, and nothing syncs by itself. Every job is a Zap or a Make scenario you build, each running one way from its trigger.

Can we use Make instead of Zapier?

Yes, as a bring-your-own setup. QuoteCloud has no ready-made app on Make: you connect Make to QuoteCloud with Make's built-in OAuth connection, then call QuoteCloud's API or Zapier endpoints from your scenario, beside Make's own Dynamics 365 modules. API access is on Essentials and up.

Does it work with Business Central?

No. The connection covers Dynamics 365's sales side: opportunities, accounts and contacts. Business Central is a separate app on Zapier, and QuoteCloud doesn't connect to it or to any other ERP.

Is there a ready-made Zap template?

No. Both apps are on Zapier, but there's no QuoteCloud and Dynamics 365 template. Build the Zaps from the recipes on this site, which name the exact triggers, searches and actions to pick.

Quotes, approvals and signatures

Can a Zap create a quote from an opportunity?

Yes. Updated Opportunity starts it, a filter keeps only opportunities with Request quote ticked and no quote yet, and Create Document drafts the quote from your template with the opportunity's details in data items. A person checks and sends it.

Do opportunity products become price-table rows?

No. A Zap doesn't copy an opportunity's or a Dynamics quote's product lines into the price table, tick options or choose content blocks. Create Document can add rows you map from fields; your template and product library do the rest.

Can quotes need approval before they're sent?

Yes, with QuoteCloud's approval workflow on the Business plan. Triggers such as Total Value or Discount Percentage put the quote In Review when the rep presses Send, and approvers from a team, role, user list or the creator's managers approve it in QuoteCloud.

Can several people at the buyer sign?

Yes. Add each signer as a recipient; eSignatures are on every plan. Recipient Signed Document fires for each signer and Document Signing Complete once all have signed, so Zaps can show both on the opportunity.

Is the opportunity marked won when the quote is signed?

No. A Zap can write Signed to a QuoteCloud status column and tell the owner in Microsoft Teams, but closing the opportunity as won stays with your team, through Dynamics' own close step.

IT and security

What data passes through Zapier?

Only the fields mapped in each Zap: typically the opportunity's topic, ID, account, owner and contact going in, and a reference, status, dates and signer names coming back. The quote itself, its reading data and signatures stay in QuoteCloud.

Which accounts should the Zaps use?

Dedicated integration users: one in Dynamics 365 with a security role limited to opportunities, accounts and contacts, one in QuoteCloud with its own role, and a Zapier account the company owns. Then nothing breaks when a rep leaves.

Where is QuoteCloud data hosted?

On Amazon Web Services, with personal information stored on servers in the USA and documents encrypted with 256-bit encryption. Single sign-on and IP range filtering are on Enterprise.

Plans and cost

Which plan do we need?

Essentials or higher, from US$39 per user per month, for the Zapier app and API. Business, US$59 per user per month, adds the approval workflow. Enterprise adds single sign-on and IP range filtering.

What does each quote a Zap creates cost?

Each document created through Zapier or the API carries a per-document fee of US$2.00, $1.80 or $1.60 by volume. Zaps that only update Dynamics, track signers, match contacts or post to Teams don't create documents.
