Getting started with QuoteCloud

Connect Dynamics 365 to QuoteCloud, with approvals built in

Draft quotes from Dynamics 365 opportunities, approve them in QuoteCloud before they go out, and put every view and signature back on the opportunity and in Microsoft Teams, through QuoteCloud's Zapier app.

QuoteCloud connects to Microsoft Dynamics 365 through QuoteCloud's Zapier app, on the Essentials plan and up, or through Make as a bring-your-own setup. A Zap can draft a quote from an opportunity, and others write views, signatures and expiry to columns on it and post alerts in Microsoft Teams. QuoteCloud's approval workflow, on Business, checks quotes before they're sent.

Illustration with sample data: on the left a generic Dynamics 365 opportunity, Quenda Robotics · QR-310 brackets; on the right Tessmore Engineering's RFQ response TE-Q-2431; a thread joins them (Zapier). Six jobs play in turn: 1, Create: Anjali sets Request quote to Yes; a Zap drafts TE-Q-2431 and writes its reference back (Updated Opportunity then Create Document). 2, Approve: over $25,000, so Gareth Lyle approves it in QuoteCloud before it can be sent (QuoteCloud's approval workflow, Business plan). 3, Track: Marcus opens the quote; the opportunity's QuoteCloud status turns Viewed (Recipient First Viewed Document then Update Opportunity). 4, Signed: Sofia and Marcus both sign; the status turns Signed, ready for Anjali to close (Document Signing Complete then Update Opportunity). 5, Notify: the same Zap posts in the sales channel in Microsoft Teams. 6, Follow up (what if the quote expires instead): the status says Expired. It ends on the signed quote and the opportunity after both signatures.

What can QuoteCloud do with a Dynamics 365 opportunity?

Six jobs across the opportunity's life. Five are Zaps you build; the approval is QuoteCloud's own workflow. Each links to the page with the exact steps.

  1. Create

Tick Request quote on the opportunity and a draft is created from your template, with the topic, account and owner in data items.

    • Updated Opportunity
    • Create Document
  2. Approve

Over a value, over a discount or from a given team: the quote waits for the right approvers before anyone can send it.

    • Approval workflow
    • Business plan
  3. Track

Sent, viewed, signed, expired or lost: each one updates your QuoteCloud columns on the opportunity.

    • Recipient First Viewed Document
    • Update Opportunity
  4. Signers

Operations, procurement and finance each sign; the opportunity shows who has, and changes when the last one does.

    • Recipient Signed Document
    • Document Signing Complete
  5. Notify

First views and signatures posted in a Teams channel, and an expiring quote sent to the owner's chat.

    • Document Signing Complete
    • Send Channel Message
  6. Accounts

New Dynamics contacts found or created in QuoteCloud, and new QuoteCloud contacts created in Dynamics under the right account.

    • New Contact
    • Find or Create Contact

Every Zap runs one way, from its trigger to its steps, so two directions means two Zaps. The same jobs can be built in Make, bring your own. Before you connect anything, your IT team will want the IT and security review.

What moves between Dynamics 365 and QuoteCloud?

Opportunity details go in, document news comes back. Only the fields you map ever move.

  • From the opportunity into the quote

The topic, ID, owner and the columns you choose, plus the contact's name and email, mapped into data items and the recipient. Create Document can also add price-table rows you map.

  • From QuoteCloud back to Dynamics

Sent, viewed, signed, expired and lost, written to columns you add to the opportunity, and new QuoteCloud contacts under their account.

    Status on the opportunity
  • What stays with people

A Zap never ticks options, chooses content blocks or closes the opportunity as won. Reps edit and send, approvers approve, buyers tick and sign.

Zapier or Make: how do you want to build it?

There's no direct Dynamics 365 connection on any plan. Both routes reach the same QuoteCloud events and actions.

  • Zapier: QuoteCloud's Zapier app

Ready-made QuoteCloud triggers, actions and searches beside Zapier's Microsoft Dynamics 365 CRM app: the recipes on this site. Essentials and up; documents a Zap creates carry US$2.00, $1.80 or $1.60 each by volume.

  • Make: bring your own

Connect Make to QuoteCloud with Make's built-in OAuth, then call QuoteCloud's API or Zapier endpoints from a scenario, beside Make's own Dynamics 365 modules. No ready-made QuoteCloud app on Make: your team designs each step.

Dynamics 365 questions, answered

How does QuoteCloud connect to Microsoft Dynamics 365?

Through QuoteCloud's Zapier app and Zapier's Microsoft Dynamics 365 CRM app, with no code to write. Each Zap starts from one event, such as an opportunity being updated or a QuoteCloud document being signed, and runs steps in the other app. Teams that prefer Make can build the same jobs as a bring-your-own setup with QuoteCloud's API.

Is there a native Dynamics 365 integration?

No. QuoteCloud has no direct or native Dynamics 365 connection on any plan, and nothing syncs by itself. Dynamics 365 connects through Zapier, with QuoteCloud's Zapier app on Essentials and up, or through Make with QuoteCloud's API. Every recipe on this site is a Zap you build and control.

Does it work with Dynamics 365 Business Central?

No. This connection is for Dynamics 365's sales side: opportunities, accounts and contacts, through Zapier's Microsoft Dynamics 365 CRM app. QuoteCloud doesn't connect to Business Central or any other ERP, and nothing on this site creates orders or invoices in a finance system.

Which QuoteCloud plan do I need?

Essentials or higher for the Zapier app and API. The approval workflow, which checks quotes before they're sent, is on Business. Documents created through Zapier or the API carry a per-document fee of US$2.00, $1.80 or $1.60 by volume; Zaps that only update Dynamics or post to Teams don't create documents.

Can the opportunity close as won when the quote is signed?

Not by itself. A Zap starting with Document Signing Complete can write Signed to a QuoteCloud status column on the opportunity and tell the owner in Microsoft Teams, but closing as won stays with your team, through Dynamics' own close step. We haven't confirmed that Update Opportunity can close an opportunity.
