Getting started with QuoteCloud

QuoteCloud and Microsoft Teams: your questions answered

How the connection works, what reaches Teams, approvals and meetings, the IT admin side and what it costs.

QuoteCloud connects to Microsoft Teams through QuoteCloud's Zapier app, on Essentials and up, or through Make as a bring-your-own setup. Zaps post quote news to channels, chat owners, request approvals and, with Outlook and OneDrive, book kickoffs and share signed PDFs. Posting to Teams carries no per-document fee.

How does the Microsoft Teams connection work?

How does QuoteCloud connect to Microsoft Teams?

Through Zapier, with QuoteCloud's Zapier app on the Essentials plan and up. Each Zap starts from a QuoteCloud event, such as a quote being signed or entering approval, and runs a Microsoft Teams action such as Send Channel Message. Teams that build their own can use Make instead, with QuoteCloud's API.

Is there a direct Microsoft Teams integration?

No. QuoteCloud has no direct Teams connection on any plan. Everything runs through Zapier, or through Make as a bring-your-own setup, so each job is a Zap you build, test and switch on.

Can I use Make instead of Zapier?

Yes, as a bring-your-own setup. Make connects to QuoteCloud through Make's built-in OAuth connection, and a scenario calls QuoteCloud's API or Zapier endpoints beside Make's own Microsoft Teams modules. There's no ready-made QuoteCloud app on Make.

Is there a ready-made template?

Not one we can point to. QuoteCloud and Microsoft Teams are both on Zapier, so you build the Zap from QuoteCloud's trigger and Teams' action, which takes a few minutes with the recipes on this site.

Channel posts and chats

Which QuoteCloud events can post to Teams?

Any of QuoteCloud's Zapier triggers. The usual ones are Document Status Changed set to Sent, Recipient First Viewed Document, Document Signing Complete, Document Review Requested and Accepted, Document Expired, Document Lost and Document Paid.

Can each team or region have its own channel?

Yes. One Zap with Paths by Zapier sends each quote to its team's channel based on a value such as the document's owner, or build one Zap per channel with a Filter. Check your test data for the field you route on.

Can one person get a private message instead?

Yes. Microsoft Teams' Create Chat and Send Message sends a one-on-one chat, and Find Team Member finds the right person by email first, such as the quote's owner when a client opens it.

Can a post mention someone or be marked important?

Yes. Send Channel Message takes Teams' mention tags in the text, such as <user>Gareth Lyle</user>, and an Importance setting for the posts that need attention.

Approvals, meetings and files

Can approvers be asked in Teams?

Yes. When a quote enters QuoteCloud's approval workflow (Business plan), a Zap on Document Review Requested posts the request to a channel or chat, and a Zap on Document Review Accepted tells the rep it's approved.

Can approvers approve from Teams?

It can be built. Teams' Send Approval Request and Wait posts an approval card, and QuoteCloud's Approve or Reject Document Workflow records the decision, in a Zap connected to the approver's own QuoteCloud account. Otherwise they approve in QuoteCloud's Workflow Review.

Can a signed quote book a Teams meeting?

Through Outlook. Microsoft Teams' Zapier app has no meeting action, so a Zap on Document Signing Complete uses Outlook's Create Event set as an online meeting, which from a Microsoft 365 work account is normally a Teams meeting.

Can the signed PDF be shared in Teams?

Yes, through OneDrive. The Zap fetches the PDF with Generate or Fetch Document PDF Link, uploads it with OneDrive's Upload File, makes a sharing link and posts that link, because QuoteCloud's own PDF link is short-lived.

IT admin and cost

Which account do the posts come from?

The Microsoft account connected to Teams in Zapier. Most organisations connect a dedicated account, such as Sales automations, that belongs to the channels it posts to, so posts don't come from one person's name.

Do we need the Zapier app in Teams?

Only for some actions. Send Bot Message, the approval card, Create Channel and the channel-message triggers need the Zapier app installed from the Teams Store. Channel messages and chats, used by the main recipes, don't mention it.

Is it secure to send quote updates to Teams?

Only the fields you map are sent, and Teams' channel membership decides who sees them. QuoteCloud documents are protected with 256-bit encryption and hosted on AWS, and its eSignatures are eIDAS compliant.

What does it cost?

QuoteCloud's Essentials plan or higher for the Zapier app, from US$39 per user per month, and Business for approvals. Posting to Teams carries no per-document fee; that fee applies only to documents created through Zapier or the API. Zapier bills separately.
