Getting started with QuoteCloud

Take a deposit or the full amount with PayPal

Set a deposit on the proposal, and your client chooses after signing: pay the deposit with PayPal, or pay the whole amount in one go.

Add a PayPal button to the proposal and request a part payment, as a percentage of the total or a fixed amount. After signing, the client chooses Pay deposit or Pay in full and pays with PayPal on the same page. The amount follows the price table, including extras they tick. QuoteCloud Payments is on Essentials and up.

Two overlapping panels with sample data. Behind, Tidewell Pavilion's proposal TP-2802 for Sophie's 40th: 65 guests, canapés, beverages, a DJ, a cake and late-night sliders, $8,932.00 including tax; Sophie signed and chose Pay deposit, $1,786.40, paid with PayPal. In front, an illustration of the payment on PayPal's side: $1,786.40, completed.

Why offer a deposit and pay in full?

Tidewell Pavilion holds a date for a week. Functions manager Elena Brooks used to send the proposal, wait for the signature, then send a payment link and chase the deposit, while the date sat on hold.

Now the proposal asks for a 20% deposit with a PayPal button. Sophie Tran signs for her 40th on her phone at 9:31 pm and pays the deposit a minute later from her PayPal account. Some hosts would rather pay the lot and forget about it, so the same button offers Pay in full.

  • The deposit is a percentage of the total or a fixed amount, filled from the price table.
  • Extras the host ticks change the total, and the deposit follows.
  • The payment joins the proposal's history, next to the views and the signature.

Tick an extra, and both amounts follow

This is the proposal as Sophie sees it once she has signed. Tick the photo booth or untick the sliders: the total, the deposit and the pay-in-full amount all change before she pays.

She picks one, then PayPal's checkout opens on the same page. Her card and bank details stay in her PayPal account.

Where you set the deposit

While editing the proposal, the $ (Payments) icon opens the payment settings for that document: what the payment is for, your instructions, and the amount as a percentage or a fixed figure.

The PayPal button itself is a one-time payment here. For a bigger purchase you can choose an instalment plan instead.

Variations on the deposit

  • A fixed deposit

Ask for a set figure, such as $500 to hold any Saturday, instead of a percentage of the total.

  • Full payment on signing

For smaller bookings, request the full amount: the client signs and pays it all with PayPal. See clients who prefer PayPal.

  • Payment reminders

QuoteCloud can send automated payment reminders. How they're set up isn't in the User Guide yet; see payment options.

  • Tell the team when it lands

A Zap on Document Part Paid posts to Slack or Microsoft Teams, and one on Document Paid when a document is fully paid. See after the payment.

Deposit questions

Can the client choose between the deposit and the full amount?

Yes. When the PayPal button requests a part payment, the client can choose Pay deposit or Pay in full after signing, and pays that amount with PayPal on the same page. Both amounts come from the document's price table.

Can the deposit be a fixed amount instead of a percentage?

Yes. In the document's payment settings, opened with the $ (Payments) icon in the editor, you set the payment amount as a percentage of the total or as a fixed amount, together with the description and instructions the client sees.

What happens to the deposit if the client ticks an extra?

It follows the new total. Optional items, quantities and discounts change the price table's total while the client reads, and a percentage deposit and the pay-in-full amount are worked out from that total before they pay.

Does QuoteCloud collect the balance later?

This page leaves the balance with you: state your payment terms in the proposal and collect the rest your usual way. QuoteCloud can send automated payment reminders; book a demo to see how they would fit your terms.
